INFORMATION SECTION
1. The Exhibition Will be held at the ICE (Indonesia Convention Exhibition)

2. Date and Time The exhibition will be open daily from 14 - 16 July 2023 Show hours
will be open from :
14 July 2023 at 10.00 am until 10.00 pm
15 – 16 July 2023 at 10.00 am until 10.00 pm

3. Technical Meeting Will be held at the ICE (Indonesia Convention Exhibition)
BSD Grand Boulevard, BSD City, Tangerang, Banten. 28 June 2023 at (14.00) until
done.

4. Build-up and Dismantling Periods A detailed timetable for the build-up, together
with guidelines for the moving-in of exhibits will be sent to all Exhibitors by June
2023

a) Build-Up on 11 – 13 July 2023

i) Exhibitors building their own stand may start construction

- 12 July 2023 at 00.00 am (24 hours) until set off

- 13 July 2023 end at 12.00 pm

ii) Exhibitors using Organizers’ Stand Service or a Package Stand.

iii) All stands to be completed in every respect by 12.00 pm.

iv) Rent will be charged for overtime during build-up period.

b) Dismantling

All exhibits, display materials and stands must be removed from the exhibition
area by 12.00 am on 17 July 2023. Rent will be charged for late removals.

Independent Stand Construction

a) Exhibitors may appoint their own booth contractor, except for electrical and
plumbing installations.

b) Exhibitors who use/appoint their own booth contractor must pay an


inspection fee (Rp 50,000/m² of place taken).

c) Exhibitors are responsible for the contractor's compliance with all
rules and regulations.

d) Exhibitors who appoint their own booth contractor must submit a guarantee
as a performance guarantee as well as a damage guarantee (in the form of a
Bank Draft or Check paid to PT. Akuatik Flona Nusantara). The deposit is
calculated as follows: USD 500.00 (or IDR 5 million) for stands up to 24 m2, and
USD 1,000.00 (or IDR 10 million) for stands above 24 m2. Deposit must be paid to
the Organizer. This will be billed along with the final payment to complete the
exhibition rental fee. Deposit will be refunded after deduction for service and
damage, 2 weeks after exhibition demolition. To facilitate the refund process,
participants are required to provide bank account details to the Organizer (PT.
Nusantara Aquatic).

e) During the construction period, it will be the exhibitor's or contractor's


responsibility to remove their trash daily (i.e. empty paint cans, wood scraps,
etc.). Failure to do this will result in the exhibitor being liable for the service fees
involved in waste disposal. Cutting of wood or other preparations that create
excess dirt or rubbish is not allowed in the hall.

f) No exhibitor or agent may use the exhibition space, ceiling, plumbing, fixtures,
floors or walls in any way (nailering, wiring, or otherwise fixing any exhibit to the
existing structure is strictly prohibited). No exhibitor or their contractor may use
the walls of any other booth stands.

g) The stand, exhibit or floor covering must not exceed the exact dimensions
specified in the exhibitor space contract. for example fascia boards should not
protrude into aisles, nor should furniture or plants be placed in aisles. It is not
permitted to bridge the aisles in any way by the installation of stands, or to place
exhibits or floor coverings in the aisles.

h) It is the responsibility of any exhibitor, contractor or agent at exhibition


closing to disassemble and remove, by a set deadline, the booth he has built.

I. Rules & Regulation


1. Identification
1.1 Working Pass
All workers employed in the construction of the stand will be must wear
identification (ID CARD) provided or approved by the Organizer at any time when
they are in the exhibition area/room during set up, showdays and dismantling.
(Please submit a list of names for all workers).

• The Exhibitor Pass is a participant's entry ticket that is valid during the
Exhibition period and must be worn during the set-up period, showdays to
the Exhibition breakdown. The Exhibitor Pass can only be used by 1 (one)
participant identity listed on the Exhibitor Pass and is non-transferable
• Exhibitor Pass can be collected at the Organizer Office hall on the second day
setup.
• Details regarding the addition of an exhibitor pass will be further explained
through the form.
• It is not permitted to lend or exchange Exhibitor Passes to other parties. For
violation of this provision, the Organizer has the right to withdraw and
destroy the Exhibitor Pass.

2. Dress Code
All workers are required to wear proper and decent uniform during build day & show
day and wearing a suitable pair of work shoes is a must during work.

3. Waste Disposal
• During the building and demolition period the Exhibitor or contractor will be
responsible for removing everyday waste (ie empty paint cans, wood scraps,
etc.). Failure to do so will result in the Exhibitor being liable for the service fees
involved in waste disposal. Cutting of wood or other preparations that create
excess dirt or rubbish is not allowed in the hall.
• The cleanliness of the entire exhibition area during showdays will be the
responsibility of ICE.

