Learning Objectives:

By the end of this lesson, you should be able to:


distinguish a formal meeting from an informal one;
understand the role of the Chairperson and learn about the use of language
appropriate to the role; and
demonstrate language skills for opening, managing and closing a meeting.

Task 1 Warm up activity [Track 1]


Meetings, be they formal or informal, are important in the workplace even
though some people regard them as an unnecessary routine. Listen to an
audio clip about the flexible meeting arrangements that five companies
adopted to break some conventions of formal meetings. Try to match the names of the
companies and their meeting solutions in the table below.

Task 2 Opening a meeting [Track 2]


Task 2a
You are the new personal assistant to Mr William Timberlake, General Manager of Net
Space Publishing. Your boss has asked you to listen to the recordings of some previous
meetings to familiarize yourself with the company. Look at the agenda below and then
listen to the beginning of the corresponding meeting. Fill in the missing information in
the script that follows.

William: Okay, is everybody here? Lets start our meeting. First of all, Id like to
welcome you all to the meeting. Ive received an apology for absence from
Mr Ledger. He is in a conference today. As you know, the purpose of this
meeting is to discuss the issues about flexible working hours and the new
appraisal system. You should all have a copy of the agenda by email. You can
see from the agenda that we have a lot of items to get through. The meeting
should take about one hour. Lets try and finish by 5pm. John has agreed to take
the minutes. Have you all read the minutes of the last meeting? Any
amendments? If no, I assume we all agree that they are correct. Are there
any matters arising that we need to discuss?
Peter: Yes. In the last meeting I mentioned that I would collect information about
flexible working hours er Im going to report the details later in the
meeting.
William: Excellent. Then we can make a decision today. Peter is going to tell us the
options we have. So Peter, would you like to start?
Peter: I am not in favour of flexible working hours because it will cause chaos in

Task 3 Managing a meeting [Track 3]


Interaction among participants in a meeting is crucial for effective discussion and good
understanding of the issues under consideration. As participants are likely to have
different views and concerns, due to their responsibilities and previous experience, it is
important that the Chairperson takes a leading role in managing the flow of discussion,
balancing different views and interests, and helping the participants reach a consensus.

There are different ways to close a meeting. In the closing remarks, the Chairperson or
the leader, may want to thank everyone for their participation, summarize the
discussion, assign follow-up tasks and arrange the next meeting.

Coming up on CBN Business: an interview with media king and head of News
Corporation Rupert Murdoch, stock market report and Katy Alexander with the weeks
business news round-up. But first, suffering from boardroom blues? Tired of taking
minutes at meetings that take hours? Tess Liebowitz may have the solution

According to diplomat and economist JK Galbraith, Meetings are indispensable, we


dont want to do anything. Therefore, logically, if you really do want to do something,
its the meetings you must dispense with. But can you dispense with meetings
altogether? And what would take their place? At several well-known companies they
think theyve found the answer.

At a high-profile UK advertising agency St. Lukes, meetings are simply considered a


ceremonial and rude interruption to peoples working day. So theyve introduced
meetings-on-the-move. Any member of staff can hold a meeting anytime, anywhere
in the elevator, in a local caf or just sitting cross-legged on the floor. Anywhere that is
but in a boardroom.

At an internet company another.com, theyve gone one step further by building a park
area right in the middle of the building. Staff can go sit on the park bench amongst the
flowers or even play on swings while they hold meetings. They used to have real grass
too, but watering it became a problem.

At a media strategy company, Michaelides and Bednash, theyve come up with a


different solution. All employees, irrespective of status, work around one enormous
central table. Meetings become unnecessary when everyone in the company is sitting
just across the table from you the whole time. The working day is a constant meeting.

At the Xerox Corporation, a more down-to-earth approach has proved successful. All
staff, from junior management upwards, are trained in chairing skills and get an equal
opportunity to use them. This breaks up hierarchies in the workplace, creating
democratized meetings, where everyone can practice their leadership skills.

