Thank you for your participation in the upcoming SEAFOOD SHOW OF ASIA 2018, being held on 21 - 24 November
2018 at Jakarta International Expo, Kemayoran, Jakarta, Indonesia.
The purpose of this Exhibitors’ Manual is to efficiently assist your company in preparing for your forthcoming participation
in this exhibition.
You are advised to study this manual carefully and thoroughly to ensure that all relevant matters are processed smoothly
and arranged properly. You should have a copy of all forms for your reference, so that queries can be clarified immediately
should they arise.
Upon completion of the relevant forms, please visit and fill in at https://www.kristaexhibitions.com/exhibitor/login, using
your username and password to log in. Please note that you will receive your username and password by email. In case there
would be any trouble, please email to exhibitormanual@kristamedia.com.
In the unlikely case you could not fill in the forms online, please feel free to, once duly completed, either email them to the
email address above or fax them to +6221 6340140, 6342113, 63869154 with respective companies stipulated on the top
right hand corner of the forms. We would be grateful if you could observe closely the deadlines for submission.
We will endeavour to maintain rates and prices quoted for all items contained herein. However, there is a possibility that
these may vary depending on the availability of material or labor before the opening of the Exhibition.

You could find taxis either at Trade Mart on JI Expo Kemayoran or at Airport.
By Car
From the Airport, please take the highway Jl. Bandara Soekarno-Hatta directly to Jl. Prof. Sedyatmo Highway. Keep right
at the fork and follow signs for Tol/Lingkar Dalam/Jakarta. Keep right to continue on Jl. Tol Pelabuhan and take the Exit to
PRJ Kemayoran/Ancol. Continue on Ancol Gate Highway/Jl. Benyamin Suaep until you reach JIEXPO (on your right side).
From Jl. Gunung Sahari Raya, take Jl. Angkasa to Jl. Benyamin Suaep until you reach JIEXPO.

By Public Transportation
You can use TransJakarta bus network. From Harmoni Central Busway, head to Kota with Line 1. From there, please take
line 12 heading to Tanjung Priok and get off at stop 12-11 Kemayoran Landas Pacu Timur.
From there, we would highly recommend you to ride a taxi as walking to JIEXPO is not convenient.

IMPORTANT
Exhibitors are strongly urged to follow the build-up and dismantling schedule alloted. Any build-up and
dismantling procedures done prior or beyond the prescribed schedule will not be allowed.

2.2 Build-up - Exhibit - Dismantling
2.2.1. Build Up
! IMPORTANT NOTE: Due to build up and dismantling, there will not be any
electricity supply power on the hall, please bring your own generator if you need it.
Steps before build up day
»» Settle payments with the Finance Division.

»» Registrer at Organizer’s office when arrived at JI Expo.
»» Get badges, Exhibitor’s Kit, Opening Ceremony Invitation at Organizer’s Office.
»» Get Move in/out form from security for moving in/out exhibits.
Permit for moving in/out all exhibits can be obtained by following the few steps below:
»» Get move in/out form from security on each loading dock.

»» Fill the form completely.
»» Give it back to security for final checking.
»» Get security’s signature to allow move in/out exhibits.
• Move In/Out schedule will be sent to all exhibitors as a reminder on 1 November 2018. It will contain specific
build up schedules during build up and the contact person on site. All exhibitors are expected to be ready with their
exhibition materials by this time.
• Build up starts exactly at the given time. All exhibitors with special designs are expected to assemble their systems
within this period. Assembling shall be done by the official contractor for those exhibitors who availed of its booth
system package.
• There will be no electricity during build up (18-20 November 2018) and during dismantling (24 November 2018).
Please contact your contractor to bring your own generator on build up and dismantling day.
• Exhibit Heights And Weights
Exhibitors should notify the organizer of any item of machinery over 3 metres high, or exceeding one ton in weight.
Exhibits on stand service or package stands may not exceed the fascia height of 2.5 m without the written permission
of the organizer.
• Air-Conditioning
Air conditioning will operate in the hall during the show day period only. No air conditioning will be provided during
build up or dismantling periods.
2.2.2. During the Exhibit
• All users of the exhibit halls are expected to ensure cleanliness within their own booth.
• Exhibition halls open one hour before the exhibit.
• Replenishing of goods and stocks, fixing and arranging of booths should only be done before or after the exhibition
hours and have the permit from the Organizer.
• Those wearing slippers, sandals and short pants shall not be allowed entry into the exhibition hall.
• Sanitation within the booth area shall be maintained by the exhibitor.
• All exhibitors are strictly prohibited from using the aisle as display/storage during show days. Please keep materials
within your designated booth areas.
• Persons below 17 years old are not allowed during show days, they should bring ID card or student card as a prove
to enter the exhibition hall.
• No one is allowed to use the main entrance at any given time to bring in items to be used/sold during the fair.
Exhibitors are advised to use the loading bay entrance for this purpose.

