Discussion: Apologies from Alisha Friend (Treasurer), Nick Gallen (Principal), Cr Cherie Dalley,

confirmed (Minutes had been circulated, uploaded on google drive/ social media and emailed

Discussion:

Calico bags:
Kate advised the members that Seanne Hughes had contacted, researched and compiled
quotes for the calico bags. She also advised that Seanne Hughes apologized for not being
present, however, had supplied Kate with all information and bag as an example. Kate
presented example bag to group. Bag quoted at $2.85 each, with Velcro. Kate queried members
on their thoughts on doing a small run initially, with possibility of bring it in October in the uniform
shop. Kate suggested that if the bags did not sell, then the P&F would not look at doing it again.
A parent questioned if the quote included the logo, Kate advised that it did. Kate advised that
Seanne suggested using a sharpie to put their own name on bag, with a possible sell price of
$3.50. Kate asked the group if they agreed for the P&F to give it ago this year with a small order
of 250 and see how it goes? Denita advised that there are 116 preps enrolling, so that would be
116 bags gone already. Julie Lawson suggested a big logo print on the bag, as it can be used

for graduation. Kate asked the group if they agreed to getting the ball rolling and making an
order for 500 bags. Committee and parents present agreed.

School uniform/ dress:


Denita advised she would present this in the principals report

Informal/ P&F catchup meeting:


Kate advised the group that she felt the meetings were worth continuing until the end of the year
and see if they get traction. Kirsty Gerhardt suggested trying a 2.30pm time slot. Parents
suggested the idea of putting it in undercover area. Next unofficial meeting = 4th of sept, trial for
2.30 meeting. Clinton suggested undercover area near bus area or parent shed to be used for
the meeting. Denita said there is no power for tea or coffee- just a warning. All parents present
agreed the P&F should try the white post / parents shed as the meeting point for next meeting.
Conclusions:
Approval to order 500 calico bags
Next P&F Catchup/ informal meeting to be held 4 th Sept at 2:30pm in the parents shed/ white
post.

Discussion:
Father’s day promotional leaflet received in pigeon hole. Leaflet passed onto Fiona.
Letter received from year 6 students of the futures committee asking for a donation towards their
cause. Have added item to agenda.
Letter received from the year 6 faith committee asking for a donation towards their cause.
Added item to agenda.
Email received from Terracycle, the colgate community challenge, advising they have moved
warehouse. Email forwarded to Julie Lawson, who has been collecting the items from the office
and sending onto Terracycle on behalf of the P&F.

Email received from Australian Charities and Not-for-profits Commission confirming submission
of submitting your 2017 Annual Information Statement.
Message received from parent regarding unhealthy food choices and expense for EKKA meal
deals. Wants to discuss why we have the EKKA deal. Item has been added to the agenda for
discussion.

Discussion:
Rebecca presented on behalf of Alisha, Alisha had sent through all required data.
Alisha advised P&F:
Expenditure: $5290.89
Account balance was $50,248.75 at the time of the P&F meeting.
Alisha enquired about furniture donation payment and how to proceed: Denita advised the P&F
do not get an invoice from the school, the P&F make a donation to the school. Denita advised it
is a transfer into the schools account. Kate said Alisha will activate it and Kate will approve it.
Conclusions:

Current P&F account balance $50,248.75 as of the 14TH of August 2018.

Discussion:
 Father’s day stall prep:
o Fiona, Rhea and helpers are doing a fantastic job
o Smashed out the stall and got it done
o The stall is a really nice feeling and social opportunity
o Leading to a really successful stall on the 29th of august.
 School disco:
o Is locked in and Kate asked Julie Lawson to organize and present her information
in general business

 Guest Principals have been locked in
o Kate advised that the P&F did get some feedback from parents that some schools
were not included that parents would like included. The P&F have found that idea
successful, and will continue next year, hopefully with more time and additional
principals.
 Parents are invited to get involved in upcoming school events
 Choir will be representing the school on Friday 17th August

Discussion:

 Renewing of Catholic identity, Catie has been working hard to rename the buildings, next
stage of sign process has gone up yesterday. All maroon metal signs have gone up on
the buildings now. Just awaiting for emblem to go up beside them now

 Denita and Catie advised that group that a past student had passed away on Friday. The
funeral is being held next week. Denita and Catie advised that Fr John was performing
the mass, and asked if the P&F could do something? To be discussed in unstarred items.

