1 PURPOSE
It is established to provide a proper system for emergency repair & maintenance
of machinery/equipment.
2 SCOPE
It is applicable to Production, Warehouse, Quality Assurance, Quality Control
and Engineering Departments.

6 PROCEDURE
6.1 If there is any problem found in the machinery/equipment during its operation and
the operator is unable to solve the problem, the concerned machine operator
immediately informs his Sr. Supervisor/Line Incharge/Section Incharge and then
informs his or her officer about the problem of the specific machine / equipment and
pastes a sticker of Out of Order.
6.2 The concerned officer initiates two copies of Maintenance Call.
6.3 After verification, the Departmental Head sends both the copies to the Engineering
Department for necessary and immediate action.
6.4 The Sr. Foreman Engineering receives with signature and sends back the duplicate
copy of the Maintenance Call to the concerned officer.
6.5 After receipt of the Maintenance Call, the concerned Engineering person notes down
the particulars in Maintenance Call Receiving Log.

6.6 The Sr. Foreman Engineering checks the nature of work requested in and asks the
concerned mechanic as per category/urgency of work.
However, if major repair is involved, the Sr. Foreman Engineering informs the
concerned Officer before starting the job so that the machine can be released at
specific time.
6.7 The mechanic before entering the Production areas takes precaution measures as per
area requirement. (Caps, Gloves, Mask etc.)
6.8 No Production activity would be carried out during maintenance of the
machine/equipment.
6.9 Before carrying out the repair work a sticker of “Under Repair” is fixed on the machine
for its status by the concerned mechanic.
6.10 After completing the job, the mechanic removes the sticker of Under Repair from
machine.
6.11 The mechanic puts his signature with remarks and details of repairing in the
maintenance call form.
6.12 After verification, the Sr. Foreman Engineering submits it to his Assistant to note
down the remaining particulars (after completion of work) on the Maintenance Call
Receiving Log.
6.13 Finally, Sr. Foreman Engineering transfers the machine to the concerned section and
gets acknowledgement remarks and maintains the record in a file for future reference.
