 T H E O R G A N I S E R

T H E B A N D L A B

The Band Lab (ROS Registration No. PPM-020-13-09082019) is Kuching’s inaugural award-winning,
non-affiliated Youth Community Wind Band Education Program with the vision of providing highly
affordable and quality music education to the Youths of the community.

Since its inception in 2018, The Band Lab has employed creative and innovative solutions to develop
the creativity, discipline, social skills, leadership skills of its members through music and Band
Education. Furthermore, it has also served as a platform to educate and assist other community Bands
around the region, and to provide performances to diverse audiences for entertainment, education,
and public service purposes.

As part of its educational initiative this December, The Band Lab is looking to organise a 4-day Wind
Band Educational Program entitled ‘Kuching Youth Band Fiesta’ from 17-20 December 2019.

The Band Lab believes that the December Semester Break will be an optimal opportunity for students
to rejuvenate, learn and equip themselves with skills that will better prepare them for their Band/
Music Activities in the following year. If successful, this will also be an annual event that Young
Musicians may anticipate working with professionals each year — ensuring sustainability in learning
and growth of the Wind Music Industry in Sarawak.

The ‘Kuching Youth Band Fiesta’ 2019 Organising Committee is made up of the following:

E X P EC TAT I O N S

All activities in the Kuching Youth Band Fiesta are intended to collectively provide a holistic educational
experience for all Participants. Further, as part of all music and band education, we want to instil in our
Participants a sense of responsibility and discipline. Therefore, attendance to all events (sectionals, full band,
social night etc.) is expected of all Participants.

If you foresee that you are unable to attend any rehearsals/activities, please fill up and submit the Leave
Authorisation Form during registration so that we may account for your absence (no refunds will be
available). Please note that if a Participant misses an activity without obtaining prior approval from the
Organiser, he/she may risk forfeiting his/her Certificate of Participation from the Fiesta.

2. PRIOR PRACTICE IS EXPECTED

Before the event, scores will be distributed and sent to each Participant, Band and/or respective Schools.
Participants are expected to practice their parts before coming. If there are any missing pages, please inform
the Organiser as soon as practicable.

3. INSTRUMENTS & ACCESSORIES

Except for large percussion instruments, students are expected to bring along their own instrument(s), a
foldable music stand and other necessary items/accessories (reeds, mutes, valve oil, etc) for the KYBF'19.
Percussion students are required to bring sufficient (and extra if possible) drumstick and mallet sticks and in
addition, may be required to supply their own mallet percussion (e.g. glockenspiel) and/or unpitched
instrument (e.g. snare drum, cymbals) in the event where there is a shortage of such instruments for
learning.

Please ensure that all instruments and stands have been labelled or are distinctively discernible so as to
minimise any disputes of ownership over these items during the KYBF’19. It is each Participant’s
responsibility to take care of his/her own belongings and instruments throughout the event.

Storage facilities for instruments during rehearsal will be provided. However, these instruments will be
stored at the Participant’s own risk. The Band Lab, the Fiesta Organising Committee and all other related
parties will not be held responsible for any damage or loss of these items however so arising.

Transport for large instruments (percussion, tuba, baritone saxophone etc.) will be provided from rehearsal
venue to concert venue (where necessary) at the reasonable discretion of the Organiser. Students playing
other instruments must make their own arrangements to transport their instrument to the concert venue.

4. ATTI RE

Concert Attire:
Kuching Youth Band Fiesta Event T-shirt with dark blue jeans and black shoes.

Rehearsal Attire:
Day 1: Band or School-based Attire (if available)
Other Days: Smart Casual; No singlets, tank tops, shorts, slippers. No clothing or accessories with offensive
designs. Sweaters and jackets are advised as all rehearsal rooms have air conditioning.

5. REPORTING AND PICK UP TIME

All Participants are expected to arrive at least 15 minutes at their respective venues before the start of each
day’s activities to set up their instruments, warmup, and make the necessary preparations for the day’s
activities.

Parents who wish to pick up their child may do so 15 minutes after the end of the day’s activities to allow time
for the Participant to clean and pack his/her instrument.

