Chapter I

THE PROJECT AND IT’S BACKGROUND

INTRODUCTION

In this day and age where technological advancement has become a way of life, most of

the country's facilities and institutions still do not adapt advanced computer technology.

Especially since most medical facilities, clinics, private and public hospitals still use paper and

old technology for transactions. Most of the business sectors nowadays are using network

services and also offering Web online services in order to provide better service with fast and

efficient way for both their staffs and themselves, including the way of how those people make

booking in their doctors or dentist.

Modern clinics today that use computers and other types of technology has proven that

using technology can greatly lessen workload, makes data management easier, and also allows

facilities to serve as many patients as possible. Also now that the number of patients continues

to grow and various medical issues continue to rise, it helps prove that the oldway of manually

managing patient records, prescription, and billing, can no longer be considered as efficient.

In this study, we are striving to create a Web based online application for dental clinics

that will efficiently help the clinic in processing an online appointment. This will give dentist and

dental personnel of any possible dental clinic to serve and assist the ever increasing number of

patients served, also reducing possible waiting time for patients. We hope to create a fully

functional, user-friendly, credible and efficient system.


PROJECT CONTEXT

Mojaress Dental Clinic is a known dental clinic located in Lipa City, with the owner

named, Dr. Raphael Mojares. Dr. Mojares has been in the dental industry for more than 6 years.

For 6 years, the clinic is equipped with modern accessories and equipments that helps them to

make their service fast, efficient and effective. Although they are equipped with modern

equipments, they are still facing some problems, and one of that is scheduling an appointment for

their patients. The manual way of processing an appointment is still effective nowadays but as

the time goes by, technology continues to evolve and at the same time the business also starts to

grow as well as the clients.

Online appoinment system is a scheduling tool that helps the client to easily schedule an

appointment without any hassle and exerting more effort. With the system, the process of making

a scheduled appointment will be more easy and portable.

After creating a personal account the user is directed to the log in interface. Once the

patient successfully logged in he/she will be directed to the dashboard where he/she can start to

process an appointment by choosing their desired date and time. After that, the patient don’t

have to worry anything because the dentist or the dental personnel will be informed that someone

had booked their service on a specific time and date. At this point, scheduling an online

appointment will be effortless and it will be more easy and at the same time, it is modernized.
OBJECTIVES OF THE PROJECT

GENERAL OBJECTIVE

The general objective of this project is to eliminate the manual way of processing an

appointment.

SPECIFIC OBJECTIVES

1. To provide an automated SMS for both the dental staff and to the client .

2. To lessen the workload of the dental personnel.

3. To easily process an appointment online.

4. To provide a modern, easy access and user- friendly application.

PURPOSE AND DESCRIPTION

In the Mojares Dental Clinic, they are still implementing the traditional way of

processing a scheduled appointment, which is sometimes by paper, and mostly verbally. The

patient will drop by at clinic and talk to the dentist or the dental personnel and just file an

appointment to a specific time and date. There is still a chance that the dental personnel or the

dentist might still forget that someone scheduled an appointment to them, maybe because they

are busy giving service to other patients

The purpose of the project that the researcher proposed is to have an easy, effortless,

hassle-free and modernized way of processing an appointment. Compare to the manual way of

processing or scheduling an appointment, the use of an online appointment system will save

much more time and energy. Moreover, the project will benefit both the clients and the dental
personnel, for they will focus more on things that that requires more attention than any other and

the distraction made will be lessen.

The significance of the study will help the following;

The Client. The proposed system will be very useful to the client because they no longer

need to drop by at the dental clinic just to verbally file a scheduled appointment.

The Mojares dental clinic. It can help the clinic to be noticed because of the service that

it can offer. It also gives the clinic credibility because they are using their own system to make

their work more easy.

The dental personnel & the dentist. They will benefit the proposed system because It

will lessen their workload and distraction being made. The dentist, as well as the dental

personnel will be receiving an automated SMS that will also help them to make their work more

easy.

The future developers. This project will fulfill the requirements in Research and in

Programming subjects.

SCOPE AND DELIMITATION

The project generally focus on how the Mojares Dental Clinic will improve their way of

scheduling an appointment. Therefore the clients will file an appointment via online and their

made appointment will notify the admin/dentist.. The clients will no longer need to drop by at

the clinic just to file an appointment. The system will also have an automated SMS that will

serve as a notification to both client and dental personnel. The client will first fill-up the
appointment form where they can choose their desired date, time and service. After that, the

system will send a message to the admin that someone booked them for their service. Once they

received the automated message, the dentist must first log-in on his account and it’s up to him

whether he’ll accept or decline the processed appointment. Lastly, after the dentist reviewed the

processed appointment, the system will send an automated message to the client if his/her

booking have been accepted or declined. In addition, the system will also have a log in and

logout feature so that they can keep their accounts secure. Once the user/client logged in his/her

account, he/she will have an access on the dashboard, my profile, create an appointment, about,

and notifications. When the admin/dentist logged in their accounts, they’ll be able to access the

dashboard, where they can monitor all of the appointments being made. Profile, the profile will

show all of the background information about the dentist. Calendar, the calendar can be updated

everytime so that the clients can keep track of the dentist’s schedule and whether the dentist is

available on a specific date. Notification, once the user processed an appointment, the dentist

will automatically receive a notification from the client. The delimitations of the project is that

the system cannot inform the client about their appointment via call. The system cannot reply to

any messages the client has sent.
