DESIGN AND METHODOLOGY
This chapter presents the methods of research used by the researchers, locale of the
study, respondents of the study, the measuring instrument, how data were gathered and
how such data were treated statistically.
RESEARCH DESIGN
The researchers have used the descriptive research method which involves data
gathering to acquire information regarding the current situation that were organized,
described and tabulated. In the descriptive research method, the researchers collect
information for the developing system. The researchers were able to gather substantial data
on perceptions, opinions and interest of the users on the developing Pre-enrollment website
for University of Perpetual Help System Laguna – Isabela Campus.
DATA GATHERING PROCEDURE
The researcher prepared a letter seeking for the approval of the concerned authority.
After seeking for approval, the researcher prepared the questionnaire, had it checked and
approved by the research adviser, english critic and statistician then they administered the
survey questionnaire to respondents. The researcher tallied the responses according to the
questions in the statement of the problem then the responses were put into tables and graphs
and were interpreted and analyzed.

Pre – Survey Questionnaire
The researchers used this instrument to determine the problems encountered using the
traditional enrollment system in terms of time productivity, and to identify the advantage
of the developing system.
Post – Survey Questionnaire
This instrument was used by the researchers to know the benefits and
advantages of the Pre-enrollment website for UPHSL-IC. The respondents who answered
the questionnaires were the admission admins, Grade 10 and Grade 11 students of the
institution.
RESEARCH INSTRUMENT
The following are the different instruments used by the researcher in gathering
information/data. They used the survey questionnaire as the main instrument in gathering
data. The survey questionnaire was distributed to the respondents of the study for them to
answer honestly. Any information gathered with this instrument were analyzed and
studied and were treated with confidentiality.
Internet Method
The researchers surfed and browsed the internet to search essential information needed
in the documentation of the study. This method was used in gathering advanced study
regarding the proposed system. This method is the newest means of searching for any
information or data needed.

RESPONDENTS OF THE STUDY
The respondents of the study are the Grade 10 and grade 11 students and admins of
the said institution.
STATISTICAL TREATMENT
To answer the problem of the study, the researchers utilized the following statistical
treatment:
1. Frequency counts and percentage distribution were used to describe the problems
encountered on the existing website, which is the respondent’s willing to have a
new website and the advantages of the proposed website.
P = f/n x 100
Where:
P = percentage
n = total respondents
f = frequency
2. Weighted mean was used to determine the time efficiency, reliability and security
the pre-enrollment website. This is simply obtained by dividing the summation of
all scores by the number of the respondents.
W(x) = ∑f(x) / ∑f
Where:
W(x) = weighted mean
∑f(x) = weighted frequency
∑f = total number of respondents

A four-point rating scale was utilized to recognize the degree of responses with the
following statistical limits and corresponding descriptive equivalents. It was used to
determine the qualitative description of the different evaluation criteria for the time,
reliability and security of the proposed system.
Likert Scale
The data below shows the weighted mean range and its descriptive interpretation used in
the interpretation of data during the evaluation on the problem of compliance of the current
website.

SOFTWARE DEVELOPMENT AND METHODOLOGY
The Developing Pre-enrollment website for University of Perpetual Help System
Laguna – Isabela Campus will use waterfall model SDC. It is the most popular model that
has been use in system development life cycle (SDLC). Waterfall model is the simple and
easier to use and to be understood by others. In every phase of waterfall has review process.
The waterfall model which is known as classic life cycle model is the first model to be
introduced. The waterfall model was first model used for software development. The
process phases of the waterfall model will be separately divided, the one phase outcome
will act as the input in the next phase sequentially. In addition, the waterfall model will
help to plan and schedule the system development. Development process moves from
planning, analysis, designing, implementation, testing and will end up with maintenance.

Requirement Gathering and Analysis
All possible requirements of the system to be developed are captured in this phase
and documented in a requirement specification document. The researchers have evaluated
first the existing and have identified its strengths and weaknesses using questionnaire.
System Design
The requirement specifications from first phase are studied in this phase and the
system design is prepared. This system design helps in specifying hardware and system
requirements and helps in defining the overall system architecture. The system design
specifications serve as an input for the next phase of the model.
Implementation
With inputs from the system design, the system is first developed in small programs
called units, which are integrated in the next phase. Each unit is developed and tested for
its functionality, which is referred to as Unit Testing.
Integration and Testing
All the units developed in the implementation phase are integrated into a system
after testing of each unit. Post integration the entire system is tested for any faults and
failures.
Maintenance
There are some issues which come up in the client environment. To fix those issues,
patches are released. Also, to enhance the product some better versions are released.
Maintenance is done to deliver these changes in the customer environment.

Fishbone Diagram
One of the most effective method to track the root cause or problem of the agency
or at the area were the study was taken on the school, fishbone method is being used
because researcher can determine what problems are going to be solve when the system is
being implemented. The diagram below shows what are the data gathered by the researcher
and it shows the cause and effect of the current system of school.

Based on the Figure 3. the main problem is time consuming process of enrollment
inside the campus and low number of enrollees. It has a total of four causes which are
student application, method, promotion and place.

