Executive Summary
This tender has been written by Persistence Sdn.Bhd. in response to the
requirements of the designing company Potato Corp. The purpose of this tender is to
demonstrate to Potato Corp that the company, Persistence Sdn.Bhds understanding of
the design and construction method makes it the most suitable company to construct
the Mars Rover for them

The main reason why this tender should be taken into consideration is that
the tender evaluation criteria (TEC) set by Potato Corp have been perfectly matched
for Persistence Sdn.Bhd. The designers of Potato Corp require that the contracting
company have work experience and good performance in an engineering company or
have an active participation in engineering related club or societies. Persistence
Sdn.Bhd. have provided sources that could act as evidence that they have worked for
a certain company as part-time job for 3 months and they have also attended
engineering workshops hosted by big companies actively for the past 6 months until
they were forced to quit in order to further their studies.

In addition, Persistence Sdn.Bhd. also has a contractor who is talented for


his creativity and ability to think outside the box. It is believed that he will be an
irreplaceable teammate that will act as a catalyst and will able further increase our
chances of completing the project perfectly, not to mention that he can boost the
morale of the team through his competitive spirit.

The designers also do not have to worry as Persistence Sdn.Bhd. have the
relevant capabilities as required by them in the tender evaluation criteria (TEC). The
members of Persistence Sdn.Bhd. are not only well versed in skills, but they are also
known for their communication skills and perfect teamwork.

Persistence Sdn.Bhd. has a lot of faith in its members and it believes that the members
of Persistence Sdn.Bhd. can complete a Mars Rover of the highest quality within the
time given.

1.0 Introduction
This document contains Persistence Sdn.Bhd.s tender submission for
the construction of Potato Corps Mars Rover. This document has been written
in response to the criteria as defined by Potato Corps documents.
2.0 Design Package Review
A design review has been performed to ensure that Persistence
Sdn.Bhd. has a full and complete understanding of the project.
2.1 Understanding of Design
The design is based on using the China Iron Shelves as barriers in order to
protect the cargo. To further the protection of the cargo, wires were used
to cover the top of the Mars Rover and a transparent paper wrap was
wrapped around the vehicle. Sponge was used to cover the wheels so that
it can produce friction and absorb impact.

The material of construction will be a combination of wood and stainless


steel which is resistant to both acid and alkali, not to mention it can
withstand high temperature and is very durable.
2.2 Perspective on Construction
Method
The construction method are detailed, dimensions were given
where needed while sources and links were stated. Accurate
calculations regarding where the hole will be drilled as well as the
exact areas where the wires will be strung are also given.
2.3 Dimensional Constraints
The dimension of the whole prototype should follow the
requirements as requested by the client. The maximum dimensions
allowed are listed in the table below:

2.4 Materials of Construction


There are no particular materials on demand and the use of
recycled materials is highly recommended
2.5 Distance
The Mars Rover must at least be able to travel a distance of 1
meter and it should be able to withstand an impact force of free
fall at least twice
2.6 Energy Source
The energy source of the vehicle is the kinetic energy
produced through pushing of the Mars Rover.
2.7 Ease of Use
It is able to load its cargo easily and the energy source for it
is easily obtainable.
2.8 Construction and Maintenance
Construction will begin upon all the materials needed have been
gathered and maintenance will be conducted once every time after
a test run.

2.10 Support
The Mars Rover will be supported by wires which are tied
around the axle through the drilling of holes so it should not
collapse so easily as predicted by designers of Potato Corp and it
is calculated by the designers of Potato Corp to be able to
withstand the weight of the cargo.

2.11 Concerns & Solutions


There are a few concerns that need serious attention as it may
affect the entire experiment heavily:

1) Wont the wooden board break due to too many holes drilled
into it? The holes drilled may also produce slight cracks and
may result in chain reaction in causing several cracks on the
wooden board due to the weight of the cargo and its parts.
Solution: Use 2 wooden boards instead of one and layer them
together.

2) Wont the #16 Gi wires shear away the wooden board as the
axle starts its motion? This may result in damaging the wooden
board and causing the entire Mars Rover to collapse.
Solution: Cover the holes using sponge and then sew the wire
through the sponge on the axle.

3) Isnt the wooden board too thin to be able to hold the cargo
and parts? The Mars Rover suffers a high risk of collapsing.
Solution: Use 2 wooden board instead of one and layer them
together or use a thicker board.

4) The transparent paper wrap may be too weak to protect the


cargo. The cargo may be damaged
Solution: Apply multiple layers of transparent paper wrap
instead of one.

5) The transparent paper wrap suffers a risk of being torn off


through the impact of the cargo inside it as it is pinned to the
board using the nails and covered by tape.
Solution: Apply multiple layers of transparent paper wrap
instead of one.

