REPORT ON KAKOOGE AND ENTEBBE PROJECTS

ENTEBBE ASEPTIC PROCESSING AREA

Brief
As you are aware, our company was approached for our service in the renovation of the factory
building behind our office
Narrative
On Monday, 15th April, Michel visited our office with a colleague Jules Camirand who is a mechanical
Engineer, we went on to visit the warehouse where he made it clear to us about the area of priority and
discussed to us the urgency of the work.
He continued engaging us seriously on Tuesday where he came with two concepts and asked if we
could price the two so that they can weigh and choose which option is best for them. Due to the
urgency, I contacted you, Denis and fortunate to create a rough budget for the renovation, But I didn’t
succeed because all the Quantity surveyors where occupied and unavailable which he wasn’t happy
with.
But an explanation with the help of your email helped reduce his disappointment. He insisted on
visiting the materials sites as he was almost developing the actual fixing details by himself, even
specifying the sizes of the members.
An has he requested, on Wednesday 17th April we visited a steel outlet in Abaita where he took interest
on 80x40mm hollow sections and L Shaped 50x50 bars for the ceiling as I a drawing I sent to him
yesterday.
We later in the afternoon Proceeded to Roofings Ltd. and Nakasero where he saw the Gypsum Boards
and C Section for ceiling and walls He didn’t get the coated gypsum boards he wanted but said the
ordinary Gypsum boards can work.
We also proceeded to Industrial Area where he wanted to see a machine for grinding the floor, where
he made quite an alarming statement to his driver. He said, “The diver should remember the route to
the place because they might go back there. This statement gives me an impression that he wants to
do the job by himself. From there, we proceeded to Bweyogerere to see scaffoldings.
In the morning of Thursday 18th April, I sent him (Jules) an SMS communicating that I would not be
around in office because I have a commitment in Kampala.
An hour later I received a call from Victoria that he came to office and asked for me, he later called at
around 2:00pm when I was on the way to Sunbelt with the Kakoge Clients, where he insisted I should
send him a calculated budget and we must be able to buy materials for ceiling on Tuesday so the work
can kick off. I promised to send him something by the end of that day which I tagged you in, the
document has number of pieces of each of the items needed but no prices for it though he had noted
down the prices of some materials when we visited.
Conclusion.
From my observation with the interactions I had with Jules, I think he wants to do the job himself using
our workers under his intense supervision.
Though he is also very committed in continuously involving us in the process though he already has
everything to continue the work by himself .
Recommendation
I do recommend you to schedule a meeting and discuss intensively with him the terms of our contract
with him so as we know clearly.
KAKOGE FRUIT PROCESSING CONCEPT
Brief
On Thursday, as you requested I and Peter attended a meeting with the clients of the fruit factory at
Sheraton Hotel in Kampala
Narrative
We arrived at the hotel a few minutes to 11:30am with a printed copy of our concept and met madam
Olivia, Mr Francis who I believe is Madam olivia’s brother and Mr Sebastian an Italian engineer who
works with a company called FENCO a supplier of fruit processing equipment.
Madam Olivia asked for some of our projects where we hinted Rainwater collection which she picked
interest in and told us about about 20 schools in Mbarara which they want to donate water to and
asked for a quotation of a simple rainwater system.
On the factory, Sebastian described to us the machines that will be used, its layout and some design
criteria we should consider while designing the factory warehouse. They too had a sample floor layout
showing the positions of the machine.
Mrs Olivia excused herself and left us while we were discussing the machines as she had another
meeting to attend.
I presented our first concept to them, Sebastian commended its similarity to their concept and that our
concept could be adjusted to fit the machines.
But Francis had already developed a interest in Sebastian’s simpler layout and insisted that we do it
exactly like the way it was, I tried to argue that we can improve the layout and blend the two to come
out with the best possible layout but he already had a fixed mind and wasn’t about to be changed.
To me, Sebastian’s layout didn’t have what I considered significantly important rooms like store for
raw materials, packaging materials etc.
Their Idea wasn’t bad but I argued also to keep relevancy of our concept and atleast give an
impression that we had at least done some work we are confident in and not just allow to discard it
and adopt a new one very fast, though within a short while I had to submit to the idea because Peter
was already on their side and I didn’t want it to appear we are on different sides yet on the same team.
So we decided to take Sebastian’s layout exactly how it was and he sent me a .dwg file of his drawing.
On materials we wholly decided that on the external walls, we will use concrete blocks to a height of
3m and iron sheets or sandwich panels to height of 3m on top of the concrete block
The inside partitions will be plywood or gypsum boards and floor will be concrete.
By that time Olivia had already left so she wasn’t on the discussion and am not sure if later she was
informed fully on that decision
We later took a trip to Sunbelt to see some of the materials when Mrs. Olivia got back.

Conclusion
From my observation, Miss Olivia wishes to support smaller companies and she hinted of a design and
build contract for us.