2.2.3. Dismantling
• Dismantling starts exactly at the given time. All exhibitors with special booth designs are expected to dismantle their
systems within this period. Dismantling shall be done by the official contractor for those exhibitors who availed of
its booth system package.
• For reasons of security, safety and obligation towards exhibitors and visitors, no display material or exhibit may be
dismantled before 7 pm on Saturday, 24 November 2018.
• The Organizer accepts no responsibility for items brought into the exhibition hall by the exhibitors, contractors, or
their respective servants, agents, sub-contractors or invitees. Such items will remain at the owner’s sole risk within
the exhibition stand.
2.2.4. General Security
• General security provided by the organizer should not be expected to provide more than a presence to inhibit
theft. Security guards will patrol the exhibition hall in general, but their duties will not include specific attention to
individual stands.
Security for Individual Stand
Please note that you may NOT use any personnel from any other company other than from the official security
agency. Your staff will not be allowed to stay overnight in the exhibition hall.
It is impossible to provide complete protection against theft. We strongly advise that cameras, telephone handsets,
souvenirs, valuable documents, etc. are kept in secured cabinets or rooms. Please also ensure that your exhibits are
properly insured. The following simple precautions may be helpful:
1. Lock up all valuables including souvenirs before you leave your stand at the end of each day. Display these
valuables only when your booth is manned.
2. On the last evening of the exhibition, once the show closes, remove all valuables for immediate packaging and
return to your office or factory. DO NOT leave your stand unattended. DO NOT leave exhibits, souvenir items,
consumables etc. on your stand, not even in locked cupboards as all furniture will be retrieved by suppliers once
the show is over. DO NOT take chance with your valuable - once they are lost it will be almost impossible to
recover them.
Security Procedure
1. Please wear appropriate badges at all times within the exhibition complex as personnel without proper badges will
be refused entry into the compound.
2. Movement in and out of the exhibition halls will be restricted to designated control points, including freight
movement.
3. Only vehicles for delivery purposes will be allowed into the freight yard. All vehicles will be inspected jointly by
the appointed security agency and the venue owner at entry point.
4. Identification & security checks will be carried out at the entry points for all personnel, including exhibitors,
visitors and contractors.

service, please refer to the related forms included in both the E-Manual (online) and this Exhibitor’s Manual
from Page 36.
3.1.2. How to set up your stand
»» Step 1: Ordering your Bare Stand
SIAL INTERFOOD sales team will send the Application Form as an agreement for participating to the exhibition
and to all of the existing rules and regulations.
»» Step 2: Complete information needed
The exhibitors shall make sure to fill in all the necessary forms including Guarantee Letter (listed on Contractor’s
Guide)
For bare stands, the organizer needs all necessary information and contact details of the contractor - full name,
contact number (office and mobile number), and e-mail - to be provided in form 9 (E-manual).
For all catalogue data, please refer to forms 1,2,3.
Please fill all the forms needed before 21 September 2018.
»» Step 3: Order any additional services
Order any technical services (electric connections, phone lines, parking facilities, etc) by filling the related forms
directly online via the E-manual (https://www.kristaexhibitions.com/exhibitor/login) or via the forms included in
this Manual Book would you not be able to access the online version.

