The Lyceum of the Philippines University Manila, College of International Hospitality and
Tourism Management CLOCA H-428 class under the Introduction to Meetings, Incentives,
Conventions and Event Management course will be conducting a Food Fair event entitled
FLAVORS OF THE WORLD: STEPPING INTO THE WORLD’S CULINARY
EXPODITION to be held on JANUARY 12-13, 2023, 8:00AM to 5:00pm at LPU – Manila
Quadrangle.

This is a food exhibition event that highlights the different cuisine of the world. The event concept
is a festival in a cruise ship setting. Exhibitors are the existing food businesses both own by LPU
students and outsiders who offers food product with a specific cuisine of the world. The exhibit
will be divided and arranged according to the regions of the world namely Asian Cuisine, Western
Cuisine, Eastern Cuisine.

In line with this, we are pleased to invite you as one of our EXHIBITORS as we strongly believe
that this event will be a great avenue for you to promote your brand to the LPU community. As of
now. LPU CITHM alone has 5,298 total students which are all target market of this event.

EXHIBITORS AND MERCHANT REGISTRATION AND GUIDELINES

1. Eligibility and Registration

This is a food fair event that will highlight the different cuisine of the world with the concept
of a festival in a cruise ship setting. Exhibitors are the existing food businesses both owned by
LPU students and outsiders who offer food products with a specific cuisine of the world.
Since the fair set-up will be divided and arranged according to the regions of the world, the
eligible exhibitors or merchants are the food stall businesses who sell the foods that represent
the following regions with the type of cuisines.

2. Tent Allocation and Fees

Exhibitors can choose their preferred booth upon reservation. Reservation and Payment is on
a First come first serve basis.

2.1 Booth Allocation and Inclusions

Exhibitors or Merchants can choose their preferred booth area once pre-registration and down
payment has been done.

2.2 Inclusions

The following are the package inclusions of the booth;

2.3 Exhibitor Fee

3. Terms and Conditions for Exhibitors

3.1 Payment Conditions

 A down payment of P1,000.00 is required to reserve the space.


 Payment is nonrefundable if the exhibitor wants to cancel or withdraw from the
event. It is also nontransferable.
 The remaining balance should be paid on or before January 6, 2023.

3.2 Acknowledgement receipt will be provided through email and during the event once
received together with the Memorandum of Agreement.

3.3 Event Cancellation and Modification

3.3.1 Cancellation by the Organizers

The organizer has the right to cancel the event due to unexpected circumstances and natural
occurrences without prior notice. Exhibitor’s booking fees will be refunded in full.

3.3.2 Cancellation by Exhibitors

Note that, payment made is nonrefundable and nontransferable once exhibitors decide to
withdraw. The Organizer will not be liable for any other losses or costs incurred by the
Exhibitor.

3.4 TERMS AND CONDITIONS FOR EXHIBITORS

General Guidelines

 The Exhibitors are advised to design their own booth. Although the Organizer provides
the uniformed basic equipment, the exhibitors may design their own according to their
brand/theme.
 The Exhibitors must bring their own Extension Cord with two (2) sockets only. The
organizers do not provide extension cords to any exhibitors.
 An unoccupied tent will be considered a no-show and the space will be forfeited
 Any form of activities is not allowed that could cause nuisance to neighboring booths.
 The Organizer reserves the right to insist on the repositioning or removal of any
unsafe item. Exhibitors are reminded of their responsibilities under the Health and
Safety Law.
 The height of the dividing walls and back wall of the exhibit stands must be 2x2m.
All plans for stands must be approved by the Organizer before they can be erected.
 The Organizer does not provide dustbins for exhibitors. Exhibitors who expect to
generate a lot of rubbish should provide their own receptacles and ensure they dispose
of all the rubbish at the end of each event day.
 The Exhibitors must bring their own garbage bags and/or trash cans for their own
waste. The exhibitors must segregate their wastes into Wet Wastes (biodegradable)
this includes cooked and uncooked food, fruits, and vegetable peels) and Dry Wastes
(non-biodegradable) which include plastics, wood, metals, glass, and other related
products.

Pre-Event Guidelines

 Two exhibitors are allowed per booth. A copy of the IDs of the exhibitors shall be

submitted, and the IDs for the event will be provided by the organizers. Otherwise,
unregistered exhibitors will not be acknowledged and cannot participate in the event.
 The Exhibitors shall be ready 30 minutes before the opening of the event. Exhibitors
are obliged to keep their space clean and observe the schedule given by management.
 The Exhibitors should follow strict time management, so it does not cause delays to
the event.

During Event Guidelines

 The exhibitors should maintain cleanliness within their booths during the event.
 The exhibitors' ID must be worn inside the venue.
 The exhibitors must wear a hairnet and mask for the whole event to practice food
safety.
 The exhibitors shall practice proper handling of food.
 The exhibitors are advised to wear a black shirt for the 2-day event.
 No exhibitor may dismantle, pack up or abandon their space prior to the advertised
closure time.

Post Event Guidelines

 All exhibition items must be removed from the area after the closing of the event. If
the items are not removed within the given time. The management will be entitled to
remove the items.

Lists of Prohibited Actions and Equipment

 The Exhibitors shall not extend beyond the agreed size of space booked.
 The Exhibitors shall not share their space with other exhibitors or businesses that are
not registered.
 The Exhibitors are not allowed to bring LPG and other heavy equipment and
appliances to the event.
 The Exhibitors must not sell any of the products that have alcohol content.
 The Exhibitors must not use any loudspeaker apparatus, microphones, or other
offensive practices that may cause disturbance or annoyance to the adjoining
exhibitors.
 The Exhibitors shall wear decent and proper attire. Wearing revealing clothes is
strictly prohibited because this might lead to getting declined from entering the
campus.
 Bringing pets is prohibited.
 Smoking inside the exposition area is prohibited.
 Drinking alcoholic drinks during the event is prohibited.

Exhibitors Requirements for the Event

 Exhibitors are required to submit two (2) valid IDs of the exhibitors.
 Exhibitors are required to declare their cooking and electronic equipment to be used
in the event upon signing the contract.
 Exhibitors are required to bring Wet Chemical Fire Extinguisher.
 Signed contract with acknowledgement receipt.

Liability and Limitation of Liability

 Organizer is not liable for any person’s injury or death, equipment damage, economic
loss, or any indirect, special, or consequential damages to do with the event.
 The Organizer has the right to reject any exhibits or protests and to take any
necessary action to put an end to any disturbance or nuisance during the Exhibition.
Displays and demonstrations must be in line with the dignity and ambiance of the
Food Fair. Any employees, servers, agents, or contractors of the exhibitor who violate
this clause may be ejected from the exhibition at the Management Team's sole
discretion.
 The Exhibitor acknowledges that the organizers are not liable for any financial losses
or for any loss or damage of equipment, goods, or personal belongings.
 The Exhibitor will be responsible fully responsible for the loss/damage of the
equipment provided by the Organizer.