Finally, at Federal Express, theyve been experimenting with technology. Using specially
designed software, people sit around a large U-shaped table at workstations connected

over a local area network. Meetings stick strictly to the agenda, are highly focused and
more or less silent. Items instantly appear on the participants screens and people
simply key in their views rather than voice them. The software allows you to attach
further comments and to see graphically how your position differs from the consensus.
The only problem is the price - $ 35,000 for the fully functional system.

He was supposed to be here.
Tanya: Oh, yeah, he phoned to say his flight from Chicago had a two-hour delay. He
said to go ahead and start without him.
Rose: Oh, I wanted his input on this one. OK, never mind, lets get started then shall
we? Er so, as I said in my email, the purpose of this meeting is to review last
weeks talks with the people from My Cloud and, secondly, to decide if were
interested in taking things further. Peter is going to fill us in on the
background. Peter?
Peter: Yeah, thanks, Rose. Well, now My Cloud is a really exciting suite of cloud

applications. Basically it includes every critical application that cloud apps suite
should have. It includes true multi-tenancy ensuring that every customer is on
the same version of the software and no one is left behind when the software
is updated. My Cloud also offers regularly delivered, vendor managed updates,
seamless integration, first rate security while still allowing for multiple types of
configurations. Neat, huh? I just love My Cloud.
Jack: Er sorry to interrupt, but is this going to take long, Peter? Only I have an
appointment at eleven and we have all read the summary on this company
already.
Rose: Jack, could Peter just finish what he was saying? We are looking at twenty
million dollars in seed capital here. I dont want us rushing into anything. But
perhaps we could speed things up a little, Peter. We are short on time and by
the end of this meeting, I would like some kind of decision on this.

Peter: So, as you can see, the advance publicity alone is attracting half a million visitors to
the My Cloud website every day.
Ross: Sorry, Peter, but we seem to be getting side-tracked here. This is all very interesting,
but can we go back to what we were discussing earlier?
Peter: Oh, OK. Sure.
Ross: Perhaps we can come back to this later. Tell us about their logistics.
Jack: Can I just say something here?
Ross: Hold on a minute, Jack Youll get your chance in a moment.
Jack: Its just that I thought wed agreed we werent investing in any more software
vendors.
Tanya: No, Jack. Thats what you wanted. But nobody actually agreed.
Jack: Tanya, weve been through this.
Tanya: Wait a minute! Who was it that said that?
Ross: OK..OK! Lets all just calm down, shall we? Were here to talk about this proposal we
have on the table. Tanya, whats your position on this?
Tanya: Well, I agree with Peter that its a great business plan. Like you, Im a little concerned
about the logistics, though.
Peter: Now hold on a second! This is all covered in the proposal, Tanya. What are you
saying? I thought you were with me on this one.
Ross: Peter I think what Tanya is trying to say is she likes the idea but the figures dont
quite add up.

to discuss the possibilities for cooperation.

Chairperson: Good. Finally, Samuel, your team is going to look into why sales are
declining. It is extremely important for your team to complete this task
as soon as possible.

Opening a meeting:
B: OK, is everybody here? Welcome to the meeting. Lets start now. The purpose of our
meeting today is to discuss how to promote our I.T. 4 U Scheme effectively. Lets
look at agenda item 4. Have you got any suggestions on how to promote the
scheme?

Making suggestions:
B: I suggest having the managers of other departments promote the scheme to their
respective staff because it will save the I.T. staff time from having to advertise the
scheme.
D: Having other managers promote it sounds good, but they might not agree to do it.
Theyre busy, too. I suggest advertising it on the staff intranet; its economical. What
do you think?
C: The staff intranet is OK. But shall we also put up eye-catching banners and posters
around the office? Its the most economical solution and everyone would see it every
day. Do you see what Im saying?
A: You have a point there. Everybody needs to learn about the new apps well be
installing. To reach everyone, I suggest advertising the scheme in the canteen. That
way, the budget could be very low.