 Feast of assumption feast tomorrow, 15/08/18.

 Book week tomorrow 15/08/2018. Nick in dress up mode.

 Choir on Friday 17/08/18 , QLD Catholic Festival


o Performed on assembly last week and were excellent

 Carpark plans have been acknowledged from council- up to that part of the process
o Kate enquired what next step was?. Dentia said they will be getting their engineers
to look at plans, and that it will be a very long process.

 External review nearly a fortnight ago, it was a three day process where external auditors
came in and looked at the school. Thanks to parents for their time and involvement.
o There are 4 ratings
o Denita advised that only 3% of schools get in the outstanding part, and informed
that most of St Bernardine’s ratings fell within that range.
o Julie Lawson enquired if the external review had something to do with the survey
that was sent/ emailed out- Denita and Catie advised no, that the external review
is done through all schools.

 Denita presentation on the uniform/ dress survery :


o Had over 200 responses
o Parents advised Denita that the school would have had many more responses if
they had of let parents with a boy respond. Parents present stated that if you said
you had a boy, the system wouldn’t let you complete
o Dentia said that was strange as that wasn’t how they set it up

o Denita said positive and negative comments about culottes

 Next questions was would you like to see the dress as an option?; Denita stated that
there was more than half that said no and more than 50% said no to the cost presented
of the dress

 Denita advised that for the dress to be introduced , school needs more than 50% wanting
it. So at this stage, the school will not be going ahead with the dress.

 Said the school can try and look at better options for the culottes, to help with the issues,
toileting, sizing, leg issues, elastic etc.

Kate presented on behalf of Annette, Annette had sent through all required data.

The committee received and noted the report from the Uniform shop

Discussion:
Fiona presented on behalf of Fiona, Fiona had sent through all information on the Father’s Day
stall;
No second wrapping day needed. The father’s day stall is on the 29th of august. Fiona and
Rhea are looking for volunteers to help with the stall. Will be a call out for that.

Discussion:
 School disco; Julie Lawson had been approached, and agreed to organize again this
year.
o Julie Lawson’s presentation on the school disco;
o 19th of October is the date set for the disco
o Advised that the disco last year was magnificent, had about 300 kids attend and
there was a BBQ sausage sizzle.

o Julie stated she had been told it was best disco in five years
o Julie said the disco was previously in the undercover area, However Nick allowed
it to be held in the hall last year.
o Denita informed Julie and parents present that the school always wanted it in the
hall, however, past P&F had opted for the undercover area
o Julie advised that Brad the DJ will be there rocking out his tunes again
o Last year had 18 volunteers
o This year, Julie put it on the mum’s and dad’s page asking for volunteers; informed
the committee that 10 parents have already volunteered, so only need another 8.
Julie said that there are many jobs parents can help out with; security, car park
monitors, monitors, helpers in the hall
o Kate queried the ratio of volunteers to kids? Dentia and Catie said no, no ratio of
volunteers to children.
 Julie suggested having a theme. Said a high school out at Springfield had a super hero
theme, put the idea of a theme to the committee.
o Parents present stated that it might be an extra cost
o Kirsty suggested a glow in the dark theme
 Denita and Catie said think about the stuff, as when it breaks it stains the
floor
o Parents present suggested crazy hair
 Julie asked the group if they wanted to try crazy hair as a theme?
o Mischa said she thinks the kids love the idea of just a disco, without the stress of
costumes.
o General consensus was no to a theme
 Julie advised that she had approached local businesses- Zaps butchery and IGA drakes
for a donation of some sausages, but has been told no.
o Parents suggested trying super butcher, Woolworths or Coles.
 Kirsty said they might be able to give $50 gift card
 Julie said last year Darren bought in about 300 snags and they all sold out
o Denita said he was giving about 50 out at the end
 Julie said there would be snags again, just need help with the cooking
 Quenchers/ coke/ bottle water
 Kirsty said most parents bring drink bottle. Said to let parents know to bring their own
bottles
 Katie said there is enough lost property
 Julie advised she did not want to use single use water bottles at the disco
o Mischa asked Julie why only use single use bottles for soft drink, but not for
water? Mischa stated that if you are going to do one, why can’t you do the other
o Agreed that single use bottles would be available for water and soft drink, no
restriction
 Clinton queried was there a stock take of what was bought last year so that we can go off
quantities from last year? Was advised no.
 Julie queried was there anything else the P&F would want? do we want anything else?

