Current System: Manual Clearance System

1.1. Company Profile:

of USA. Informatics Philippines, established in 1994, is a multinational corporation committed to

provide quality training and education in Information and Communications Technology to

Filipinos. Informatics has more than 33centers operating nationwide providing lifelong learning

courses on Corporate Productivity, Business Solutions and Higher Education from Ladderized to

Degree Programs. Founding in 1994.

The Company has won many awards including the 12th Asia-Pacific Excellence Awards

(2005), the National Consumers Council (2001, 2002 and 2004), and the National Consumers

Quality Awards as Outstanding Computer School. The Company was also elevated to the Hall of

Fame award for winning the International Master Franchise of the Year Award (Service Category)

for two consecutive years (2001-2002), by the Department of Trade and Industry and by the

Informatics Manila is part of the Informatics' chain of 33 centers operating nationwide

providing lifelong learning courses on Corporate Productivity, Business Solutions and Higher

Education from Ladderized to Degree Programs.

1.2. Problems:

1. More paper works.

2. Overall, expensive in the long run compared to the computerized counterpart.

3. Difficulty in approvals.

4. The students needs to be physically present in order for the student to gain a signature of the

faculty.

5. The faculty needs to be physically present in order to sign the clearance of a student.

1.3. Proposed Solution(s):

1. Develop a system that is applicable for web and mobile platforms.

2. Implement a computerized version of the existing system


3. Creation of Admin/Faculty Accounts to manipulate the needed requirements for the students

to gain a signature.

4. Creation of Student’s Accounts to monitor the needed requirements for the students to gain a

signature.

1.4 Scope and Limitation:

This project work is to develop a computer-based online clearance system for the clearance

of the students of Informatics College Manila. The system development will be carried out using

HTML, PHP, and XAMPP to manage the database and at the same time make the system

accessible online.

This project covers some of the aspects of a computer-based online clearance system using

Informatics College Manila as case study.

However, following are the constraints:

TIME CONSTRAINTS: Due to time constraints, the website only contains the acquisition of

clearance for the various departments of the returning student.

FINANCIAL CONSTRAINTS: Due financial constraints, if implemented online, the developers

cannot afford to fully host a website and buy a domain name for the system. Therefore, the

developers will seek hosting partners in order to handle the hosting for the website and for it to be

online. Some documents were considered confidential and were not made available.

1.5 Activity Plan

1.5.1. Project Description


At present, Informatics College Manila has its own Clearance System and is done

manually. The system handles manual signature approval, student monitoring and payment

monitoring. Although the organization is using this existing system for a long time, they

are yet to discover the efficient way to do the processes. The proposed system can

drastically improve the existing process of the Clearance System for efficiency.

 Defining organizations problems.

 Formulating possible solutions.

 Creation of the information technology strategies.

 Implementation of the strategies.

Existing System

The manual student clearance process includes the manual disbursement of the clearance

form, manual signing of the form, manual signature acquisition of the students, manual signature

disbursement of the faculty and the other departments, being the student/faculty/officer in-charge

physically present on signing days.

Proposed System

The proposed student clearance system will be available through Website, LAN, and

Wireless connectivity, since the school has its own LAN Connection and Wireless network. The

proposed system will convert all the manual procedures said above into computerized form for

efficiency. Informatics College Manila has the necessary hardware and software requirement for

the proposed system. The officer in-charge of the school departments does not need the necessary

computer training because computer literacy is one of the qualifications to become an employee

of the school.
