MOTION FOR TIME EXTENTION OF DELIVERY SCHEDULE

Dear Sir;

Good day!

We would like to humbly apologize and ask for you to reconsider a time extension on the delivery
schedule of our Yellow T-shirt with the bidding title, Procurement of Rehabilitation Supplies (Yellow
T-Shirt) for BJMP-NCR Inmates for 1st Semester 2019 with Reference No. 6219431. This is due to
several circumstances that is unavoidable and uncontrollable on our part.

For you to fully understand, we would like to start with, this is the first time we won the bidding for T-
shirts in BJMP-NCR, and we have tried bidding for 2 years now but have never won, until, with God’s
grace, just recently. We have tried to submit sample shirts but have never passed the specifications
and the tests by the BAC, we also had a lot of samples made to adhere to the specifications given until
we got one correct. Since this is our first time, we thought that our fabric supplier already has the right
type of fabric in stock, never knowing that this type of fabric needs to be specially made. After the
news that we passed the testing in Philippine Textile Research Institute, we immediately asked for it
to be made in bulk. You see, we don’t have it on stock yet since it’s our first time and we can’t risk of
having it on hand since competition is very high. For it to be made Sir, our fabric supplier informed us
that we need 8000 kilograms of fabric for 36,876 T-shirts and they could only supply 300-500 kilograms
of fabric every 3 weeks because the process of making it and making sure it adheres to the correct
specifications is very long and tedious. We also want to make sure Sir, that what we are delivering to
you is of quality and is following the correct standards you’ve set in the bidding documents. We don’t
want it to be made hastily and of very poor quality just so we could beat the deadline. So that’s why,
we are prayerfully asking you to reconsider our motion for time extension on the delivery schedule to
December 2019, just to be sure that all of the T-shirts that we are delivering to you are of quality and
should adhere to all the specifications given in the bidding documents.

We are prayerfully hoping for your understanding and your kindest consideration Sir, and we promise,
if we will win the T-shirt bid in God’s perfect time, that this won’t happen again, we will be making
sure that we will already have it in stock learning from this mistake.
