Private Limited for giving me opportunity to complete my internship report within
the organization. For me it was a unique experience to be in Ansar-E-Pakistan Travel
& Tours Private Limited. I am especially thankful to Mr. Imran Ahmad Ghauri,
Director, for providing me comfortable environment during internship tenure in his
Office. It also helped me to have new plans for my future career.

Executive Summary

The reports is about a travels company “Ansar-e-Pakistan” which starts its business in 2002 and
now it issues Pilgrimage and Umrah tickets at domestic and international levels. The company
has its policies for the smooth running of operations and equality of rights among employees.
The company has different departments for managing the whole dealings with clients and work
schedules. In last, the company is working for the best of the society by providing sacred
services of Pilgrimage and Umrah.

Overview:

History:

The prestigious company where I have done my internship is Ansar-E-Pakistan Travels and
Tours (Pvt) limited. The basic purpose of doing so is to improve my degree and make it
attractive. Company was established in 2002 and registered in DTS (Department of Tourism and
Services) under the supervision of Ch. Masud Ahmad. Primary goal of this company is to
provide majestic facilities to society. It’s a private limited company and listed in SECP (Security
Exchange Commission of Pakistan) in 2002. Company has two directors, Madussar Masud and
Shahida Masud. It’s a privilege to company that its directors and chairman have Saudi
Nationality. It’s a wall mark of their struggle that in starting they had only two General
Managers; Sajjid Mughal and Imran Ahmad Ghauri, One accountant, One HR Manager, Two
Ticketing Manager for International Ticketing and Domestic Ticketing, One Office Boy and One
Rider but now it has two subsidiaries Companies which are as follow:

1. Ansar-E- Jadeed Travels and Tours (Pvt) Limited for Hajj and Umrah Services.
2. Raptor Air Travels IATA for Air Ticketing (Domestic and International).

Company got certified from DTS (Department of Tourism and Services) Vide No. LHR/5745 and
they properly started working for Umrah Services in same year. The company got certified again
from IATA (International Air Transport Association) in 2005 Vide No. 27309041 and company
started working for issuance of Domestic and International Tickets.

On the other hand, after Umrah services now company strives hard to get license for Pilgrimage
services and after long struggle they got Govt. License from MORA (Ministry of Religious Affairs)
in 2006 Vide No. 3193.

Now Company is working 24/7 to serve the society.

Introduction:

Ansar-E-Pakistan Travels and Tours (Pvt) Limited is located at Shimla Tower, Office No G-3, Near
Shimla Pahari , 5-Devis Road Lahore. The basic purpose of the organization is to serve society
and provide them better facilities for sacred doings. The major dealings of the company is with
Air Ticketing, Umrah and Pilgrimage.

The company has two subsidiary companies:

1. Ansar-E- Jadeed Travels and Tours (Pvt) Limited (67-A1, Abdali Chowk Islampura Lahore)

2. Raptor Air Travels IATA for Air Ticketing (G-19,Hill View Arcade,5-Devis Road Lahore)

These two companies always try to work within the verge given them by parent company.

Why we vanquished in market? The basic reasons are;

1. Proper and continues supervision.

5. Better services as compared to our adversaries.

6. Customers facilitation and honors during sacred doings.

be absent from work from time to time. However, frequent absenteeism or tardiness may
result in disciplinary action, up to and including discharge. Excessive absenteeism or frequent
tardiness puts an unnecessary strain on your co-workers and can have a negative impact on the
success of the Company.

You are expected to report to work when scheduled. Whenever you know in advance that you
are going to be absent, you should notify your immediate supervisor or the designated
manager.

5. Dress Code and Public Image

As an employee of the Company, we expect you to present a clean and professional


appearance when you represent us, whether you are in or outside of the office. You are,
therefore, required to dress in appropriate business attire and to behave in a professional,
businesslike manner.

6. Personnel Records

It is important that the Company maintain accurate personnel records at all times. You are
responsible for notifying your immediate supervisor or the Human Resources Department of
any change in name, home address, telephone number, immigration status, or any other
pertinent information.

7. Performance Reviews, Salary Reviews

You will have your first performance review at the end of your first three months of
employment with the Company. Thereafter, performance reviews will normally be conducted
annually on or about your anniversary date. All performance reviews will be completed in
writing by your supervisor or manager on the form designated by the Company, and reviewed
during a conference with you. Factors considered in your review include the quality of your job
performance, your attendance, meeting the requirements of your job description,
dependability, attitude, cooperation, compliance with Company employment policies, any
disciplinary actions, and year-to-year improvement in overall performance.

