JOB DESCRIPTION

COMPANY OWNER/EVENT COORDINATOR


The overall head operator of the whole event. Have the highest level of
authority and responsibility for managing all staff members. Working well
under pressure, ensuring the smooth and efficient running of an event.

MARKETING OFFICER/OPERATION MANAGER


Responsible for the marketing, oversee the marketing department and
provide direction and feedback.

FINANCE DIRECTOR
Monitor the cash flows, accounts and other financial transactions.
TECHNICAL AND MUSICAL DIRECTOR
The technical and sound director is responsible in monitoring the event.
The director also will be take in charge to prepare all the screen and all the power
point presentation in the event.

FOOD AND BEVERAGE COORDINATOR


This committee is responsible for providing an adequate and timely supply of food
and drinks at the headquarters.

FLOOR DIRECTOR
In charge to the overall design and stage layout.

EVENTS HANDLING AGREEMENT


Agreement made this __th day of ____ 2020, between the PARENTS OF THE CELEBERANT whose
names appear below and PRIZZA, a legitimate and established events management company based in
Plaridel, Bulacan

UPGRADES TO FOLLOW
1. Forfeiture Clause: (Php 10,000) Reservation fee, deposit and all pre-event payments are Non-
Refundable, non-transferable, and non-consumble to any other services other than the service
availed during the time of the booking (no matter when a couple cancels). Remaining balance
which is ______________% 1-2 weeks prior to event date.
2. Cancellation of client from his booked date for any reason whatsoever, shall forfeit the
reservation fee and all pre-payments made.
3. WHILE cancellation is not allowed, rebooking can done: A written request for a change of
date stating reason is required 30 days prior to the event. Change of date is valid only for 1 year.

4. Strictly No Final Payment-No Event.
ONLY PHP 2,000 LEFT AS BALANCE AFTER THE EVENT.
• Limitation of Liability: In the unlikely event of mechanical failure or other circumstances that are
beyond PRIZZA control:
• Although all care will be taken with the acquisition of the photo and/or video footage and catering—in
the events of fire, earthquake, storm, power failure, mechanical error(cameras etc.), robbery,
national disaster/calamity and other acts of God, PRIZZA would not be held liable for any
breach of contract or damages arising from such events.
• In the event of power failure, although PRIZZA will do all it can troubleshoot the power interruption
problem, the venue/client (and not PRIZZA) will be responsible for providing generator. Tent is c/o
client or venue
• The maximum refund for video is ₱1,500.00
• The maximum refund for photo is ₱1,500.00
PHOTOGRAPHY AND VIDEOGRAPHY POLICY:
PRIZZA will no longer release another set of cds of photos after the raw video & photos have been
received by the client. Hence, the client is advised to back up their own files.
• The photos and/or video may be used for advertising, display or any purpose thought proper by
PRIZZA.
• No chosen pictures for birthday collaterals to be printed prior to event.
• Client will be given 1 month to submit chosen pictures. If client fails to submit within this period,
the layout artist will choose the pictures for album layout.
• Only 1 revision is allowed. Any additional revision, client will be charged 1,500 (per album
revision).
• Photography & Video Production and Delivery Period: 6 months to 1 year this may vary depending
on the production load and length of time of client approval. The production period will start 6 months
after they coordinated with the Production Coordinator and submitted their 200 chosen pictures for the
album. The photo & video processing is a two-way street between client & the Production
Coordinator. Hence, the production period is open-date and will vary from client to client and case-to-
case basis.
ON THE DAY COORDINATION (With Month of Coordination Turnover)

• Contacts & contract turnovered to PRIZZA
• Handles all details on the last-minute check list, on the day of the birthday celebration to make sure
the event goes exactly as planned.
• Based from experience gained in this industry, PRIZZA does not guarantee 100% perfect event
as there are many factors affecting the success of any event, what the event management team
can do is to minimize the errors.
CATERING

• It shall be understood that everything is in order in so far as these matters are concerned if the caterer does
not receive any written complaint from the customer within 24 hours from the end of the function.
• The client shall not be allowed to add any type of food not prepared by PRIZZA for food safety reasons. If the
client wishes to bring in food not prepared by PRIZZA is automatically relieved from all liabilities due to food
poisoning and spoilage. Food exposed in room temperature for more than 3 hours might get spoiled. Any
delay on the stated serving time or bring home left-over food, PRIZZA shall be relieved from all liabilities if
food poisoning or any problem should arise.
• If extra guests attend, charges will have to be borne by the client to be paid at PRIZZA shop.
The parents of the celebrant further understand that last minute changes can impact the
quality of the event and that PRIZZA is not responsible for these compromises in quality.
The parents further agree that PRIZZA is not responsible for any services, subcontractors
or events not specifically provided by PRIZZA and covered by this contract. This
Agreement will continue until terminated by either party by written notice. The terms of
