Message from the Organizer

Dear Sir / Madam,

Studio Seven has prepared various instruction details within this manual in order to assist exhibitors with the
participation process.

We request the exhibitors to kindly read this manual carefully before filling up the required forms. The details are meant
to familiarize the exhibitors with the range of services that will be offered.

Please submit the completed forms to us with all your requirements mentioned. These forms are binding once they are
signed. It will greatly facilitate our operations if you can send these to us before the mentioned deadline.

Should you require any further information, please feel free to get in touch with us.

GENERAL INFORMATION
Given below is information that you might seek for the upcoming The Art n Craft Gala 2022. At the end of this guide you
will also find forms that should be filled & emailed back to us promptly. Please note that the last date for emailing &
submitting forms is September 30, 2022 Friday, after which we shall proceed with the information available as is.

POSSESSION OF STALL(S):
● Possession will be given only on the day before the Gala Opening i.e. November 4, 2022 Friday. Earlier set‐up
requires the Organizer’s consent in writing and is only permitted for stall(s) 80 sq.ft or more by size.

● Set‐up of stall(s) must be completed by 07:00 pm on November 4, 2022 Friday. Maintenance of the stalls can
occur every day during the gala from 12:00 pm to 09:00 pm

● All the stall(s) must be ready and displayed by 07:00 pm on November 4, 2022 Friday.

● The Organizer has the right to reallocate the stall(s) that are not yet setup by 02:00pm on November 5, 2022
Saturday. There is no reimbursement of stall(s) rental charges already paid in the event of reallocation of stall(s).

● Exhibitor(s) must display their exhibits for the entire duration of the Gala.

VACATION OF STALL(S):

● The stall(s) have to be vacated soon after the exhibition ends. Doors will be closed by the management for
exhibitor(s) on November 7, 2022 Monday hence finish all the ‘move-out’ requirements by then. Please follow the
exhibit ‘move out’ timings. Failure to do so grants the organizer the right to remove the exhibits / materials at risk
to and expense of the exhibitor(s).

● It shall be the responsibility of exhibitor(s) to remove all exhibits, tools and other materials at the closing of the
event and return the stall(s) items in the same condition in which they were allotted at the beginning.

● The organizer will charge exhibitor(s) responsible for damage(s) to any property belonging to the organizer during
the event of the Gala. These damages must be borne by the exhibitor. Failure to do so will disbar the exhibitor
from participation in the Gala in the future.

● The Organizer accepts no responsibility for stall(s) furniture and fittings that have been left on the stall(s) by the
exhibitor(s) during the Gala days.

STAND SPECIFICATION AND SERVICES:


Space:
Each single stall space is approx.7 by 7 ft. and more.
Each single table size is approx. 2.5 by 4 ft.
Space will be provided with 2chair and a table. Exhibitors are required to decorate them as per their requirements.
Organizer/Event Manager can assist the exhibitors in designing and construction of setup at an extra cost. Height limit
on the peripheries of allocated space / stall is 6 feet.

All stall allocations will be marked in feet.

● Exhibitors / their vendors are not allowed to do any fabric/paint work within the hall, with the exception of repair-
work. They must complete the fabric/paint work outside the building in the specified area.

● As per policy of Studio Seven, all work must be completed by 07:00 pm on November 4, 2022 Friday. After that no
work will be allowed in the exhibition halls. It is the responsibility of all exhibitors to make sure that vendors follow
the instruction as per Studio Seven policy.

SECURITY:
The Organizer with the help of local authorities will manage a general security arrangement for the exhibition.
For security reasons no one will be permitted to enter the exhibition premises without identification. All the exhibitors
are requested to use identification badges (badges will be provided by the Organizer) on November 4, 2022 Friday.

EXHIBIT MOVEMENT:
Exhibits can be moved in through the main gate during Gala days only as per the following schedule: 10:00 A.M to 07:00
P.M

● The Halls shall be locked at 09:00 pm every day and nobody will be allowed to stay overnight. The doors will re‐
open the next morning at 10:00 am on Saturday and 12:00pm on Sunday. Only the Exhibitor(s) with exhibitor
badges will be allowed to enter.