The stand’s decoration plan and layout indicating dimensions must be submitted to the SIAL INTERFOOD team
at exhibitormanual@kristamedia.com before 19 October 2018.
3.1.3. Stand Design Regulation
! All official and supporting contractors are required to guarantee that they will complete preparation on
time and accept liability for any damage or garbage clearance.
• Special Design stands are to abide by the Rules and Regulations of this Exhibitors’ Manual.
• Exhibitor with special design stands or upgrading their stands will have to ask their appointed contractor to fill
in Form 9.
• You may only appoint your own stand contractor according to the list of our official and supporting contractors,
with the exception of electrics. Other contractors which are not listed as our official or supporting contractors are
not permitted to enter the exhibition area without permit from the organizer.
• Exhibitors building their own stand must submit a drawing of their stand design with dimensions to the show
organizers for their approval. This drawing should be attached to the related form, completed with the name of
the stand contractors and send to exhibitormanual@kristamedia.com.
• Maximum height of stand structures inside the halls is 4.5 m. It is not permitted to exceed 4.5 m without the
organiser’s written permission.
• All stands must have one third of the frontage on each side open, or fitted with transparant material.

• For double-decker stands of more than one storey high, detailed plans must be submitted to the organizer in
advance for approval. Upper storeys may not exceed a total of 6 m in high and occupy no more than 30% of the
ground floor area. Upper storey space will be charged at 50% of the “raw space” price. Double-decker stands
minimum floor size or space for more than one storey must be 36 sqm.
• No exhibitor or agent may use the exhibition hall, ceiling, pipes, fixtures, floors or wall in any way (i.e. nailing.
wiring or fixing of any exhibits to any existing structures is strictly prohibited). No exhibitor or his contractor
may use any wall belonging to any other stand.
• No stand, exhibit, floorcovering or lighting shall extend beyond the exact dimensions specified in the exhibitors’
space contract. e.g. fascia boards may not project into the aisle, nor can furniture or plants be placed in the aisles.
It is not permitted to bridge gangways in any way with standfitting, nor to place exhibits or floorcoverings in the
aisles. Exhibitors must lay floor covering over the whole area of the stand, taped down on all edges.
• All exhibitors, contractors or agents are responsible for the dismantling and removal, by stated deadlines, of any
stands they have constructed.
• All exhibitors with special stand design or who will upgrade stands, please be aware that their appointed contractor
must cover the back wall of stands with white paint / coverings. The company logo is permitted to be placed but
shall not cause any damage to the partition wall or any other material.
• Contractor is required to submit the Contractor Deposit Fee (refundable) before entering the hall. The Contractor
Deposit Fee must be submitted to PT. Kristamedia Pratama Finance at Jl. Blandongan No 28 D/G, Jakarta, 11220
by Cheque/ Giro/Cash addressed to PT. Kristamedia Pratama. Contractor will receive payment receipt from PT.
Kristamedia Pratama Finance (PT. Kristamedia Pratama Finance office hour :
Monday – Friday :08.30 – 17.00; Saturday : 08.30 – 12.00; Sunday : Close)
1 – 15 sqm = IDR. 5.000.000 / stand
16 – 50 sqm = IDR. 10.000.000 / stand
51 – 100 sqm = IDR. 15.000.000 / stand
>100 sqm = IDR. 20.000.000 / stand
In case of damage, exhibit goods or garbage being left behind after the event closes and any other unfavorable
circumstances due to construction work, JI Expo has the right to deduct of forfeit the Contractor Deposit. This
deposit will be refunded in full (except for late fee, if any) if no damage, garbage being left behind or breach of
working rules & regulation
• Contractor other than the Official Contractor will be required to submit the MANAGEMENT FEE (non
refundable) before entering the hall.
The Management Fee must be submitted to PT. Kirstamedia Pratama as Inspection Fee to the contractor who
are not appointed as official contractor.
• Contractors not abiding by the Rules and Regulation set in this Exhibitors’ Manual and Contractor Guide book
will strictly not be allowed entry into the exhibition hall.

B. How to set up your stand

Step 1: Ordering your Complete Stand
The SIAL INTERFOOD sales team will send the Application Form as an agreement for participating to the exhibition
and to all of the existing rules and regulations.
Step 2: Complete Information needed
Please complete information for catalogue registration in forms 1,2,3 as well as Stand Fascia Name in form 1 and
submit it before 21 September 2018.
Step 3: Order any Additional Services
For any additional services (electric connections, phone lines, parking facilities, etc), please fill all the necessary forms
to be submitted before 19 October 2018.

