Subject: A collaborative visit CEO of Nagato Co. Ltd to the company

Dear staff,

I am writing to inform all staff about the possible collaboration ventures between our
organizations and Nagato Co. Ltd. that Mr. Ichiro Nagata, the Chief Executive officer (CEO)
of Nagato Co. Ltd. will be visiting our company for the invitation of our CEO for this coming
14 March 2019 from 10 am to 4 pm. This collaboration happens to make sure our company
continues to establish a significant presence in the world of advertising.

I would like to inform our staff for certain things that need to be addressed on that day. A
meeting between Mr. Ichiro Nagata and our CEO will take place at the meeting room exactly
at 11.00 am. I would like to advise all staff to come early to the office for at least one hour
early. The staffs should take care and keep the company neat and clean especially in the
meeting room. Not only keep the meeting room clean all days, but all department must also
keep the office clean and tidy. This is because Mr. Ichiro Nagata is interested in all the
department in our company and he may visit all the department after the meeting.

The most important element that I want to highlight in this email is cleanliness. In this case,
the staffs should concern about their attire. This is because good attire can create a good
impression and image for our company. In order for him to have a good impression on us, we
need to follow the good attitude practiced by Japanese people. Proper business attire is
important for every business because it presents a visual image and sends a message that the
staff is professional. Besides, the staffs in good attire can show their respect for the arrival of
Mr. Ichiro Nagata.
