27 The meeting started at 9:45 am. Sis. Carina de Leon led the opening prayer. This was followed
28 by the reading of the minutes of the previous meeting by Raymart de Guzman. The board made
29 no other corrections and immediately approved the minutes.

31 Treasurer’s Report

33 Bro. Earl Perone delivered the treasurer’s report. He informed the body that the total amount
34 of solicitations as of August 4, 2019 was amounting to Php 352,402. He also recognized each
35 class who has highest number of returned solicitations. They are the Class of St. Therese of
36 Lisieux (T2), Class of St. John Paul II (T3), Class of St. Paul the Apostle (C1), and Class of St.
37 Luke the Evangelist (FY). He ended his report by showing the body the ending balance as of
38 August 4 after the First General Assembly, amounting to Php. 419,136.96.

40 Bro Earl Perone also added and explained the purpose of SETA Ambag. He said that the
41 purpose of SETA Ambag is intended for the immediate family members of seminarians who
42 have died.

46 For the Registration, Bro. Earl Perone raised the concern about the miscommunication in the
47 Registration area. There’s an instance during the first assembly that the registration
48 committee gave the id even without paying the registration fee. The issue resolved
49 immediately with the help of seminarian officers on that area after addressing the concerns.
50 Mrs. Gemma Ajero shared her personal experience about paying of registration fee. She said
51 that in her class, she always remind her co-parents to pay for the registration fee during the
52 assembly. She saw that it is the duty of the parent representative that to be a living reminder
53 for each parents so that from time to time, parents may be aware of the payment. Fr. Rolando
54 Garcia also added to maximized the function of department representative for this matter.
55 Bro. Raymart de Guzman also informed the board, that for the next assembly, the seminarian
56 officers will try to consider/look other locations for the registration area that will help
57 seminarians and parents for convenient registration process.

59 Mr. Abner Bibon expressed his sentiments about the accommodation of the PSIY parents.
60 Bro. Raymart de Guzman explained that this first assembly, PSIY has given venues of sharing,
61 place in the auditorium, food, etc. The only problem they saw is that because it is new for the
62 community, even the seminarian brothers are not aware of that so even the steering
63 committee prepared labels for the PSIY, like for example in the auditorium. It was not posted
64 because some of the chairman is not aware that PSIY parents will be joining the assembly. In
65 terms of the accommodation, this coming recollection, Mr. Ruperto Bautista reminded the
66 PSIY parents to informed us ahead of time in order to prepare. Fr. Rolando Garcia asked to
67 inquire ahead of time in the ICAM and Layforce for reservation for the upcoming recollection
68 on Nov 16-17, 2019. As per the seminarian officers experienced, putting of the Lectorate and
69 Acolytate outside SETA is a good suggestion. The attention of the seminarians was focus to
70 each particular event.

72 For the food, some of the parents suggested to have a much heavier breakfast. The food for
73 lunch was commended by many including Fr. Cesar Buhat. Mrs. Minda Dungo asked a
74 question in regards to lot of excess food. Bro. Earl Perone explained that some of seminarians
75 who didn’t come their family was also not get all the food allotted for them even they pay the
76 registration fee. Mrs. Carina De Leon added that the location of food for the PSIY brothers
77 must be specify for easy distribution.

79 For the program in Auditorium, general rehearsal for the committee concerns must be
80 mandatory. The seminarian officers will insist all the chairman responsible for that and ask
81 for the schedule with Kuya Ricky to check all the technicalities. Bro. Raymart de Guzman said
82 that the program in the auditorium went smooth even at first there are some technical
83 problem and delay of the time. He continued and told the board that because of the growing
84 number of SETA Family, we must also think again and consider other venues for the
85 assembly. Mrs. Carina de Leon affirmed and requested that ushers even in the auditorium
86 may be useful.

88 Class meetings and election was facilitated well. Bro. Raymart de Guzman reminded that the
89 only rule for voting is that there will only be one vote per family.

91 After looking on what happened in the seminary during the assembly. Bro. Earl Perone

92 reported the result of the online evaluation, feedback of some of the parents as well as
93 seminarians. The case of Blas brothers were also settled, they will pay only one registration
94 fee for each assembly plus one additional food, total of Php. 650.00. They will also have 6
95 solicitations envelope. However, they will pay separately the seta fee in the procurator’s
96 office.

98 Mrs. Gemma Ajero expressed her sentiments about the solicitation letter. She urged and
99 reminded the parent representatives of their duty. To remind their class about their
100 solicitation and encourage them to bring back the solicitations. Mrs. Luzviminda Dungo also
101 requested that from time to time, if they can get a copy of the list of people that the
102 semianarians solicited, so that it can help parent representative of each class to monitor
103 how’s the solicitation envelope going.

124 For the medical mission update scheduled on the 21st of August 2019. Bro. Raymart de
125 Guzman reported that the Sto. Domingo Diagnostic Clinic is not available on that day. The
126 Food and Health Committee will try to look other clinic that will conduct the medical mission.

128 2nd General Assembly Preparations

130 SETA 2nd General Assembly or SETA Recollections will be on November 16-17, 2019. List of
131 recollection master to be invited based on the priority was approved by the board. First to
132 invite will be Bishop Soc, second is Bishop William of Isabela, and the third one is Bishop Rex
133 Alarcon. Bro. Raymart de Guzman told the board that like last year recollection, hopefully
134 the board will try to plan a creative way of giving the recollection (e.g. Heart to Heart last
135 year), especially in our case, the theme for this year focus on the youth. For this year, Bro.
136 Raymart de Guzman proposed that one of the plan for the 2nd day of recollection will be
137 testimonial. There are some youth to be invited and they will give their testimonies.

139 Other Matters

141 For the MASSFI Update, Bro. Earl Perone informed the body that until now, there is no update
142 with Fr. Nick. Bro. He continued and shared the case of Alumni. They go straightly with the
143 MASSFI, provide letter with Fr. Nick, and that’s it. As of now, their process of transferring
144 was almost done. Bro. Earl Perone also added and asked the board if it is okay not to fully
145 close the BPI account when transferred to MASSFI. This is for the purpose that, there may be
146 incoming solicitation envelopes which may be named address to SETA.

148 As of today info blast was not working. Bro. Raymart de Guzman suggested that for now, we
149 will try to consider text messaging via phone. For this reason the SETA Phone requested by
150 seminarian officers was approved by the board for easy dissemination of information and
151 for any help that SETA in need.

153 The body agreed that there will be no board meeting on the 18th of August. The next meeting
154 will be on September 8 in preparation for the medical mission on September 15.

156 For the case of solicitations of PSIY. Mrs. Carina de Leon expressed the sentiments of the PSIY
157 brothers. She said that it will be extra burden for them to have solicitation envelopes from
158 SETA since their class has also solicitation envelopes. Bro. Raymart de Guzman advised to
159 review the terms and conditions of solicitation letters given during the first general
160 assembly. It was indicated there the deadline for the return of solicitation letters with or
161 without money. The SETA was not pushing them to solicit but rather, SETA is teaching them
162 to be more responsible. In the end, Fr. Rolly advised to hold first the solicitations of PSIY
163 brothers and he will bring this concerns to one of the Formators meeting.

166 adjourned by 12:15pm.
