1. List three project management tools and explain their use in project management.
Ans :- Gantt chart can help in arranging and overseeing ventures by breaking an enormous undertaking into
a progression of littler assignments in a sorted out manner. Each undertaking has a normal time length
which is exhibited by an even bar whose left end shows the starting date of the assignment and whose
correct end demonstrates the finish date of the errand. Undertakings may run successively, in parallel or
covering. During the procedure, significant occasions can be featured as "Achievement" which is set apart
by a little precious stone shape.
PERT is shorted for venture assessment and survey strategy. It's an essential venture the executives device
utilized for arranging and planning whole activities and following the usage stage. PERT chart can likewise
show task division, time assignment, and beginning and completion dates. Not at all like Gantt outline who
uses bars to speak to errands, PERT chart shows data as a system model that utilizations boxes to speak to
undertakings and bolts to introduce conditions between assignments.
Timeline help in tracking project progress. With a timetable, you can obviously envision by what time an
assignment should be finished. It is a progressively consecutive route at taking a gander at assignments
after some time. In any case, course of events isn't as well known as Gantt graph since it has constraints in
demonstrating task conditions and the finishing state.
6. Outline three types of documents and sources of information that are used to define the parameters of a
project.
1. Project Budget: It's basic to follow your task spending plan. This record enables you to follow all
expenses related with your venture. Undertaking costs incorporate assets, equipment, programming, and
merchants.
2. Communication Plan: This is a key undertaking report since it proactively conveys to the entirety of your
partners your communication media, recurrence of communication, and communication content. You don't
need your partners speculating about your communication procedure.
3. Quality Assurance (QA) Test Plan: Reviewing and approving your undertakings' QA archive could set
aside time and cash later during your venture testing stage. The QA record contains the testing
methodology, testing devices (mechanization), significant level span, and various QA analyzers.
7. Explain the importance of planning for risks in a project and list three processes that can be used to identify
risks as part of a risk assessment process for a project.
Risk management is an embodiment of undertaking the board. It expands the odds of your prosperity up as
it were. Following are a portion of the advantages of creating and executing an effective hazard the board
plan while taking a shot at any venture. Like everything else on an undertaking, you're going to need to
strategize and have the instruments set up to receive the benefits that might be seeded in positive risk.
Following are the ways to identify risk:
1. The main thing you'll need to know is if the risk is something you can misuse. That implies making
sense of approaches to improve the probability of that risk occurring.
2. Next, you might need to share the risk. Now and then only you are not prepared to exploit the risk,
and by including others you increment the chance of yielding the best result from the risk.
3. At long last, there might be nothing to do by any means, and that is actually what you should do.
Nothing. You can apply this to negative risk also, for not accomplishing something is once in a while
the best thing you can do when stood up to with a particular risk with regards to your venture.
8. Explain the importance of a risk management plan in identifying and managing risks for a project.
Effective risk management strategies allow you to identify your project’s strengths, weaknesses,
opportunities and threats. By planning for unexpected events, you can be ready to respond if they arise. To
ensure your project’s success, define how you will handle potential risks so you can identify, mitigate or
avoid problems when you need to do. Successful project managers recognize that risk management is
important, because achieving a project’s goals depends on planning, preparation, results and evaluation
that contribute to achieving strategic goals.
a. risk reduction - when we take a few measures (counter measure) to lessen the hazard to a
satisfactory level.
b. risk transfer - when we move the risk to someone else or element. Practically speaking,
organizations can for example get a protection (move of risk to a protection office) or can move the
hazard to another organization by methods for re-appropriating.
c. risk avoidance - when we choose not to understand our aim from which the risk emerges, for
instance, it implies that we won't dispatch our extend or won't finish up an agreement.