Section 4 - Services and Forms

4.1 Services
Power Supply And Lighting (form 11)
220 volts single phase, 50 cycles; 380 volts three phase, 50 cycles. All electrical work must be carried out by the
official contractor. Because of the occasional power fluctuations, sensitive equipments need a voltage regulator.
Exhibitors requiring electrical power for stand building purposes are requested to submit form 11 before 19
October 2018.
Power supply orders made on site (from 18-20 November 2018 onwards) will be charged 50% extra, supply will
be given the night before the opening of the exhibition (20 November 2018).
Hostesses
Please email to Pryscilla.Andita@kristamedia.com would you like to hire hostesses for the exhibition.
Translator
Please fill in form 17 for Translator order. For specific languages, please email to Pryscilla.Andita@kristamedia.
com to check availability. Working hours for the translator will be the same as the exhibition hours, from 10 am
to 7 pm.
Badges for suppliers

»» Contractors and Freight Forwarders can get their badges on the first day of build-up at the Organizer’s office.
»» Contractors will receive all necessary forms to fill in and to order their badges on time before the show.
»» Please make sure both your contractor and freight forwarder get in touch with the Organizer prior to the show.
Parking Orders
We are highly adviced to all the exhibitors to order the parking pass for all your team’s vehicles (car or motorcycle),
exclude van, box, and truck. Please refers to Page 33.
Shipping and Freight Forwarding

Approved freight forwarding contractors have been appointed as handling and clearing agents for this exhibition
in Indonesia. Please refer to our list of partners on Page 6 for further details.
Outside of these forwarders, no other forwarder will be allowed to enter the exhibition area. Full documentation,
details of procedures, scheduling of dates and cost estimates will be sent to exhibitors by these companies upon
request.

Stand Cleaning
The official contractor will be responsible for cleaning the stand carpets - for pre-eqquiped stands only - and
gangways each day of the exhibition, free of charge. Exhibitors are responsible for cleaning their own exhibits and
furniture.

Visas And Travel Information

a. Immigration
»» Visitors are required to possess passports valid for 6 months beyond travel dates.
»» Despite the recent relaxation of visa requirements for tourists, exhibitors are recommended to possess a valid
business visa which can be applied for at an Indonesia embassy or through a consular representative.
»» The organizer do not accept any responsibility for obtaining visas for exhibitors to travel to Indonesia.
»» Exhibitors are responsible for obtaining their own visas in good time in advance of the show date. Any exhibitor
cancelling participation in the exhibition due to failure to obtain visa will be liable to cancellation charges.
b. Health regulations
There are currently no official health certificates required for Indonesia but any exhibitor intending to travel widely
in Indonesia may wish to check with their health advisor.
c. Confirmation Letter
Organizer could provide a confirmation letter for the Exhibitors by filling the Visa Application Form (Form 18).

Section 5 - Payment and Cancellation Information
5.1 Cancellation of Exhibition Space
In the event of the organizers agreeing to any request for release from the contact, the exhibitor will be
liable for all, or part, of the cost stated in the contract in accordance with the following scale :
Cancellation period Liability of Exhibitor

Cancellation 271 days or more before the show 15 % of total stand cost
Cancellation between 270 and 181 days before the show 40 % of total stand cost
Cancellation 60 days or less before the show 100% of total stand cost
The scale of charges will apply only from the date the organizer receive written notice. In addition to
this scale, the exhibitor will be liable for any specific costs incurred on his behalf by the organizers.
These terms cannot be varied under any circumstances.
5.2 Payment For Space
The payment schedule for space only, stand service or package stands is as follows :
a) 30% as down payment upon confirmation of participation.
b) Balance by dates specified on the contract.
Where the application is made after the balance date specified on the contract, the total cost shall be
payable with return of the contract.
The total cost represents only the payment for the site, details of which are set out on the space contract
and all other goods and services required by the exhibitor shall be paid for by the exhibitor in addition
there to.
Exhibitors will not be allowed to occupy their space or stands if the payment terms specified on the
contract are not followed. These terms cannot be varied under any circumstances.
Interest at the rate of 2% per month will be charged on any amount outstanding for a period exceeding
14 days after the due dates for payment until payment is made.
5.3 Payment Guidelines
a. Please pay for exhibition space, telephones, catalogue advertising, billboards and seminars by
cheque, bank draft or transfer made payable to “PT. Kristamedia Pratama”.
b. Order forms are equivelant to pro-forma invoice. Official invoice/receipt will be given once payment
has been received by the organizer.
c. Please be sure to check that you have paid in full for extra items before the show. Stocks of some
items are limited. Extra items ordered during the show build up period will be subject to 25%
surcharge and must be paid in advance.