● While the Organizer / Event Manager will make round‐the‐clock security arrangements at the halls during the
exhibition, they are not liable for any loss or damage to the goods and property of the Exhibitor(s) in transit,
storage or exhibition during the Gala days.

● The exhibitor(s) cannot leave their stall(s) unattended during the exhibition timings.
VIOLATION OF RULES:
In the event of violation of the aforementioned rules, the organizer has the right to close down the stall(s) of the
exhibitor(s) immediately.

ELECTRICAL FITTING:

● Each stall is provided with a socket outlet. Standard electric supply at the stall is 220 Volts, 60 Hz.

● All other services such as the installation of wiring and additional usage of electricity must be ordered and paid for
separately in advance through the consent of the Event Manager by filling out the enclosed form.

● The main connection to the electricity supply system will be carried out by the official electrician contracted by the
Gala Manager.

● General lighting is provided in the hall(s).

● Exhibitor(s) are not allowed to use electrical objects without written permission from the Organizer / Event
Manager. Contact the Event Manager if any special electrical work is required.

● Permission in written should be submitted to the Operational staff of the Event Manager before the installation of
electric appliances begins and a copy of the same should be available at the stall(s) at all times in order to avoid
last minute confusions/difficulties.

● The Organizer reserves the right to disconnect any installation that is deemed dangerous to life and/or property.

● It is not permitted to use the electricity supplied to neighboring stall(s) on a sharing basis.

FURNITURE:

● Two (02) chair, one (01) table and two (02) spotlights will be provided free of cost to each stall.

● Additional display aids and furniture can also be obtained on rent. Please contact the Event Manager to precede
further (form enclosed).
● The Organizer / Event Manager shall not be responsible for the safe keeping, storage and use of any property
brought in to the Exhibition Hall(s) and the Exhibitor indemnifies the Organizer and holds them harmless against
any and all claims, losses or damages that may be suffered by any person in relation hereto.

RETURN OF GOODS:
Exhibitors are responsible to return the goods provided on rental basis to the Event Manager at the end of the
exhibition. Exhibitor will be responsible for any damage to the items and charges shall be paid on the spot.

IMPORTANT NOTES ABOUT THE STRUCTURE OF THE STALL(S):

● The Exhibitor(s) are not allowed to erect enclosures within their stall(s) which may hinder the fair view of other
exhibitor(s).

● Exhibits must not obstruct passages.

● The Organizer reserves the right to refuse permission for additional stall(s) height in the interest of the overall
appearance of the hall(s) and/or for safety reasons. The decision of the Organizer is final.

● Hall fixtures and technical fittings must not be damaged, dirtied or otherwise altered (e.g. breaking open, cutting,
screwing, drilling, driving nails into floors or walls or partitions or other structures & fixtures in and around Studio
Seven).

● Wall‐papering and sticking on items through the use of corrosive/permanent adhesives or nails is forbidden.

● It is not permitted to use hall fixtures and/or technical fittings in a load bearing capacity to support stall(s)
structures or exhibit items.

OPERATION OF STALL(S):

● No stall(s) should be left unattended during the Gala.

● Staff of Exhibitor(s) must be present at least half‐an‐hour before the opening and 15 minutes after the closing of
the exhibition.
● No activity which may cause disturbance or annoyance to other exhibitor(s) will be allowed by the organizer.

● All machine, computer systems, printers, etc.… must be switched off before leaving the stall(s) in the evening.

ENCROACHMENT OF PASSAGE/ SPACE:

● Stall(s) exhibitors should place all promotional materials within the jurisdiction of their stall(s) only.

● No exhibitor(s) will be allowed to place banners, placards etc. in the passage or any area outside their
jurisdiction without permission of and payment to the Organizer.

PROMOTION / PUBLICITY MATERIAL:

● The placement of publicity materials and decor of the stall(s) must be carried out in a way as to avoid any
damage to the temporary partition wall(s) placed around the exhibitor’s stall(s) by the Organizer (Use of
permanent / corrosive adhesive tapes or nails is prohibited)

● The use of persons for publicity purposes, as well as the distribution or posting up of advertising material such as
leaflets, posters, stickers etc. in the exhibition halls and passages is strictly prohibited.

