DATA BASE NIRILL PHARMCY

ANALYSIS 1. DESCRIPTION OF THE PROBLEM Nirill pharmacy is one of the biggest pharmacies in GN. Fuvamulah . Every day many people visit this pharmacy to buy medicine. This pharmacy is not computerized. Four pharmacists are working in this pharmacy. All the information about medicines is recorded in a book. When ever they want to check details about any medicine they have to search the book. In which information is recorded. This pharmacy is opened from morning till eleven at night. After selling each medicine they are recording quantity of medicine renaming in a book. If they want check weather there enough medicine or weather they have to order for medicine they have to search the book. So we need to computerize this system of maintaining stock and sales details. 2. SPECIFIC OBJECTIVS Generating reports regarding daily and monthly sales and the stock position and also the items to be ordered that reached the recorder. To make jobs faster. To reduce the writing work of staffs To store the information about the details of customers and the suppliers in the computer data base. To make more profit. To improve the business. To provide the facilities quickly to the customers. Reduce the salary overhead by reducing the number of workers. 3. DESCRIPTION OF THE EXISTING SOLUTION In this pharmacy four pharmacists are working. There is only one register in this pharmacy. They enter the daily sales on each day, in the register. They use the formula FEFO [First Expiry First Out] old drugs stock should always be used first, new drugs stocks should always be placed behind old stock so that the old stock will used first. If the new drug expires at the same time as drug in stock still place it behind the old. If the new drug expires before the drug in stock place it in front and use first. The out put details are clearly entered in the register. 4. EVALUTION OF EXSISTING SOLUTION

The pharmacy runs with a manual disadvantages and advantages.

ADVNTAGES Since the existing is done manually less electricity is needed. No virus attacks to data. It will reduce unemployment. DISADVANTAGES It is a difficult task to write the stocks in the book. Some people take medicines for credit and to check who has paid and unpaid they have to check the long book every day. The account and daily stocks written in a book. If the book was damaged by a disaster the pharmacy will get a great loss. To check whether the medicines are going to be finished is also mundane task. There is chance for errors and mistakes. 5. DESCRIPTION OF OTHER POSSIBLE SOLUTION SOLUTIONS 1. Using computer system. 2. Increasing the no. of staffs. 3. Keeping separate shelves for different types of medicine. 6. EVALUATION OF OTHER POSSIBLE SOLUTIONS SOLUTION 1 ADVANTAGES It is a safer way to store data the staffs can have can have pass word to access to the data. The tasks carried out by the staffs will be more efficient than manually. If reduces the no. of paper wastages as there will not be mistakes. They can easily make stock files and the computer will warn before the stock going to be sold completely. No paper will be used so it saves the environment.

DISADVANTAGES Virus attacks. If any disaster occurred it will damage the whole data in the system and the pharmacy will get a great loss. Electricity bill will increase and to provide this system it is quick expensive. SOLUTION 3 ADVANTAGES It will be easy to find types of medicines. We can keep more medicines. DIADANTAGES It will cost much to make shelves for each type of medicines. More place needed.

In RAM all the details will be accessed as far as possible. Than the customers will be satisfied. So RAM capacity is good that can be very quickly and many information can find with out wasting time. HARD DISK In this application it has many information and it will grow day to day. So high storage space is needed MOUSE It needs location to locate material in a specified period. KEY BOARD It is needed for screen display. 3. SOFT WARE REQUIREMENTS Soft ware requirements for the application. The operating system chosen for this system is windows XP profession application. Even though widows XP is recommended windows as and above versions will be compatible for this application. This application is designed by using visual basic versions. This is chosen due to many reasons often are: It has many ready made tools or controls which improves the quality of application. Reports certain are very simple using this soft ware.

TESTING
All the fields of the forms of the project, where the validation checks are to be performed is tested with the two categories of the data. These are the two categories of data with which validation checks are going to be performed. Documentation
User Manual

The user manual guides the person using the system. All the necessary details about the application will be described in a way that the user finds easy to deal with it. The whole user manual will be described under the following headings. Loading the application Leaving the application

1. loading the application To install the software first insert the CD in the drive. Open the CD contents. There you will find a file named as setup. Open it you will find a form named as installing the soft ware. There will be instructions written on it. Read it and click next button. Again a window will appear, there you will find the label saying select the path. So give the following path to the computer. C:/ pharmacy. Mdb Create a directory in the C drive, and then wait for sometime for the computer to finish the installation. You need to restart the PC after installation.

2-Running the program

To run the program you need the following software Microsoft Access First when you run the application you can see a form in front of you. It is the welcome screen. Click Go Command to go to next form.

In Main Menu we can see the three things. In this screen if we want go back to Welcome Screen click << Back and if we want exit the screen click Stop putton In this menu if we click Suppliers table it will open this screen

In this screen if we want add new patient information click Add and if we want to delete any transaction click Delete and if we want to exit this screen we can see the Main Menu To close the window click Stop. And then, in the Main Menu we click Medicine table to open it. It will look like this