4. Hall Structure
• No exhibitor or vendor may alter exhibition area, ceiling, plumbing, fixtures,
flooring or walls in any way or shape (i.e., nailing, wiring or otherwise fixing
exhibition fittings of any kind to the existing structure) there is a strict
prohibition).
• No exhibitor or contractor may use the walls of any other booth. The stand,
exhibit or floor covering must not exceed the exact dimensions specified in the
exhibitor space contract. (eg fascia boards should not protrude into the aisle).
• Do not use hall ceilings, walls, pipes or cables from the hall as supports.
• It is prohibited to work directly on ceilings, walls, pillars, doors, windows, glass,
partitions, lights, or Hall floors.
• For hanging exhibition objects with a mass that weighs/maximum 250 kg
(rigging, lightning systems, speakers or projectors) must go through separate
knowledge and licensing procedures from the Organizer.
• For hanging part of the object from the stand using rigging or other methods, it is
MANDATORY to coordinate as soon as possible with the Organizer
• Additional costs arising from the use of rigging or other methods for hanging
objects part of the stand will be borne by each participant.
• It is not allowed to use tools/supplementary materials for the stand construction
(nails, tacks, screws, safety pins, glue, etc.) that can damage walls, floors,
furniture, and other equipment belonging to the Exhibition building.
• All the access to fire fighting equipment and other safeguards such as water
hydrants, gas flame sprayers, water sprays, fire alarms, smoke detectors and
evacuation signs must not be obscured by the decorations or construction of the
exhibitors. All decorations and construction of stands must not interfere with
evacuation and security access.
• Access to the air conditioner rotation must not be obscured by decorations or
exhibitors' stands. If there is a stand that blocks fire extinguishing gases, the
material used for the construction of the stand must be easily removable.

5. Construction Permit
• Each participant must submit a stand design and obtain prior approval from the
Organizer.
• Designs must be received by the Organizer no later than June 20, 2023.
• If there is a violation related to the design of the stand and its construction that
is not in accordance with the regulations set by the Organizer, the Organizer has
the right to demolish, replace or modify the stand design.
• Participating stand contractors are required to show the design that has been
signed by the Organizer before constructing the stand (on the set-up day).
Participant designs that have not been signed are not allowed to be built.
• Sanctions for Stand Construction Violations. For every stand contractor whose
stand building does not follow the applicable regulations or does not comply
with the design approved by the Organizer, a fine of 50% of the total cost of
renting the stand area will be imposed.

6. Floor Covering
In accordance with the Organizer's construction schedule, Exhibitors who
construct their own stands must own and manage:
a) Carpet and back wall installed within 12 hours of their scheduled start date.
b) All carpets and floor coverings must be affixed with double-sided tape.This tape
must be removed during the disassembly period. It is strictly forbidden to use paint
or glue on the floor of the exhibition hall.
Failure to comply with these regulations may delay electrical installation and
removal of equipment, as well as additional cleaning costs being passed on to the
Exhibitor.

7. Fire Regulations
All materials used in the construction of the stand must be properly fire retardant in
accordance with local regulations.

8. Dismantling
• At the closing of the exhibition, it is a joint responsibility between the Exhibitors
and the contractor to dismantle and move the stands (including debris),
according to the demolition schedule to be issued by the Organizer.
• Disassembly period, display materials and all stand equipment must be removed
before 17 July 2023 at 12.00 am.
• Delay in demolition will incur a charge.

9. Performance Bond Deposit
All exhibitors who use stand contractors other than Authorized and Approved
Contractors, must submit a deposit of USD 500.00 (or Rp. 5 million) up to 24 m2 and
USD 1,000.00 (or Rp. 10 million) for booths above 24 m2 (in one form of money
order or check payable to PT Nusantara Aquatic).
This is to ensure that the Rules and Regulations are complied with and to cover any
losses arising directly or indirectly from any breach. This is without prejudice to any
additional claims the Organizer may have if the damage exceeds the deposit.
The security deposit will be billed together with the final payment for payment of
exhibition rental fees and will be returned after deducting services and damages,
2 (two) weeks after the demolition of the exhibition.

10. Contractor
Exhibitors who appoint contractors other than the organizer's official contractors
must submit details of the main contractor and subcontractors domiciled in
Indonesia to the Organizer for registration no later than June 15, 2023. Exhibitors
may appoint their own stand contractors, with the exception of electrical and
plumbing installations. Exhibitors are responsible and responsible for the
contractor's compliance with all rules and regulations.

11. Observance of Rules and Regulations
Exhibitors are responsible and accountable for their contractor's compliance with all
existing Regulations, including strict adherence to construction & demolition
schedules/schedules. The Organizer reserves the right to charge such Exhibitors
and/or contractors who have violated any rules or regulations or delays in
construction or demolition, for additional work required as a result of such
violations.

12. Sound
Exhibitors are required to adjust the sound level at their respective stands for the
convenience of the Exhibition environment. Exhibitors must follow the rules so as
not to cause excessive noise and disturb other exhibitors.

• Speaker volume must not exceed 40 dB (A) from the stand boundary
facing the gangway.
• Participants who plan to use the loudspeaker for a product
demonstration must coordinate the time with the Organizer in
advance.
• Participants whose stands are located close to other participants
who are holding a press conference are prohibited from using
loudspeakers or other equipment until the press conference is over.
Only exhibitors who have events can use the sound system.
• Sound system is not allowed in the stand booth area (except for
television).
• Exhibitors who violate the sound volume limit will be subject to
sanctions for such violations.

