Hello!

Thank you for taking the time to read and fill out this application to join the Biology
Students’ Association Executive Council for this year, 2018/2019! Currently, only the Vice
President Operations & Finance role is vacant, and our Executive team would love to fill this
role as soon as possible!

The BSA will be undergoing significant changes throughout the Spring/Summer term
and as the current, 5-person Executive team is hard at work in redesigning the entire club, we
look forward to your applications! This would be the perfect opportunity to get involved with
BSA as we restructure the club and undergo significant changes!

I have attached a full description for the Vice President Operations & Finance role
below on the following page. Please take a look over it to ensure that you are fully aware of
what the role entails! The Executive team will be working closely with each other over the
following months as we prepare the club for upcoming, Fall 2018/Winter 2019 academic year.

Ideally, having someone available for the Spring/Summer months is crucial as we


redevelop the BSA. We look forward to reading your applications and welcoming you to the

Vice President Operations & Finance Role

The Vice President Operations & Finance of the BSA shall be responsible for the following:

1. Attend weekly (in Fall/Winter) or biweekly (in Spring/Summer) Executive Council meetings.
The VP Operations & Finance shall attend Executive Council meetings and be actively
engaged. The VP Operations & Finance shall provide a verbal report of their activities in
the past week at these Executive Council meetings.
2. Attend monthly (in Fall/Winter) or when necessary (in Spring/Summer) BSA Committee
meetings. The VP Operations & Finance shall attend the BSA Committee meetings and
be actively engaged in discussion and consultative items at these meetings.

3. Create and complete the SU Annual Report. The VP Operations & Finance shall be
responsible for creating and completing the SU Annual Report for the BSA. The VP
Operations & Finance shall submit the SU Annual Report to the Executive Council for
review before submitting it to the Clubs Office of the Students’ Union.

4. Develop outreach methods with VP Communications & Outreach. The VP Operations &
Finance shall work with the VP Communications & Outreach to obtain sponsorships for
the BSA and find new ways to engage the club with both on and off campus
sponsors/partners.

5. Develop and keep track of the BSA’s Annual Budget. The VP Operations & Finance shall
create the BSA’s Annual Budget in alignment with the Strategic Plan of BSA. The VP
Operations & Finance should also update the Annual Budget if changes occur.

6. Coordinate any administrative affairs for BSA. The VP Operations & Finance shall be
responsible for ensuring that BSA is operating smoothly and in accordance with its
Constitution and Supporting Documents. The VP Operations & Finance shall oversee all
administrative duties such as email account renewal, updating the Admin Guide with
correct information, managing the G suite account, etc.

7. Be a signing authority on the bank account & manage online transactions. The Vice
President Operations & Finance, in addition to the President, shall be a signing
authority on the BSA’s bank account.

8. Develop new initiatives for the BSA. The VP Operations & Finance, as with all Executive
positions, shall be an active member to improve the BSA respective to their role.

9. Transition their successor. The VP Operations & Finance shall transition their successor
for the new, upcoming academic year by having a minimum of three, one on one
meetings.

Requirements

In order to be an Executive with the Biology Students’ Association, you must be:
a) A returning, undergraduate student at the University of Calgary
b) Enrolled within the Faculty of Science at the University of Calgary
c) Enrolled within any major in the Biological Sciences department, which includes:
Biochemistry, Biological Sciences, Cell, Molecular & Microbial Biology, Ecology, Plant
Biology or Zoology

Please answer the following questions to the best of your abilities. Please limit your answers to

1. What interests you in being an Executive with the Biology Students’ Association (BSA)?
(250 words max.)

2. What are some new initiatives that you would like to see/would like to implement if you
become an Executive with the BSA? This could include initiatives outside of the VP
Operation & Finance role. (250 words max.)

3. Have you been an Executive of a club on campus? If so, please describe your role, what
you achieved and what made you an effective team member. (250 words max.)
4. Being an Executive with BSA means being able to attend a mandatory, weekly meeting
that are ~1 hour during the Fall/Winter semester. Your role might also require 2-3
additional meetings on top of that per week. Do you foresee this as a problem, and how
busy is your schedule in the upcoming Fall 2018/Winter 2019 semester? (250 words
max.)
