Project Planning and Management:

This department is headed by Prashanth P Ostwal where any project done by SCF undergoes a
thorough analysis and planning. Here, the type of project to be done is consulted and discussed by all the members and we ensure that
the output of the same is in par with the objectives and goals of SCF. Any department or member can bring new projects to SCF. All
details regarding the project need to be collected by combined efforts of all members in all the departments if required. Any member,
who has second thoughts on the project, can openly discuss with the team and keep forward all his points. We need to ensure that once
the project has been started, we need to complete the same with full dedication, commitment and interest. There might be tough
happenings during the project in terms of time, preparation of documents, collection of funds, report preparation, getting more
information on the same and so on, every department need to perform to its level best on its duties. The successful completion of any
project is merely dependent on the combined efforts shown by the team on a consistent basis. We as a team should always remember
the guidelines framed by the trust and should abide by the same when involved in any of the SCF activities.
The above department will be a source of information about the project status and management. It may so
happen that at times we may need to discontinue with the ongoing projects, this may be entertained only when we have strong
reasoning as to why the project should not be continued and with complete support from all the members.

regarding the functioning of this department, and any complaints can be directly raised to the management. All ideas from other
departments and members are always welcome and will be followed if found worthy. This department will be in thorough discussion
with the other departments to ensure smooth operation of the projects.

Reports Committee:
This department is headed by Sonam Kothari and Komal Ostwal where complete documentation is done for all
the projects, highlighting more on the end results and feedbacks from others. All reports prepared shall be posted online for the
contributors/participants to view and know as to how they money have been utilized by the SCF team in helping the needy and
deprived ones. This department needs to ensure that all the reports contents need to be true to the best of the team’s knowledge and
shall be approved by the president and trustees before posted online. All necessary information and statistics data needs to be encoded.
The reports shall be delivered to the addresses of those who have shown real interest in donating for charity work and helping the SCF
team to help others.
This department serves as a repository where other departments needs to co-ordinate with it, provide the correct
details of the project relating to the cause, time and efforts involved. All members are also requested to write monthly articles, and
plans are there to release Newsletters online. Any idea regarding what source of information needs to be documented that may impact
the society and public is welcomed and will be implemented if found worthy.
This department is highly responsible for any wrong
report prepared and needs to explain the management the cause for the same. This department will send across the reports to all other
departments for check and verification.

Human Resource:
This department is headed by Saurin R Patel where intake of members shall be done based on the guidelines,
policies dictated by the trust. This department works on principle “less but effective ones”. The SCF trust believes in quality and not in
quantity. The Human Resource department functions in recruiting members to join SCF and build the team and strengthen it. This
department need to always update the existing members and newly joined members for any change in HR policies and guidelines. Any
notions like resigning from the trust, or other related concerns needs to be reported to the HR. The department needs to keep watch on
other departments as well to identify which department is short of members and accordingly should plan course of action. The
department is responsible for smooth running of the all the departments. Any department can raise complaints regarding its members
to the management and HR needs to be in the loop. The department believes in people hard and smart work and always needs to be
pro active when resource hunt is concerned.

Accounts Department
This department is headed by Vishal R Kothari where all accounts related work for SCF shall be maintained. The
department shall work very closely to other departments, as every step or activity done irrespective of the department may involve
fund, or any other material possessions that may directly or indirectly relate to fund requires utmost accountability.
One of the objective of SCF is that it should make all the members or donatee / contributee feel satisfied & assure that the amount
donated by them are in safe hands. To meet its objective, SCF has made its accounting very strong with strict rules with internal
control within the organization.

Actions Taken for Controlling SCF Funds:

1. All the Members are given a receipt book. Hence Donor / Contributor is requested not to make any payment without
getting receipt for the same
2. Members of SCF are strictly advised to transfer any funds received on behalf of SCF to its bank account.
3. Either they can deposit themselves or the funds can be transferred to the treasurer who in turn will immediately deposit the
amount into bank
4. All payments except for petty expenses shall be made only through bank.
5. Even for any petty cash payment made, ‘Payment Voucher’ will be prepared which will be verified and signed by any two
managing trustee
6. During Meetings, Treasurer is strictly advised to present accounting statements with complete detail and required
supporting evidences.
7. For box collection scheme all the members are given an excel format which is to be maintained by them and submitted to
the Treasurer on monthly basis
8. Financial Statement will be submitted by treasurer to any member on request
9. If any member does not give the accounting details on regular basis to Treasurer then the SCF reserves right to expel such
member and take appropriate action against him to recover any funds of SCF due from him