13. Double Decker
Exhibitors with Double-Decker Stands who wish to build a stand more than one store
high must first submit their detailed designs to the Organizer. Multi-storey
construction will not be permitted without written permission from the Organizer. If
permission is granted, the space occupied on the upper floors will be charged at 50%
of the normal 'Space Only' rate in addition to the full rate that will be charged for the
floor space occupied on the ground floor, and the maximum height of the terraced
stands may not exceed 6 metres.

14. Distribution of flyers and promotional items
Distribution of exhibition brochures and promotional items is not permitted to be
carried out outside the exhibitor's stand area, must be done inside the participant's
stand area. The committee has the right to stop the distribution activity and
participants will be fined.

15. Smoking
Smoking activities in areas that are not permitted such as (in the exhibition
hall) are strictly prohibited.

16. Natural Disaster
The committee is not responsible for cancellation of committee participants in whole
or part of the exhibition time or for irregular performance or additional changes to
exhibition rules when unwanted events occur. The committee will try its best to add
security officers during the exhibition, but the committee is not responsible for any
loss or damage that occurs to exhibitors or exhibition visitors during exhibition
preparation, exhibition period and exhibition demolition.

17. Stand Cleaning
Exhibitors taking 'Space Only' are responsible for cleaning their own exhibits,
furniture and booth carpet during the exhibition.

18. Prohibited Items


If there is no permission from the committee and the building one month before the
exhibition, the exhibitors:
• It is prohibited to use naked lamps and temporary gas electrical equipment in the
exhibition hall without prior permission from the Organizer. Using spray paint
equipment is prohibited in the hall.
• No naked lamps, flames or gas shall be used within the exhibition area.
• No flammable gas is allowed in the exhibition area, the committee must be
informed about exhibition items in the form of motorized vehicles (with tanks
filled with fuel), fuel transport vehicles.
• Radioactive substances are prohibited from being brought into the exhibition
area.
• All helium pressure tanks, air compressors, carbon dioxide and pressurized
vehicles must use the appropriate vehicle and place, and must confirm their
safety according to safety regulations and standards

II. Stand Payment Information & Stand Cancellation

1. Stand Payment
The procedure for payment of stands is as
follows:

Full Payment must be completed on June, 30th 2023.

When the participation form is filled nearing the day of the exhibition, full payment is
required, payment for the stand is only for the stand and additional rentals required
by the exhibitor must be paid by the exhibitor before the exhibition takes place.
Participants are not allowed to occupy the exhibition stand if payment is not
completed / paid before the exhibition takes place. This rule cannot be changed. If by
June, 30 2023 the participant has not completed payment for the stand, the
participant will automatically be deemed canceled as an exhibition participant.

2. Payment Procedure
• Payment can use via Transfer to the Committee (Account number will be further
informed).
• The rental addition form is valid as a Pro-forma invoice. The original invoice will be
given after payment has been made to the committee.
• Please ensure that you have paid in full / paid for additional rental items before the
exhibition. The quantity of some items is limited. Addition of goods during the field
/ exhibition preparation period will incur an additional fee of 50% of the normal price
and must be paid in advance.

3. Stand Cancellation
The committee agrees to cancel exhibition participation on the condition that
participants fulfill the payment obligations as follows :

Cancellation fees are determined from the time the committee receives written
notification, exhibitors are responsible for the costs incurred by the committee. This

ADDITIONAL PASSES
Terms and Conditions:
• Additional exhibitor id must be paid in cash.
• All Exhibitors must submit the names of their staff including the names of members of the
company/community that will be manning the booth on the day of the exhibition, this is
required to provide an exhibitor pass (ID CARD). This ID Card must be collected from the
organizer's office on 19-20 June 2023. Entrants entering and leaving the exhibition location
will only be identified with the pass, and for security reasons, no one is allowed to enter the
exhibition area without the appropriate pass .
• Exhibitor staff members who will assist onsite during non-exhibition hours will only be
granted a temporary work permit and visiting staff must use a visitor pass.
VIP Pass will be given to the company's Senior Level (CEO & Director).

As part of the education & entertainment program to invite all parts of the Nusatic 2023 event, we are happy
to provide space for exhibitors to be able to present Products / Talk Shows with the aim of this important role
is for your company to promote or launch new products and also to resources for Business Leads. There will be
various slots that will be given to each company in Saturday 15 & 16 July 2023 between 12:00 - 19:00. Each
company will be given a maximum of 30 minutes including preparation and a maximum of 2 (two)
presentations unless slots are still available. The show time will be determined by the organizers and will be
announced on July 1, 2023
Please complete the form above and reply to us no later than June 20, 2023. We will provide 1 (one) stage of
max visitor capacity. 30 pax, equipped with: theater style chairs with microphones, head table with 2 (two)
chairs, LED screen. You should provide your own notebook/laptop/computer, presentation handouts and
refreshments, if necessary.