In the role of Marketing Coordinator of a fictitious company, you will review a case study, meet with the
Operations Manager to discuss the required project and develop a project scope document and project
management plan. This assessment is to be completed in the simulated work environment in the RTO.
Currently the business is selling its products through a number of small supermarkets and health stores
throughout Australia. The company also has a very basic website that includes four pages: home, about us,
products and contact details.
The company’s overall business objectives for the next three years are to increase sales and create brand
awareness, develop a broader product range, as well as expand into overseas markets, most likely Hong
Kong, Japan and Singapore.
The company’s target customers are those that enjoy gourmet foods.
The age range of Australian consumers buying products is between 35 and 65.
Most consumers are health conscious, care about protecting the environment and have an average annual
income of $80,000.
The company currently employs the following staff in its head office: CEO, Operations Manager, Marketing
Coordinator, Customer Service Officer and two administration staff.
Ten staff are employed in the factory making and distributing the products.
As the Marketing Coordinator, you have been asked by the Operations Manager to coordinate a project to
develop a new website. The Operations Manager is ultimately responsible for the management of the
project but has assigned significant responsibility to you. The new website is seen as a critical part of the
company’s expansion strategy, and the Operations Manager has advised that you will need to develop a
project scoping for the website to present to senior management, as well a project management plan.
The Operations Manager has also advised you that the new website is classified as a Medium Project. The
project team is to consist of yourself, the Customer Service Officer who has been assigned to assist you
with this project, and the Operations Manager.
The Operations Manager has advised that the website is to include a shopping cart, so customers can order
products directly through the website. He would also like customers to be able to access recipes and
general information about the health benefits of bush spices.
The company has long wanted to commission a new logo, and it has been decided to do this now, in
conjunction with the new website. The Native Bush Spices marketing team will then use the logo across all
of the company’s communication. It has been allotted a budget separately from the website, but it is
understood that the company that designs the website will also design the new logo too.
The company has established procedures for project management. These are documented in their
documented in the Project Management Policy and Procedures.
The Project Management Plan is drafted so as to accomplish target. I hearby request you to provide your
valuable feedback on it and if possible to arrange a quick meeting to get a better suggestions thereafter.

You are required to provide support for the new Project Team member by discussing all aspects of the
project with them. The Operations Manager will also be attending the meeting.
Keep in mind the new customer service officer will need your support at this stage, so make sure that you
understand in what areas they may need assistance, and work with them to find how this can be provided.
During the meeting, you must be very clear about the expected quality of the project outcomes. Keep in
mind that this is a new employee, and they are not familiar with the quality expectations that have been
outlined during earlier discussions that you have participated in.
It is important that you are also very clear about the importance of meeting the documented timelines.
These should be the same as those in the Activities & Milestones section of your Project Management Plan.
Confirm that the new customer service officer confirms that these timelines can be met.
During the meeting, you are required to demonstrate effective communication skills including:
● Speaking clearly and concisely
● Using non-verbal communication to assist with understanding
● Asking questions to identify required information
● Responding to questions as required
● Using active listening techniques to confirm understanding
Create folders for the project as specified in the Project Management Policy and Procedures.
When the project is completed, you will be assessed on whether you have set up the folders and created

Task summary
This assessment task requires the student to finalise the Native Bush Spices Australia website development
project by developing a project evaluation report.
The web site is now live. There has been very positive feedback amongst all staff about the look and
content of the web site. The web site designers were very professional and easy to deal with.
It is four months since the project commenced. Delays occurred because of the following:
● The web site developer could not complete the web site within the required timelines as originally stated
in their quote.
● There were additional delays due to the customer service officer’s departure and changes to the web site
during the development as a result of the project manager’s input.
● The design of the logo took longer – see below.
The estimated cost for the logo was doubled because the first designer employed was unable to develop a
logo to the company’s liking and so a new logo designer was contracted. This therefore doubled the costs
as the first designer, as well as the second designer needed to be paid.
Training will be required in web site maintenance to ensure information is regularly updated e.g. the
newsletter. Training should ideally be provided to the administration staff.
Ans :- The following is a project scope and plan report as per the agreed communication processes.
Meetings
The project schedule was agreed by the project team at the outset.
The project commenced with a meeting with web site developer to discuss the brief for the web site. A
further meeting was held to confirm the brief.
Project progress
The task has achieved its end and has met every one of the necessities of making the site.
The site has been made, conveyed to the customer and executed on the framework for
Local Bush Spices Australia. The office for the shopping basket has been included according
to prerequisite from the customer and the medical advantage subtleties of the items content
was made and refreshed on it. Hence, we have effectively finished the task which prompts
its conclusion.
Summary of recommendations
1.) Train to the staff to maintain the website.
2.) Approval in delay of project
3.) Demand for more budget
4.) Hire uniquely skilled graphic designer.
5.) Make operation manager to close the project
All of the documents you have submitted for this unit’s assessment tasks should be correctly named and
filed.
You will be assessed on whether you have set up the folders and created documents as per the project
management policy and procedure requirements.
The screen shot should show all the folders and documents.
It should introduce and summarise the contents of the attachment and sign off for the project now that it is
concluded.
Attach your Project Evaluation Report and screen shot to the email.
The task has been accomplished and all the changes are made to the site. The access of site is been
provided to the client with all the necessary backup of FTP and database files. Attached is the project
evaluation report for more details
Please check and let me know if you have any further query.
