WHOLE JCR COMMITTEE MEETING, 25TH FEBRUARY 2014 SOCIETIES ROOM 1.

REPORT OF EXECUTIVE T RUSTEES MEETING The 1000 JCR budget has been approved. This includes the profit made on matriculation photo/gown sale (500). Annie will send the money to the JCR account. The Goat Post budget has been approved at 200 per term for the printing of 100 copies per term. 3. OPEN MEETING REPORT Phil thanked everyone for attending and said that the food meeting was very productive as was the meeting with CUSU. As a result of discussion the LGBT+ elections will be open to everyone through the self-definition online system. Rob asked whether we could expect a better turnout next term. Themes for meetings were suggested as was having the open meetings in the bar. Phil said we should see it more as a JCR open meeting than a student meeting. It was quite surprising that the freshers didnt turn out. Aran asked how many open meetings we will continue to have if turnout remains poor. Phil replied that as long as we continue to do them then people will continue to have a way to contact us and this is important. Rob pointed out that survey response was good so people do care. College admissions survey got fewer than 80 responses and only 50% of those went on to section B so we re doing comparatively well. Alex said it was worrying that people dont know what the JCR is for- this will be covered in the new FAQ page. 4. SURVEY Exec officers are in charge of coordinating responses and Chris the librarian is going to respond to certain groups. Everything must be answered even if the questions seem obvious. The deadline for this is Sunday evening. Any questions relating to social spaces should have a response saying, This will be forwarded to the social spaces workshop. We should be responsive even if there is little we can do to solve a given problem. We should also make the effort to remain in contact with the people who are making the effort to contact us.

5. FRESHERS WEEK Last years timetable has been circulated. The deadline for our draft is May 1st (to include any ents bookings for Fitz Up Look Sharp). We need to check that our timetable has no major clashes with CUSU. Saturday: Alex and the ents time have drawn up a draft of the proposed first day: Tea with corridor reps Casual meeting with your block Buttery with corridor reps Speed dating in buttery after dinner Bar and bop

Fresher common rooms will not be ready by next year, and we should keep it to corridor kitchens for ease of access. Phil asked about people who arrive late due to travelling. Alex is proposing we get rid of the welcome parties. Anyone who applies to be a corridor rep must be fully committed to looking after his or her freshers at least for the first day. They must be free all day. The JCR are not allowed to apply to be corridor reps, as they will be showing freshers to their rooms etc. The bop-Tom suggested moving the bop to the bar and inviting the second and third years. Suggestion of introducing families much sooner, perhaps just before the bop, at family buttery instead of family tea so that the freshers have a friendly face around. We would be relying on 2nd years meeting their kids very soon and being proactive. We could also encourage corridor reps to go to the bop. Experienced boppers should attend to show the freshers how its done. Sunday- We will hold the JCR/welfare breakfast in the caf as this was very popular in 2013. Introduction from the JCR- Intro before the bop should probably be at the breakfast instead. Would this mean making the breakfast mandatory? Proposal to hold it before the gown sale and freshers fair. Pub and pool went well last year, particularly the non-drinking side, and were keen to use this idea again this year. Monday - DoS/Tutor meetings. Welfare talks/bike registration after this. Alice would like to add a consent workshop (10-15min) to these talks. Proposal to move the JCR parts of these talks to the Sunday. The general consensus is that we will have some of our talks at the Monday morning welfare talks and some at the JCR introduction, which will be extended by 10-20 minutes. This will (hopefully) establish that we are approachable and also that we are a separate entity from college. Study skills workshop- the Senior Tutor doesnt want to change these and would like to keep them as compulsory. Changes will be made to the workshops held for the older years and this will be discussed at another time.

Tuesday- matriculation, Phil to attend. The Sirens and Barbershop will perform in the bar after matriculation dinner. JMA picnic in The Grove we could combine this with meet the family tea, and name it Meet the family JCR picnic. Aran asked that we have nothing else JCR related on the day of Fitz Up Look Sharp as it has been proven that it takes a lot of time and effort to set up for ents. Wednesday- registration with doctor and tour of Cambridge faculties. Carl suggested combining the tour with a trip to the CUSU freshers fair. Suggestion of moving all of these to Tuesday (this means that the JCR would not be free to set up for the ent). Punting didnt happen last year, but we would like it to this year, as it is a JCR responsibility. Suggestion of a societies try-out day (e.g. be a Siren for the day) or a sports day. If we would like to hold something like this then Ged must be contacted, as this is his area. The pub quiz in the buttery will definitely happen. The Murray Edwards garden party is generally attended/crashed by the Fitz freshers. If we wish to attend in an official capacity the ME JCR would like a significant contribution from our budget. This is something we must consider further as there has been slight hostility between our JCRs regarding advertising for ents etc. Continuing into term: Friday- PAV Saturday- jazz in the bar with pizza, which the bar staff will supply if we give them enough warning. Sunday- freshers concert. 6. AOB PostersLauren Scarratt (the education outreach lady) says that outreach posters are being taken down before events have taken place. This is unacceptable and Anna will be following this up if it happens again. New TVTV will be brought up in social spaces workshop. BBQ spaceA fixed barbeque might be built either in the Wilson Court Common Room patio or at Oxford Road. More to follow at social spaces workshop. 7.
