GUIDELINES
RULES AND REGULATIONS
I. EXHIBIT GOODS
a. All exhibit / display goods of the Exhibitors must be confirmed
within the contracted area.

b. Actual product demonstration by the exhibitor is encouraged.


However, such demonstration must not threaten the security of
persons or properties or cause annoyance to the neighboring
exhibitors and / or the general public.

c. The Organizer and / or Event Managers and the Event Secretariat


are free from any obligation to fair visitors and /or third party in
connection with the promotional activities or products sold at the
exhibitions. Complaints will be directed to the companies or
individuals concerned.

II. BOOTH DESIGN AND DÉCOR
a. Exhibitors are required to design and decorate their booths for a total
presentation. This must conform to the event theme.
b. All booths must be kept clean, neat and presentable all the times.
c. The exhibitor is prohibited to paint, screw, nail or otherwise damage,
disfigure or change the flooring, booth shell, fascia board and accessories
or facilities provided by the Organizer. Any damage on the booth/floor
shall be repaired at the exhibitor’s expense. Any damage item that
cannot be repaired shall be replaced, also at the exhibitor’s expense. A
penalty shall be levied for every nail or hole bored onto the booth walls.
The NORTHPHIL EXPO 2023 official contractor, ARCH 21 ARCHITECTURAL
DESIGN STUDIO shall monitor this.
d. All general construction work within the exhibit premises, as well as
electrical work shall be done by the official contractor, except for
individual display within the booth/spaces contracted for.

III. BOOTH MANAGEMENT
a. The distribution of promotional materials by booth exhibitors shall be
done within the confines of the contracted space and under no
circumstances may this be carried out from a common passage, entrance
or exit or anywhere else in the exhibit area or mall area unless with prior
approval from the organizer.

b. Exhibitor are required to assign responsible / competent personnel to


man the booths during exhibit open hours 10:00AM to 10:00PM daily.
Interested fair visitors are appreciative when received by knowledgeable
booth officers who are able to answer questions about products and
services offered.

c. Exhibitors and/or their representatives must be courteous and neatly


dressed with proper identification cards during open days.

III. BOOTH MANAGEMENT
d. Exhibitors must open their booths from 10:00AM to 10:00PM daily so as
not to inconvenience the fair visitors and guests.

e. Exhibitors must provide a net with a rope, ring and padlock to secure the
booth containing goods/merchandise after mall hours. Valuable items
such as DVD players, TV sets and the like must be pulled out after daily
exhibit hours.

IV. BOOTH CLEANING AND SANITATION
a. Daily cleaning of lobbies, hallways of the exhibit area during open days
shall be the responsibility of the Organizer. Cleaning of the booth
however shall be the responsibility of the exhibitor.
b. The removal of construction debris, crates and cartons and other waste
materials prior to exhibit opening shall be the responsibility of the
exhibitor.
c. Exhibitors and their personnel are prohibited from cooking or dining
within their contracted booth or space.
d. Exhibitors should take care of cleaning their contracted area. Cleaning
crew is not allowed to enter the booth for security reasons. Any garbage
/ trash should be placed on the aisles by 9:00PM for pick-up by the
cleaning crew.
IMPORTANT REMINDER: Refrain from using plastic bags. Use recyclable
plastics for wrapping the items bought from you.

INGRESS PROCEDURE
NOTE: ALL PARTICIPATION FEES MUST BE SETTLED ON OR BEFORE
DECEMBER 11 ,2023.
1. No exhibitor shall be allowed to move in their display materials before the
appointed schedule. Likewise, no exhibitor shall be allowed to work
beyond the allotted time specified herein.
2. Unloading of exhibit goods will be at the Receiving & Dispatching Unit (RDU 1)
of SM City Clark. Delivery schedule must be strictly followed. Bring your own
push carts for easy delivery of items. Make sure that the wheel casters of your
carts are in good condition so as not to “scratch” the flooring of the Mall.
3. The following must be observed strictly by the exhibitor:
a. All items/units to be brought inside the Event Centre must be
accompanied by an INGRESS/EGRESS FORM (Exhibit A), to be accomplished
in two(2) copies. If the display materials are covered by a Delivery
Receipt, this must be attached to the INGRESS/EGRESS FORM for easy
reference and checking.

3. The following must be observed strictly by the exhibitor:
b. Secure approved WORK PERMIT from PETCO, Event Manager
Representative posted at the RDU – 1 entrance.
c. Present this to the Guard-on-Duty upon request or inspection.
4. After inspection, one (1) copy of the form is retained by the guard-on-duty
another copy should be kept by the Exhibitor since the same document will be
presented to the guard on duty upon pull out of the exhibit items during
egress.
5. All display materials should immediately be brought inside the enclosed /
boarded up area of the Event Centre and placed inside the contracted booth
area.
6. Equipment such as television sets, VCD and CD players, etc. must have
identification tags to facilitate entry and pull out. Serial numbers must be
clearly written in the gate pass or delivery receipt.

7. North Phil Expo 2023 Identification Card must be worn at all times while
inside the venue. Temporary Crew Pass will be issued to Exhibitor’s
contractors during ingress and egress. Wearing of slippers, sando and
shorts are not allowed even for contractors’ crew during ingress and
egress especially during mall hours.

8. Smoking is not allowed inside the venue.

EGRESS PROCEDURE
1. The official egress schedule shall be strictly followed. No one will be
allowed to pull-out any item from the hall prior to the prescribed
schedule.
2. Secure work permit for Egress from the Organizer at the Information
counter.
3. The exhibitor should present to the Guard-on-Duty the same
INGRESS/EGRESS FORM retained during ingress upon exit.
OR
The exhibitor can also accomplish a new INGRESS/EGRESS FORM in two (2)
copies. First copy is surrendered to the Guard and the other copy is kept
by the exhibitor concerned.

In both cases, the authorized signatories of the Organizer will have to


sign on the INGRESS/EGRESS FORM clearing the exhibitor from any
obligations. The WORK PERMIT must also be presented to the Guard on
Duty upon egress.

4. All exhibit items left behind after egress shall be disposed without any
liability to the organizer.
5. Leaving of items in the Hall after egress schedule is not allowed.

SECURITY PROCEDURE
1. The Organizer shall provide general security service for the exhibit area.
However, exhibitors are responsible for the care and security of their
booths during set-up, exhibit hours and dismantling.
2. The Organizer shall not be liable, nor will any compensation be made for
damaged or stolen goods.
3. Valuables should not be left unattended. The Organizer shall not be liable
for any losses that may occur during exhibit hours. Booth personnel
and/or staff should take the necessary security measures at these hours.
However, if losses occur exhibitors should immediately report the incident
to the Organizer or the Security Officer for immediate action.
4. All exhibitors and their staff have to represent their NORTHPHIL EXPO
2023 ID’s upon entry to the venue. Request for additional ID can be made
at the Secretariat Office at an extra cost of Php100.00 per ID.
5. Booth attendants and staff must leave the exhibit premises by 10:15PM.

SECURITY PROCEDURE
6. Any incident of loss or damages should be immediately reported to the
Security Guard.
7. Inquiries or complaints regarding security matters should be coursed
through the North Phil Expo 2023 Organizers.

REGISTRATION AND INFORMATION COUNTER


Secretariat and Information Counter at the Event Centre will be set up to
provide information and attend to all queries about the exhibit.