PLAYING AUDIO/ VIDEO:

● Exhibitor(s) playing audio or video at the stall(s) should ensure that the volume does not cause
annoyance/disturbance to their neighboring Exhibitor(s) and/or to the visitors.

● The decision of the Organizer in this regard will be final.

CLEANING:
While the Art n Craft Gala organizers will make arrangements to carry out general cleaning of the overall premises, the
exhibitor(s) shall be responsible for the cleanliness and tidiness of their respective stall(s) at all times during the Gala.

SMOKING PROHIBITED:
Smoking at Gala indoor premises is strictly prohibited.
INSURANCE:
It will be the responsibility of the exhibitor(s) to insure their exhibits and stock are safe against break‐ in, theft and/or
damage by fire or other natural calamities, during transit to and from the exhibition hall(s) as well as during the duration
of the exhibition.

EXHIBITOR BADGES:

● For security reasons no exhibitor will be permitted to enter the exhibition premises without identification.

● Two (2) badges will be given for a minimum of 50 sq.ft And one (1) on every additional 50 sq.ft allocated.

● Exhibitor badges will be issued on setup day i.e. November 5, 2020 Friday after 04:00 pm. Please contact the
Event Manager at the Art Gallery.

● Exhibitor(s) wearing their badges will be allowed entry into the hall(s) at 10:00 am and will be required to vacate
the hall(s) by the aforementioned closing time every day.

● All exhibitor(s) must wear their Exhibitor Badges at all times during the exhibition.

● Exhibitor badges should be visible in a proper manner in order to avoid any sort of difficulties or confusions.

● You are requested to fill the enclosed form and return it to the Event Manager via email latest by October 1, 2022
Saturday.

ADDITIONAL ELECTRICAL LOAD

ADDITIONAL ACCESSORIES
Accessories are available on rental basis. Please fill in the enclosed form stating your requirement(s). Exhibitors may
bring their own furniture and accessories as well.

INVITATION CARDS:
As an exhibitor you may wish to invite some of your customers, friends, colleagues and associates to come and visit this
exhibition. The Organizer has arranged invitation cards, wherein you can state the name of the individual, along with
your company seal at the bottom as the invitee.

CANCELLATION:
In the event of any natural disaster, or if circumstances so warrant, the organizer reserves the right to postpone, alter or
cancel the event. In case the event is cancelled before the inauguration, rentals collected shall be refunded after making
the necessary deductions of expenses so incurred. However, no refund will be made if the participant wishes to
withdraw from the event after making a firm booking.

Any of the terms and conditions mentioned above may be relaxed or modified at the discretion of Studio Seven whose
decision will be final and binding. In matters not mentioned herein, the decision of the Organizer shall be final and
without any recourse of financial liability / refund.

You are invited to participate in ‘The Karachi Art n Craft Gala’ by Studio Seven’.

Set-up: 10am to 7pm, 4th November 2022, Friday
Place: Studio Seven F-42/1, E street, Block 4, Clifton, Karachi.

Gala Rules & Regulations:

Kindly read the following carefully!

Set up and break down:


Participants may begin to set up their respective stalls from 10am until 7pm, 4th November 2022, Friday. Crafters are
respectfully requested to not enter the space until the aforementioned time-slot begins. The Gala is advertised to end at
9pm on Sunday. Crafters are asked not to begin packing up until after 9pm when the Gala concludes.

Qualification:
This is a juried craft show. In order to qualify for evaluation, all the items must be personally crafted*. You must submit
photographs of your work along with an additional photograph of your booth set-up. The jury committee will review all
applications submitted accordingly. Please make sure that your pictures reflect your work at its very best, thus we
encourage good quality photography.

