Congratulations on your engagement! Thank you for contacting us about the possibility of
coordinating your upcoming wedding. We would be thrilled to be a part of your special day.
We have ten years of experience coordinating weddings and providing memorable, stress-free
events. Should you decide to contact with us, we will make sure that you are able to take part in
all the fun decisions regarding your wedding without having to worry about the often stressful
particulars. From the moment you become our client, we look out for your best interests, from
contracting out for better prices to making sure every last detail comes together when it is supposed
to.
You mentioned that your wedding will take place on July and that you might be interested in an
outdoor wedding. We are available to help during that time period, but July is a typically very busy
month and the weekends book quickly. We encourage you place a deposit soon so that we may set
aside a date for you, reserve your location, and begin planning. Attached is a list of common

“Every bride deserves to feel like a princess on her wedding day.”


BRIEF EVENT
This wedding was designed for a very prominent family that requested both a large and upscale fairy tale
wedding. The audience members will consist of family members, friends, and other high profile
community leaders.
The wedding is set to take place outside the Bel Air Resort in Daet Camarines Norte.
Since both of the bride and the groom was involved in the field of teaching, we are incorporating a formal
ceremony during the wedding and again at the reception.

Risk Management
Providing a crisis management plan is one way to emphasize the importance of having a prepared set of
action plans in times of critical situations.
Event: Wedding
Purpose: To provide a preparation plan for a possible wedding interruption or disruption scenarios. Each
team will be assigned with a leader who has sufficient background to handle any incidents of interruption
or disruption similar or related to their expertise and actual experiences.
Possible Wedding Interruption/Disruption Scenarios
 No- show scenario ( which means that the bride or groom does not show-up)
 Natural Calamity occurrences like storms, typhoon, floods
 Man-made disaster occurrence which includes fire, structure-collapsed of tents, stage, or
gazebo
 Food and beverage poisoning
 Hostile family acts leading to verbal confrontations, altercations, violence

WEDDING PLANNER/COORDINATOR CONTRACT
This is an agreement between, Ronalie A. Ordona referred as “The Wedding Planner and Ms. Marichu
Mendoza and Mr. Arth Montes referred to as “The Clients”, and will be effective as of December 26,2019.
The wedding planner will provide a service based on the extensive background in all aspects of wedding
planning and provide access to a full range of related product and service contacts.
The wedding planner requires that all vendors are selected from our preferred list of wedding service
providers. These wedding service providers have demonstrated superb professionalism in building
successful business relations with the wedding planner and its client.
The Clients has indicated that the couple will be getting Married on the 18th day of July 2020 and requested
the services of the wedding planner.
The Client and the wedding planner agree to the following:
Wedding Planning and Coordination Service Package
Assist in the planning and preparation of all wedding details from the start to finish.
Pre-Event
1. Unlimited Consultation from the signing of Contract of Agreement by email, text messages or
phone calls.
2. Refer and accompany client to meetings with various pre-screened professional Vendors:
Wedding Gowns: Caterer, Florist, Favors, Bridal Car, and other bridal needs to the last detail.
3. Assist in negotiations and reviewing contracts with Vendors.
4. Assist and advise in determining and planning the Budget, and help manage to stay within the
budget.
5. Assist in reviewing wordings, and addressing of invitations, and sourcing of calligrapher.
6. Assist in composing Reception Activities as preferred by the Client.
7. Assist in dialoguing with the venue manager and caterer for floor layout plans, seating and place
cards arrangements, floral arrangements, cake table set-up, gift tables, musicians, stage,
microphone, audio-visual set-up.
8. Assist/advise in selection of music for the ceremony, reception and dinner.
9. Meet and confirm with the Client and all vendors on the details.
10. Provide client with the duties of the Entourage during the ceremony and reception
11. Assist in conceptualizing Wedding Reception Program, and meet with Emcee for finalization.
During the Event
1. Make sure that all approved wedding details must be executed on the event.
2. Any problem or disruption should be given a proper remediation immediately.
3. The tight security must be implemented as agreed upon with the client.
4. All necessary things which will be needed during the ceremony/program must be prepared a day
before or ahead of time.