6. MEALS

Lunch and dinners during the Kuching Youth Band Fiesta are not included in the registration fee. However
Participants may instead opt for either one of the following:

• Pre-order a meal from the onsite catering services — order form available in registration form; OR
• Purchase own meal from onsite catering services; OR
• Purchase own meal at the Participant’s own risk and expense at nearby eateries; OR
• Bring a self-prepared meal (microwaves are NOT available); OR
• Have someone deliver a meal within dining hours.

Social Night on Thursday, 19 December 2019 will be an exception to the above arrangements as this will be
a pot-luck event. Accordingly, Participants residing in Kuching will be expected to bring ONE dish each that is
sufficient for a two-person portion for this event.

7. VISITORS AND OBSERVERS

Unauthorised visitors, outsiders and observers shall not be permitted access to activity areas nor partake in
any Fiesta activities unless otherwise authorised by the Organiser. We seek the cooperation of all family
members and friends to observe this rule closely so as to allow minimal disruptions and provide a more
conducive learning environment for all Participants.

FAQS

DO I HAVE TO AUDITION?

No, there will not be any auditions. However, our facilitators and tutors will assess each Participant on a case-
by-case basis during the Fiesta and may stream the class to allow each Participant to maximise their learning
during the event. This means that you may also be placed in different tutti/sectional sessions as registered.

WHAT LEVEL DO I HAVE TO BE AT TO JOIN THE KUCHING YOUTH BAND FIESTA?

The Kuching Youth Band Fiesta is opened to ALL Participants regardless of the level of playing.

IS THERE AN AGE REQUIREMENT?

Yes, you will be eligible to join the Kuching Youth Band Fiesta only if you are aged 11 and above as of 2019.

ARE THERE ANY OTHER REQUIREMENTS?

Yes, you must be OR have been a Band/Orchestra Student or are currently learning a Band Instrument
externally. If you fall beyond either of these categories, please consult us to have your suitability assessed.

IS MY INSTRUMENT OFFERED?

All Band instrument/section spaces are offered subject to a minimum of 4 participants for that instrument.

DO I NEED MY OWN INSTRUMENT?

For Woodwind & Brass Instruments: Yes

For Percussion: Only larger percussion instruments like Timpani & Concert Bass Drum will be provided.
Please contact us for more information if you are unsure whether your instrument falls under this category.

I HAVE SUBMITTED MY REGISTRATION FORM AND FEES. WHAT IS NEXT?

Once we have received both your registration form and fees, we will send you/your school/band an email
containing more information about the event and the music to be practised closer to the event. After that,
practice!

WHAT HAPPENS IF I CANNOT ATTEND AFTER I REGISTERED?

Unfortunately, there will not be any refunds nor will any registration be transferrable except in special,
unforeseeable circumstances. Please consult us for more information.

WHICH PART DO I LEARN?

Tutors/Mentors have requested to decide seating during camp, and may even change them around for
different pieces. The best way is to learn all relevant parts so that you can be flexible.

IS THIS AN OVERNIGHT CAMP?

No, Participants will need to leave the venue at the end of each day’s activity and dropped off again the next

morning. Outstation participants are responsible for their own accommodation and transport.

WHAT ELSE DO I HAVE TO BRING TO THE KU CHI N G YOUTH B A N D F I ESTA?

Besides your musical instrument, a foldable music stand and other mentioned items above, please also

bring along writing materials, a filled water bottle, a dark grey/black file, a change of clothes if necessary

and most importantly, a great learning attitude!

I AM NOT FROM KUCHING, CAN I JOIN?

Of course! The Kuching Youth Band Fiesta is opened to all Participants from Sarawak and beyond. However,

if you are an outstation Participant, you are responsible for your own accommodation and transport.

WHAT IF I NEED TO LEAVE THE CAMP HALFWAY?

If you need to leave the Fiesta midway, please fill and submit the Leave Authorisation Form during
registration so that we may account for your absence. Please note however that there will not be any refunds

for any activity missed.