We will limit the number of craft entries to each show category in order to have a well-balanced roster. Acceptance to
the show in previous years does not guarantee future invitations. The committee will try to rotate artisans so that the
roster remains new and unique for the attendees every year. The committee reserves the right to reject participants on
the morning of the Gala if the craft-items are not what was represented at the time of application or do not abide by the
rules of the show.

*Imports or factory mass-produced items will neither be permitted for display nor be allowed for sale. If we suspect
that crafts are not personally crafted, invitations to return in subsequent years will not be issued. This rule will be
strictly enforced to protect all crafters from unfair competition.

If a crafter is unable to participate on the day of the show, he/she is to notify us as soon as possible. Failure to do this
will result in your name being deleted from our list.

Space limitations:
Each single space is approx. 7 by 7ft. And more your entire display should be confined to your allotted area only.
Requests for additional space will be considered, however, there are no guarantees that such requests will be granted.
The committee reserves the right to assign spaces as deemed necessary to ensure a well laid out show floor.

Fee:
The entry fee of single space is starting from PKR 12,000/-, (PKR 6,000/- food stall). The fee is non- refundable upon
acceptance to the show. You are not considered accepted until payment has been made.

Facilities:
We will provide one Table with a single white cloth and a chair. There is limited access to electricity. Electricity must be
requested on the application. Each artisan is responsible for their booth setup including electrical cords

EXHIBITOR OR CAUSED BY PRODUCTS SOLD OR EXHIBITED BY EXHIBITORS. IN CASE OF ANY DAMAGE TO STUDIO
SEVEN PROPERTIES BY EXHIBITORS, THE PERSONS IN QUESTION WILL BE CHARGED.

A RESERVATION IS A COMMITMENT TO SHOW UP. NO REFUNDS WILL BE ISSUED AFTER ACCEPTANCE TO THE SHOW.
THERE ARE NO EXCEPTIONS.

RULES & REGULATIONS


For STUDIO SEVEN SPACE WORKING

1. The organizers of the exhibition have the right to inspect the stall / space at any time to ensure the complete
observance of the terms and the conditions of allotment.
2. The decision / action of the organizers shall be final and binding upon the exhibitors and shall not be further
questioned by the exhibitor(s) during the entire duration of the Gala.
3. There are fixed timings during which vendors will be allowed to set up their stalls. These timings are as per Studio
Seven rules and regulations. The Art n Craft Gala exhibitor(s) are also bound to follow these timings:
5th November 2022: 12 pm – 9 pm Saturday
6th November 2022: 12 pm – 9 pm Sunday
4. The timings with respect to set up of the stalls are dictated by the Studio Seven management/admin. These cannot be
extended under any circumstances.
5. The organizers shall not be held responsible for any accidental damage, breakdown or failure of any of the services
provided by the Studio Seven management/admin.
6. The exhibitors will be charged for any damages to items placed by the organizers in the areas surrounding the stalls.
7. The organizers reserve the right to delete, alter or add any terms and conditions in the larger interest of the
exhibition.
8. Under no circumstances will the exhibitors exceed the area allocated and marked for them. The maximum height of
the stalls in the double-height space will not exceed 6 Feet from the floor. The stalls that exceed the given
measurements will be asked to bring down the height to the approved Feet measurement. .
9. The stalls will be designed / decorated in a manner that does not hinder the view of any other stalls around it.
10. All construction work of the stalls will be done outside the Halls of Studio seven. The allocated time will be used only
for installation of already constructed elements.
11. Using Heavy duty machinery for cutting purposes is not allowed inside the Halls of Studio seven. For welding and
cutting through the use heavy duty machinery, the vendor is responsible for arranging their own electric supply.
12. In case of any dispute, the decision of the organizers will be considered final and binding on the parties concerned.
13. It is also mandatory for all customized/self-fabricated stalls to share their stall designs with the Event Manager.
14. Please design your stall keeping the time schedule in mind. No construction/setup/decor will be allowed inside the
halls once the Exhibition starts (2:00 pm Saturday 5th November 2022).
15. The Art n Craft Gala exhibitor(s) are not allowed to pay Studio Seven to gain additional time to set-up beyond 7:00
pm on 4th November 2022!