3.0 Tender Evaluation Criteria


Potato Corp has prepared a Tender Evaluation Criteria (TEC)
and it is expected of Persistence Sdn.Bhd. to follow it through. It is
separated into five criteria which are experience, time, management,
teamwork, communication and understanding. Each criterion will be
assessed with close reference to the standard and demand of the
company. As the Potato Corp only seeks to contract with companies of
high standards, marks will be awarded with each demand that is met by
the contractors. The contracting company with the highest accumulated
marks will have the first priority to be considered by the designing
company.

3.1 Time Management


Description of Criteria:
Potato Corp will be assuming that Persistence Sdn.Bhd.
can distribute their time evenly in order to complete the work in
time. Potato Corp will also be expecting the members of
Persistence Sdn.Bhd. to attend and arrive at the meeting 5 minutes
earlier with well-prepared documents. Potato Corp will also need
Persistence Sdn.Bhd. to complete the prototype 5 days before the
deadline, as well as also be able to provide a detailed construction
schedule plan mentioning all main tasks following with a number
of sub tasks aligning with the accurate timeline. In addition,
Persistence Sdn.Bhd is expected to complete the Minutes of
Meeting and send a softcopy to their designers as evidence that the
members of Persistence Sdn.Bhd. had attended the meeting held
and proposed by Potato Corp. (Description taken from Potato

Addressing Criteria:
Persistence Sdn.Bhd. guarantees Potato Corp that the
contractors of Persistence Sdn.Bhd had already sent a softcopy of
the Minutes of Meeting (Refer to Appendix C) to the designers of
Potato Corp (Refer to Appendix A) and that the members of
Persistence Sdn.Bhd had attended the meeting held and proposed
by Potato Corp (Refer to Appendix A). This is further clearly
shown by the agenda items in the meeting agenda (refer to
Appendix B) and action items in the minutes of meeting (refer to
Appendix A)

3.2 Teamwork
Description of Criteria:
In order to complete a project smoothly, teamwork among
designers and contractors is one important aspect. Potato Corp will be
expecting contractors who work well as a team, not as an outstanding
individual. Each contractor should be able to contribute the same
amount of time during the construction progress. Also, working as a
team, each member should be independent and carry out works without
having reminded by others. Lastly, each member must be responsible
in playing their own part in the team and complete all tasks given
within the period given. Evidence should be given by listing down
everything stated above into the weekly progress reports. Potato Corps
will be expecting Persistence Sdn.Bhd. to distribute the amount of
work evenly among members and no free riders will be allowed as
marks will be awarded to each individual. (Description taken from

Addressing Criteria:
Persistence Sdn.Bhd. guarantees that none of its contractors
are sloths and free riders and that they will be made sure that they are
earning their keep by list of work distributed.(Refer to Appendix D)
They will complete the work in time through their unparalleled
strengths in teamwork together.

3.3 Organization Skills


Description of Criteria:
In order to complete a project efficiently, the contractors
should be professional and possess several skills. Potato Corp will
only be able to entrust their design to qualified and responsible
contractors with some past experiences, having sufficient
knowledge and accuracy on using the tools. Potato Corp will be
expecting Persistence Sdn.Bhd to uphold the moral values of
integrity and complete their own tasks without plagiarizing from
others works. Potato Corps are also expecting contractors in
Persistence Sdn.Bhd. to participate in competitions, workshops, or
clubs related to science and technology, as evidences of having
experiences. All claims must be supported with a valid
certification from reliable instituted or communities. Potato Corps
designers will also check for the contractors reports and outcome
of the project to make sure contractors did not copy the works of
others and also capable of constructing the prototype accurately
with minimum errors. (Description taken from Potato Corps

Addressing Criteria:
Persistence Sdn.Bhd. fully assures Potato Corp that the
contractors of Persistence Sdn.Bhd. will not do anything such as
plagiarizing works of others or anything which will damage or
compromise the reputation of the company and the contractors of
Persistence Sdn.Bhd. fully understand the consequences of
plagiarizing as they have taken the academic integrity course study
and have passed the course with a minimum mark of 80%. A
contractor of Persistence Sdn.Bhd. have past experiences from a 3
month part time job at a certain engineering company and he has
also attended an engineering workshop hosted by a the same
company but he had to quit in both cases in order to further his
studies in which case, it is believed that these experiences will be
enough.

