Online & MMD File Instructions – 2nd Mates

The instructions below are divided into TWO Sections. Please READ THE ENTIRE
DOCUMENT carefully and adhere to ALL INSTRUCTIONS contained therein.

IMPORTANT
Please note that the instructions below are guidelines that are developed by ARI to
facilitate its students. Therefore, for ANY ISSUES relating to resetting of password,
online profiling, submission of online applications etc, as per instructions from DG
Shipping, the candidate is to get in touch DIRECTLY with the RELEVANT
SECTION, the E-Mail of which is PROVIDED in the ATTACHED DG Document
titled “DGS Help Desk”.

SECTION 1 -INSTRUCTIONS FOR ONLINE


REGISTRATION / UPDATING PROFILE
STEP 1 - Online Registration

You are required to do your online booking through the following link:

www.dgshipping.gov.in

You are then required to go to the e-Governance link and Click on e-Samudra.

Thereafter go to the “Seafarer Registration” to begin with and fill in the details. You will
then be sent a password BY THE SYSTEM automatically on your e-mail. Apart from the
INBOX, please CHECK your SPAM Mail also, as the password could have gone there.
Do NOT wait for the password unnecessarily. Your password is INDoS No followed by
digit 1. For example, your INDoS No is 00NL0894, and then your password will be
00NL08941. But to reach this stage, you’ll have to go through “New Registration”.

Thereafter for all logins, your INDoS will be your login ID and the password will be as
stated above.

STEP 2 - Update Your Profile Online

Subsequently login to the system and go to the link of “Click to update your profile”.
Complete your profiles under ALL the sections - for POLYVALENT CANDIDATES,
please choose ‘NAUTICAL’ in your Pre-Sea stream and NOT ‘Polyvalent’. Also,
UPLOAD your photo (WHITE BACKGROUND).

STEP 3 - On Completing Course from ARI - Updating Profile


This you will be able to do only after getting the Attendance Certificate from ARI.

 Login.
 Click on “Update Seafarer’s Profile”.
 Enter the details of ARI Attendance Certificate under “Post Sea Training Details”.
STEP 4 - Submitting Online Application for Assessment of Sea Service

Please note that SUBMISSION of ONLINE APPLICATION is to be done AFTER


completing the course from ARI.

ALL PAYMENTS of FEES is to be DONE ELECTRONICALLY ONLY (using


Debit Card / Credit Card / Net Banking). The system of paying using the chalan and
entering the chalan details has been DISCONTINUED.

 Login.
 Click on “Examinations”.
 Click on “Application for Eligibility Assessment”.
 Click on “Grade” – Choose CORRECTLY the grade that you are appearing
for.
 Click on “Stream” – Stream to be selected is “First Mate Foreign Going” for
ASM students, "2nd Mate Foreign Going” for Phase 1 and Phase 2 students.
 Fill in the details as required.
 Press “Submit” and pay the amount ELECTRONICALLY using the link
provided and, TAKE PRINTOUT OF ACKNOWLEDGEMENT.

STEP 5 – Confirm Status of Online Application for Assessment of Sea


Service - (to be done after minimum SEVEN WORKING DAYS from
submission of Assessment Application)

 Login.
 Click on “Examinations”.
 Click on “View Application Status”.
 The status against the application should either show “Verified and Forwarded to
Assessor” or “Verified by Assessor”.
 If the status shows as “Application Rejected” then you have to go PERSONALLY
to MMD to confirm the reason for rejection, as well as taking necessary action to
rectify the issue (if not done then you will NOT be able to book your seat at the
end of the course).
 Once issue rectified, re-submit the application for assessment of sea service as
given in STEP 4. DO NOT PAY SECOND TIME.

STEP 6 - Taking Print of FORM 29

 Login.
 Click on “Examinations”.
 Click on “View Application Status”.
 In the Assessment of Sea Service Application, click on “Application Detail”.
 Click on “Print FORM 29” (Top Right Hand Corner) - A PDF Widow opens with
the ELECTRONIC FORM.
 PRINT ONE COPY of FORM 29 – THE FIRST PAGE HAS TO BE
PRINTED IN COLOUR (Same to be Included in your MMD File).

STEP 7 - Taking Print from MASTER CHECKER


 Login.
 Click on “Examinations”.
 Click on MASTER CHECKER; take printout (PROVIDED YOUR
COMPANIES HAVE UPDATED YOUR DETAILS)

STEP 8 - Booking Seat Online for Written Examinations

ALL PAYMENTS of FEES is to be DONE ELECTRONICALLY ONLY (using


Debit Card / Credit Card / Net Banking). The system of paying using the chalan and
entering the chalan details has been DISCONTINUED.

 Login.
 Click on “Examinations”.
 Click on “Application for Booking Sea.
 Fill in the required details.
 Press “Submit”.
 Pay the amount ELECTRONICALLY using the link provided.

STEP 9 - Printing Admit Card – (To check after 4-5 days of booking
seat online for written examinations)

 Login.
 Click on “Examinations”.
 In the list of links the option “View and Print Admit Card” will flash in red –
click on the link and print the Admit Card (ENSURE TO TAKE AN ID PROOF
ALONG WITH ADMIT CARD FOR ALL WRITTEN EXAMINATIONS).

SECTION 2 - INSTRUCTIONS FOR FILE COMPLETION

1) PLEASE CONFIRM FROM YOUR COMPANIES TO UPLOAD YOUR


DETAILS IN FORM III A.
2) In Section E-2 of the Form (Online Form 15) – Company’s name to be entered
in Capital Letters by hand.
3) ALL Candidates – You will require to FILL FORM J SEPARATELY and
attach in your file.

ORIGINAL DOCUMENTS TO BE ATTACHED

4) COMPANY’S SEATIME LETTER – ORIGINAL.

5) ALL PHOTOCOPIES to be SELF-ATTESTED (no attestation required by


faculty). On each photocopy, write ‘Self-Attested’ and below this put your
signature.

Please note if the above instructions are not adhered to; your file will be considered
as INCOMPLETE and subsequently NOT SENT to MMD.