Functional diagram
The table below shows the high level of function and deeper understanding of the
system that the researchers make this specified and organized. It can easily understand the
systems function by simply understanding the diagram.

The total development cost of the system is worth 161,962.00 while the total
recurring cost of existing system is 95,000.00 per year.
The operation of existing system will continue every year and same to its recurring
cost, compare to the developed system wherein it will only have a one-time payment for
its cost in implementation, aside from its maintenance per year. For example, in three years
of continuing using the existing system, the recurring cost will rise-up to 285,000.00, while
the developed system will only cost for once worth 161,962.00 and the only recurring cost
of the developed system is the maintenance.

The Figure 5.1 Shows the context diagram of the system wherein it includes the
process and transactional flow of Gazette admin, Master admin. The admin must input the
login details in order to access his/her dashboard, then must input the news or articles which
will then be seen by the website visitors, same as in the Master admin the only difference
is the task of Master admin or SPS is to add announcement’s and manage the system
administrators.

The Figure 5.2 Shows the online registration and pre-enrollment process in part of
SPS, Senior Highschool Coordinator and student. Firstly, the student must register and
create an account and continue to the registration process, the student’s registration will
immediately be recorded to the database and a pending application approval from the SPS.
When the student application was approved, the student will be notified and redirected to
the printable application form then continue to the pre-enrollment, so the student must login
in pre-enrollment website to get pre-enrolled and that enables the student to view and print
a pre-enrollment form.
Data Flow Diagram
Data Flow Diagram illustrates how data is processed by a system in terms of inputs
and outputs. As its name indicates its focus is on the flow of information.

Figure 6.1 it shows the login process for the different administrator accounts. The
admin must input the login details which is the username and password. The login details
will immediately be confirmed and is recorded in the database. Once it is confirmed, the
admin will be redirected to its designated dashboard.

Figure 6.2 it shows the SPS/admission admin task in pre-enrollment. The admin
must open-up and view a specific student application to approve or ignore it. Once the
student application was approved, it will immediately be confirmed immediately and
recorded to the database for changes of student status in terms of application approval. The
SPS admin can also view analytical data’s that shows percentage representation for several
student applications based on place and gender.

The figure 6.10 illustrates the pre-enrollment process. the student must login in pre-
enrollment website and must click the pre-enroll button to get pre-enrolled. The pre-
enrollment process will immediately be recorded to the database and that enables the
student to view and print a pre-enrollment form.

A flowchart is a type of diagram that represents an algorithm, workflow or process.
The flowchart shows the steps as boxes of various kinds, and their order by connecting the
boxes with arrows. This diagrammatic representation illustrates a solution model to a given
problem.

The diagram above shows the functionalities of the system. The internet is used for
faster transaction and information dissemination that can reach multiple visitors of the
website and once a student registered and pre-enrolled for the current semester it will
proceed to the application layer/server, and it is composed of the web-application system.
The web-application system is designed using web-hosting, server, MySQL
database, php, js/jquerry, html/css and bootstrap. On the third layer is the persistence layer
wherein all transaction is stored in a database.

TECHNOLOGY BE USED
Computer or mobile devices – a device like smartphone and tablet that allows the user to
visit and access the Pre-enrollment website.
Internet/Network provider – a global computer network providing a variety of
information and communication facilities, consisting of interconnected networks using
standardized communication protocols.
Server – must be installed for web server environment that provides operating system,
database, and web scripting software.
Printer - a machine for printing text or pictures onto paper, especially one linked to a
computer.
HOW THE PROJECT WILL WORK
The system consists of different functionalities which is the University website
itself and its main purpose as online pre-enrollment. the project will be managed by
different administrator accounts in which every account type of administrators has specific
dashboard like SPS for admission, Senior High School coordinator, and website content
administrators. The SPS admin is the one who is authorize to view and approve student
applications for the incoming Grade 11 then after approval, the list of approved students
will be displayed in Senior high school coordinator dashboard with analytics. While the
web content administrator is the responsible to post and manage contents of the website
like news, events and announcements.
In pre-enrollment process, in part of new student and transferee applying for senior
high school must visit and go to the registration of pre-enrollment website where the system
collects all related informations about the student, then the system will require the student
to upload scanned documents (admission requirements) and wait for a pending approval
from the admin of office of the SPS, then in the final approval the student will be notified
via SMS and enable him to go on pre-enrollment website that offers the subject loads,
tuition fee and printable pre-enrollment form. In part of old students, they can use their
registered account to gain access from the pre-enrollment website that enables them to view
their subjects for the current semester and continue into the final transaction which is
printing the pre-enrollment form.
SECURITY OF THE PROJECT
The data and information inside the database are secured using a password and only
the database administrator has access to it, same as well to administrators of the system it
needs a username and password to open their dashboards, so the authorized persons can
only gain access to the confidential parts of the system. The account of students is also
protected via their email and password. In terms of hacking and database security, the
system uses mysqli_real_escape_string() php function code in every data collected by input
forms using POST method to avoid SQL Injection.

announcements about UPHIL-IC. In prior functionality it aims to help the institution to