3.4 Understanding
Description of Criteria:
Potato Corp has implied that understanding between
contractors and designer is a crucial part, to ensure the outcome of
the product from the contractors is same as the idea of the
designer. Contractors are required to understand the design
package provided by the designer, summarize, and re-present it to
the designer to check for common understanding. Besides, after
understanding the design, contractors should be able to mention a
flaw of the design, and figure out a solution for the flaw and
discuss it with the designer. Furthermore, designers of Potato Corp
will ask 5 questions to the contractors regarding the design, where
contractors must answer all the questions correctly to prove that
they understand the design clearly. Contractors can prove that they
meet the criteria by having a presentation to show their
understanding and list down the suggestion that are useful to
improve the prototype. (Description taken from Potato Corps

Addressing Criteria:
Persistence Sdn.Bhd. assures Potato Corp that the contractors of
Persistence Sdn.Bhd will be made sure that they did their
homework and that their progress will also be kept tracked at all
times so that the contractors will be able to do more than just
answering, they will also be able to detect the flaws in the design
and be able to give suggestions and improvements to the Mars
Rover. (Refer to Appendix E) Persistence Sdn.Bhd. will also
encourage its contractors to ask any questions should any doubt
regarding the vehicle arises.

3.5 Safety
Description of Criteria:
Potato Corp further implied that safety must be the priority of
contractors at all times. Potato Corp will not make any contract
with companies who does not put the safety of its contractors as its
priority. Potato Corp would also like the contractors to take first-
aid lesson courses if possible so that the contractors will be able to
handle an emergency situation more wisely should it happen.
Potato Corp also requires the contractors of Persistence Sdn.Bhd
to read and understand the safety manual provided by Potato Corp
in order to be able to tackle emergencies should it arise. Potato
Corp also expects the contractors of Persistence Sdn.Bhd. to work
in a place where there is a first-aid kit box standby ready and also
a telephone. It is also advisable by Potato Corp to work under
supervision of peers or seniors where they might be able to deal
with the situation more efficiently.

Addressing Criteria:
Persistence Sdn.Bhd assures Potato Corp that a contractor of
Persistence Sdn.Bhd. is well versed in dealing with emergency
situation as he have have past work experiences (Refer to
Appendix J) and it is assumed that he have learnt first-aid lesson
courses from his previous part time jobs (Refer to Appendix J) and
workshops (Refer to Appendix J). It is also assumed that a safety
handbook had been given to him during his work as a part-timer
(Refer to Appendix J) and that he fully understand what he should
do should an accident arise. Persistence Sdn.Bhd. will also make
sure that its contractors will be wearing protective gears such as
gloves and goggles during the construction of the project. The
contractors of Persistence Sdn.Bhd. will also be briefed on how to
use the protective gears and tools provided. (Refer to Appendix F)
The contractors of Persistence Sdn.Bhd will be working in a place
with protective gears and first-aid kits prepared and ready to use.

3.6 Communication Skills
Description of Criteria:
Potato Corp further explains that communication is very important
between designers and contractors. Contractors are required to
have good communication skills to avoid miscommunication
among designers and contractors. Besides, good communication
skills can avoid conflicts or misunderstanding during the
construction process. Contractors have to reply WhatsApp group or
text, check and reply email and communicate with designers when
there is problem during the construction process. As evidence,
contractors can provide the conversation in WhatsApp group or
email and also minutes of meetings after having a meeting with
designers. (Description taken from Potato Corps design package,

Addressing Criteria:
Persistence Sdn.Bhd. assures Potato Corp that the contractors of
Persistence Sdn.Bhd. are always alert and that they check their
inboxes every hour on the go (Refer to Appendix H and Appendix
C). The contractors of Persistence Sdn.Bhd are also perfectly
capable of communicating with each other in fluent English and
there is also a certificate (Refer to Appendix G). Each contractor of
Persistence Sdn.Bhd. will also notify each other should there be a
message missed by either one of the contractors.

To make clarifications on the design, give advice and suggestions in
order to make improvements. Meeting was held in discussion room 7
in library at 3.00 p.m. and ended at 4.00 p.m. on 7 April 2017

Distribution
Kabir Baig- Responsible for gathering of materials and helping team
members assemble the vehicle. He will also be responsible for
swapping out the faulty materials, should there be any at all.

Lo Joe Lerk- Will be responsible for overseeing the entire project and
asking the designers should there be any confusion regarding the
project. He will also be helping the other members with managing the
tools.

Bong Wei Jie- Has experience with most of the tools so he will be
leading the team with the construction work and also managing the
teams work.

Improvements of Mars Rover
-Use thicker board or double layer board
-Use several layers of transparent paper wrapping
-Do not tie the #16 Gi wire too tight around the axle and the wooden
board as it may get damaged through movements of the axle, causing
the wire to shear the wooden board.
Appendix F: List of safety
precautions
-Wear protective gears such as goggles and work gloves
-Read the manual for using complicated tools
-Work in a place where help is easily reachable
-Prepare a first-aid kit beforehand
-Ask a senior or experienced person to supervise over the project
-Wear attires that can cover the entire body
-Attend and listen to safety briefings
-Always work in groups or pairs
-Have knowledge on how to use first-aid kits or how to perform first-
aid measures e.g. CPR and stopping the bleeding.
-A checklist of important or necessary items in first-aids kit will also
be prepared