8. Responsibilities and Obligations

Employees may not access, download or distribute material that is illegal, or which others may
find offensive or objectionable, such as material that is pornographic, discriminatory, harassing,
or an incitement to violence.

You must respect and comply with copyright, trademark and similar laws, and use such
protected information in compliance with applicable legal standards. When using web-based
sources, you must provide appropriate attribution and citation of information to the websites.

Software must not be downloaded from the Internet without the prior approval of qualified
persons within the Company.

9. Smoking

In order to provide a safe and comfortable working environment for all employees, smoking is
strictly prohibited at all times inside any Company building.

10. Promotions and Transfers

In an effort to match you with the job for which you are most suited and/or to meet the
business and operational needs of the Company, you may be transferred from your current job.
This may be either at your request or as a result of a decision by the Company.

Reasons for transfer may include, but are not necessarily limited to, fluctuations in department
workloads or production flow; a desire for more efficient utilization of personnel; increased
career opportunities; personality conflicts; health; other personal situations; or other business
reasons.

11. Leaving the Company

If you wish to resign your employment with the Company, we request that you notify your
manager of your anticipated departure date at least one month before. This notice should be in
the form of a written note/ letter.

Introduction of all the departments:

The followings departments are:

1. Human Resources Department:

Human Resources department is responsible for hiring and firing employees, training workers,
maintains inter-office relationships and interpreting employment laws. HR manager plan,
direct, and coordinate the administrative functions of an organization. They oversee the
recruiting, interviewing, and hiring of new staff; consult with top executives on strategic
planning; and serve as a link between an organization's management and its employees.

2. Admin Department:
Admin department is responsible for contact for all employees, providing administrative support
and managing their queries. Main duties include managing office stock, preparing regular reports
(e.g. expenses and office budgets) and organizing company records. The office of the
administrator also responsible for ensuring that the administrative activities within an
organization run efficiently, by providing structure to other employees throughout the
organization. These activities can range from being responsible for the management of human
resources, budgets and records to undertaking the role of supervising other employees. These
responsibilities can vary depending on the employer and level of education.

3. Accounts Department:

The accounting department is responsible for recording and reporting the cash flows, both in and out, of
the company. There are five basic roles or functions within the department:

 Accounts payable
 Accounts receivable
 Payroll
 Financial reporting
 Financial control

4. International & Domestic Ticketing Department:

International and Domestic Ticketing Department is responsible for issuing air tickets to the
clients at cheap rates. For this purpose there are two ticketing officers in this department. One is
for International Ticketing and other one is for Domestic Ticketing. There are some software for
booking, issuing, checking flight schedule and hotel booking. These software’s are Galileo,
Amedous and Sabre. These software’s are working on the basis of coding. Every country, city,
Airports, Airlines and states have codes, which are used in these software’s.

5. Hajj and Umrah Department:

Hajj and Umrah Department is responsible for collecting all the documents
(Original Passport, Pictures, CNIC, Marriage certificate from couples, B-Form, Polio Vaccination,
Bio Metric, and Medical Certificate) from the client and after verification, send these documents
to the Saudi Embassy for approval of Visa. The Visa Processing time is maximum 15-Days. After
that the said department is responsible for booking hotel and air ticket for the client. After that
process client can have travel for Umrah or Hajj.

Comments on organizational structure:

The structure of the organization is very simple. Organization structure has three layers
(Top, Bottom and Lower). The top level of the organization is consisting of 3-Directors. One
Director is active in all operations and others two are sleeping partners. In the bottom layer of
the organization, organization consists of One General Manager. The General Manager is
responsible for the all activities of the organization. In the lower layer of the organization, the
organization consists of one operation Manage. Operation manager is responsible for all the
day to day activities of the organization. All the staff who deals with the clients is directly under
the Operation Manager. The strong organizational structure is helpful to work easily.

Plan of your internship program:

Introduction of the Main Office where I did internship:

I completed my internship report in main office where I worked. It is located at Shimla Tower,
Office No. G-3, Near Shimla Pahari, 5- Devis Road, Lahore. Director, General Manager,
HR Manager and Admin Manager have seats here. Remaining staff are also sit here. The main
office is responsible for giving direction to the subsidiaries and also have check & balance on
these. The HR Manager and Admin Manager coordinate with all the branches and their staff for
all the matters and day to day activities. All the Hajj and Umrah Clients documents which are
collected by subsidiary are also checked here. Hiring and firing of the employees are done here.
All the official and financial matters are discussed here with the higher management. The issues
regarding the employees (i,e salary, compensations, promotions, leaves, workload, carrier
issue, office environment) are resolves here .

