GUIDELINES FOR THE HR PROCESS: (Admin and IT also involved)


1. Request for the position (vacancy) from the department/region Personnel requisition Draft of ad (based on JD) sent to department/region for approval for internal advertising For advertising in the newspaper Admin to get quotes from the ad agencies Quotes to be sent to department/region for budget approval Jobs to be advertised Copy of newspaper cutting kept in vacancy file Short listing Tests Interviews scheduled with panel for interview Folders with CV, Evaluation form and interview schedule distributed to panel Finalists called to meet Dr. Baig Candidate informed about decision Regret letters to those tested/interviewed Personnel requisition to be signed by CEO Offer letter (signed by candidate first, then CEO) Attach JD Document checklist Joining report Prepare orientation schedule Bank letter and forms to candidate Candidate to provide finance with the account number Enter birth date in the calendar (copy to social committee) Prepare ID card Reminder in InBox calendar 75 days later to candidates supervisor for confirmation appraisal. Attach the form Copy of offer letter, requisition and joining report to go to finance and a copy to the region (as required) Copy in the payroll file Enter info into the MIS system Seating arrangements, stationery items and computer (Admin, IT) Request to IT to prepare e-mail ID (full name @hashoofoundation.org) Confirmation of employment: If employment is confirmed: o Prepare contract o CEO to sign contract o Add development needs to development plan o Add to contract: (any other benefits applicable at that time) Life Insurance Medical allowance (from date of joining) EOBI deductions (from date of joining)

Leave accrual (from date of joining) Mobile phone allowance (on completion of probation) o Copy/list of benefits to be provided to finance and region (as necessary) If employment is not confirmed: o Extension of probation letter (signed by HR) o Termination letter (signed by CEO) Get clearance forms completed Final settlement 1. Part time staff: (1/2 day) 50% annual leave 50% medical allowance EOBI deductions (as per policy) life and health insurance (only for full time staff)