Section 6 - Rules and Regulations
6.1 Organizer’s Rules and Regulations
Badges
Minors, under the age of 17, whether accompanied or not, will not be admitted into the exhibition hall at any time,
from the build - up period through to the last day of dismantling.
Exhibitors can get their badges at the Organizer's Office.
Visitors can get their badges at registration counters.
All personnel entering the exhibition hall must wear identification badges which will be issued by the Organizer upon
submission of Form 6. Badges are not transferable.
• Exhibitor’s badges (Form 6) will be issued at the Organizer's Office on-site to exhibitors and their representatives
who will be manning the booth.
• Temporary badges will be issued to delivery personnel. These will be issued at the entry point upon surrendering
their identity card, valid work pass or passport for foreigners. Each delivery visit will be restricted to 1 hour
maximum.
Attire
During in the exhibition, all exhibitors and visitors must be in proper business attire. Those in shorts, slippers or
sport sandals will not be allowed entry. The organizer reserves the right to refuse admission to any personnel not
appropriately dressed.
Working Exhibits / Noise
The organizer reserves the right to determine the acceptable sound level and extent of demonstrations of working
exhibits in the event of complaints from other exhibitors. The organizer reserves the right to terminate any working
exhibit deemed to be dangerous or unsuitable for any reason.
Please fill the Soundsystem Permission at Sound System Installation Permit should you need any installation.
Operating of Machinery or Exhibits
• Moving machinery must be fitted with safety devices and these safety devices may only be removed when the
machines are not in operation and not connected to the source of power.
• No motors, engines, contrivance or power-driven machinery may be used without adequate protection against fire
risk.
• No moving machinery may be operated within 0.5m of the gangway.
• Any fumes or exhaust deemed by the organizer to be excessive must be extracted or deducted away from other
exhibitors and visitors.
Distribution / Sales Of Promotional Literature / Goods
Promotional literature may not be distributed or fixed to walls outside their exhibition stand area. Promotional
product may not be distributed or sold outside their exhibition stand area. The organizer has full authority to suspend
such activity and exhibitors will be given a penalty.
Smoking
In accordance with the Smoking (Prohibition in Certain Places) Act, it is prohibited by law to smoke in the exhibition
halls, meeting rooms, air-con walkways, function areas and restaurants with food services.

Hazardous Material
Unless otherwise approved by the Organizer, the venue operator and the relevant government authorities in writing
at least one month before the exhibition:
1. No naked light, open flame or temporary gas may be used in the exhibition center; this includes continuous
welding work and neon lights.
2. No explosives, petrol, dangerous gas or highly inflammable substance will be allowed in the exhibition complex.
The organizer must be notified in advance of any display of motor vehicles with fuel tank, petrol-driven
equipment.
3. Radioactive substances shall not be brought into the exhibition center.
Proper transportation and storage of all pressure tanks containing helium, compressed air, argon, carbon dioxide
and any other pressurized vessel is required and must be conform to all relevant safety standards and regulations.
Force Majeure
The organizer is not liable to the exhibitor for any cancellation or part-time opening of the exhibition, either as
whole or in part, or for any non-performance of their obligations under this contract or for any amendments or
alterations to all or any of the rules and regulations of the exhibition in each case to the extent that such occurrence
is due to any circumstances not within its control.
The organizer will perform the maximum required for the overall security activities during the exhibition period.
However, organizer will not be held responsible for any loss or damages of exhibitors or visitors personal belongings
during the exhibition period.