 Kirsty said to just promote it out there so that parents know.


 Kate said that she thinks the disco is for the kids but it is also a great opportunity for the
parents to connect as well.
 Stefania said last year the parents were starving, and can there be some food for the
parents
o Dentia and Kirsty said that the food should have been available for everyone to
buy
 Kirsty asked, is it a drop and go? Dentia and Katie stated that it is either or
o Mischa said that last year, the parents expected to pick kids up in the car park.
That when the kids tried to get out, the volunteers just said too bad they parents
have to collect from the hall
o Kirsty said can it be stated that parents have to collect from the hall
o Denita advised it should be
 Parent queried do you need a blue card to volunteer. Dentia said no you don’t.

Discussion:
Letters received from the grade 6 student committee’s;
 St Bernardine’s believe that all students can be leaders , not just a few. Set up a system
where each student becomes a part of a committee. There are 4 committees.
 Throughout the year, with the guidance of teachers, come up with fundraising ideas – a
legacy they leave the school
 The committee’s vote on whether their idea’s are supported or not supported
 The year 6 committee’s were advised earlier that they can approach the P&F for money
to help support their ideas
Letter received from the Futures committee, attached on page 14
 Kate would suggested that the P&F support their idea
 But asked that there is some kind of report back, or letter to say what they did with the
money and how the event/ idea went
 Denita advised that the P&F makes a donation to the school in the amount that the
committee’s are asking for. The school then passes on/ makes the payment to the school
committee’s
 Futures committee asked for a $50 donation to cover the costs of their material for their
project.

Kate suggested the P&F support their idea of zooper doopers for an athletics carnival,
raising money for St Vincent de Paul.
 Kate said she assumed the P&F can order at cost through the tuckshop?
o Denita and Catie said yes.
o Dentia said packs are about $5 each, could come to about $100. Every child ends
up with one.
o Kirsty said that children are given an entry to participate
o Kate suggested support of up to $120. All parents present agreed.

Ekka canteen option – unhealthy option and expense:
Issue emailed through by a parent
Denita said it is parent’s choice if they purchase the Ekka deal or not
Stenfaia said that it’s for the children that cannot go to the Ekka. That if parents do not
want to order, then they can get another tuckshop order instead
 Dentia said that a few years ago, it had all previously been all sugar. It has now changed,
its chocolate, which may not be good, but is better.
 A parent present advised that it does fit within the guidelines.
 Kate said to respond to the parent and advise them of the discussion
Denita bought up discussion regarding the past student who passed away;

Advised that Father John has kindly offered to do the funeral for free

The school has offered to organize/ do the wake

Suggested / asked does the P&F want to offer food? Kate asked parents if they were
happy for the P&F to donate money for the food.
 Kate stated happy to go 50/50, was the school aware of how much?
o Dentia said yet to get numbers on people attending the funeral
 Clinton suggested $200. Committee and Parents present agreed.
 Kate asked do they need any help organizing anything. Dentia said no, there will be
teachers there to help
 Kate said to let P&F know if there is a need to help organize etc.

 Parent asked is there is/was something being mentioned to the whole school body.
o Dentia said yes, there was something said on morning assembly and prayers are
being said.
 Kate asked if 30mins was enough for the principals . general said yes.
o Catie said to keep it 30 to make it fair for all.

Another relatively quiet month. I had a parent with a broken zip on their school bag, this was purchased with the prep
pack for this year. The company credited our account so I have replaced their bag with a new one.
Other than that, stock was ordered as required at the end of term once I completed stocktake.