Operations & Activities Performed by the Department Where I worked in:

I am working in Ticketing Department as a Ticketing Officer and the department supervised by


Operation Manager. The basic working of my department is issuing tickets to the clients at
cheap rates. For issuing tickets we use different software’s just like are Galileo, Amedous and
Sabre. These software’s are working on codes. Different cities, states, airports, countries have
different codes. All Airlines tickets are available on these software’s. We booked tickets at the
spot or in advance at low price. IATA is the agency, who gives us registration for doing so.
We have also facility to refund or cancel the ticket, according the rules and regulations given by
the Airline.

Ansar-e-Pakistan is a well-known private travels company which serves the society with sacred

SWOT Analysis:

Annually a company needs to be reminded of the need for a SWOT analysis. The SWOT
acronym indicates Strengths, Weaknesses, Opportunities, and Threats. The traditional
SWOT looks at Strengths and Weaknesses of a business (internal factors) and tries to
thereby ascertain the relationship with Opportunities and Threats (factors external to the
agency). One of the most important aspects of a SWOT analysis for travel agencies is very
simply the act of planning: the analysis makes you take a good look at your positioning in
the market. Each component of the SWOT analysis bears a relationship to the others.
Each of your strengths will give rise to opportunities or the capacity to exploit an
opportunity. Likewise, your strengths allow your travel practice to better confront the
threats on the horizon or compensate for weaknesses.

Opportunities:

We know our hypothetical travel agency’s strengths and weaknesses. Now, it is time to
think about the opportunities that the market is presenting. Opportunities are external to
the company and present the possibility for profit and growth. Analyzing opportunities
requires a good working knowledge of local, regional and national trends. Changes in the
public perception of particular destinations, pop culture, improving economic conditions,
pent up demand or changes in local demographics can have real impact on a travel agency’s
opportunities.

Here is a list of possible opportunities of our agency:

 ABC Travel, a competitor, looks weak – no marketing during recession – laid off
employees

It is easy to see that opportunities may be fleeting. For that reason, a SWOT analysis cannot be
treated as a static plan but should be considered alive and organic. Not all opportunities can be
anticipated by the travel agent and therefore some room must be left for contingency and
unexpected opportunities.

Threats:

I am almost hesitant to discuss threats to our agency. Most of us too easily imagine all the
possible perils that wait at every turn. It keeps us up at night. Worse yet, threats can cause even
the most stalwart travel agent to do the worst possible thing – nothing. Threats have a way of
making business people pull in their resources and withdraw from the marketplace. The value
of a SWOT analysis, however, is to recognize threats ahead of time and to counter weaknesses
and marshal our strengths so that we can not only exploit opportunities but can counter,
prepare for and diminish threats early on.

Threats are external to the agency. They might come in the form of a new competitor, a bad
national economy or conditions that are completely local to your community. A terrorist attack
anywhere in the world would be a threat as it might keep people from traveling. Any of these
events or circumstances would threaten an agency’s ability to exploit opportunities, to grow
and prosper.

Here is a list of possible threats to our agency:

 Political chaos is causing market uncertainty
 The competitor across town just affiliated with a large industry franchise with lots of
marketing dollars

Conclusion:

Now we come at the conclusion of the report, Ansar-e-Pakistan travels is a re-known travel
company that is working for the better travel services of the society. Company has 2 subsidiary
companies that are successfully running. It offers tickets at cheapest rates. Company has made
marvelous policies that helped him to encounter the daily tasks without any hazardous.
Different departments are collaborate with one another to provide customers with the more of
their services and helped them to be comfort during travel. At the end, I would like you to tell
the purpose of writing this report. The purpose is to complete my degree and show them the
internship proof. All the information used in this report is fact based as these are collected from
logical and real sources.

Recommendations:

Although company is working at optimum level to serve the community but it also
needs some development. Company should properly advertise its current and latest offers to
the public to make them acknowledged. They should hire the staff that is able of dealing
customers online. Online help and service staff is necessary to be contacted with customers,
ask them their problems and quickly response to their issues. The company needs to expand
the marketing budget to attract potential customers, retain current customers and back up the
old ones. Another issue is absence of group leader. Proper working required a leader who
control and check the activities. The company should encourage leadership among team
members. There are number of opportunities available in the market. The company needs to
access those opportunities and try to increase its growth patterns. In last, company can achieve
excellent results by continuously analyzing market demand, connecting with its customers, best
relationship with employees and providing excellent services and facilities.
