WEEDING AND WRITE POLICY for MLIS 1st semester on 17 March 17, 2015

Definition:
1. The Practice of discarding or transferring to storage the excess copies, rarely used books and
material no longer of user
2. Officially with drawing a volume from library collection because it is unfit for further use or is
no longer needed.
3. H.F McGraw says The practice of discarding the surplus copies and material no longer in use.
4. The removing of stock from library shelves, either for with drawl or for morning to receive stock
or to remote storage.
Why weeding/ Reasons for weeding
1. To save space.
2. To enhance library reputation.
3. To make collection more appealing.
4. Increase in budget.
5. Save the time of users.
Which type of materials are weeded out
1. See list date of circulation.
2. Duplication.
3. The material which crates.
4. Problems in Society.
5. Un-wanted gifts.
6. Surplus editions.
7. Books that are worn out.
8. Old books with small price and missing page.
9. Periodicals with no indixes.
Write-off policy
The legal permission of removing reading material of no use in the library with the approval of the
competent authority.
In 1970 the concept of writing-off of library material in department of libraries, Govt of Pakistan.
They framed rules regulation for this purpose. As per farmed rules libraries were considered
responsible for the loss of books.
In 1980, the librarians made a complaint against these rules. The UGC took up the matter. The
matter-off policy were farmed for losses in university libraries.
These points are:

1. An up-to-date self list be maintained by each library for stock purpose.


2. Physical verification be made ever year where the total collection is up to 50,000.
3. Physical verification be made in phases & to be completed within maximum period of 8
years, where that total collection exceeds 50,000.
4. There should be one point of entry & exit in the library. The doors & windows & should
be secured with proper protective devices.

Proper record of issue/returned must be maintained according to modern library


practices.

6. Proper record of transfer & movements of books from one section to another.
7. Proper arrangement should be made for keeping personal belongings including books etc
at the entrance point.
8. The librarian should be in powed to make personal check on any person in case of donst.
9. Losses to the extent of 3% per annum of the available stock in an open excess library
should be written of by the comparative authority on the recommendation.
10. Losses at 2% per annum should be written-off point (9) continue.
11. Loss of manuscripts etc and material will not included in 2% or 3% there is another
committee.
12. The losses written-off by the competitive authority should be struck off in the library
including public catalogue & transferred to the withdrawal register indicating the
authority user which the losses were written-off.
13. In addition the permanent ire coverable loans of books, damaged & worn out books
formed to be beyond repairs during the physical verification of the library should also be
placed before the library committee for a written-off or replacement-off.
14. It should be insured that no serious negligent on the part of library staff have resulted in
to the losses of books.
