Name of Soft Landings Champion: [enter name]

Soft Landings Principles and Key Stage Activities

Core Principles:
1 Adoption of Soft Landings process and embedded within appointments
2 Operational leadership
3 Soft landings roles and repsonsibilities established
4 Commitment to aftercare process
5 Use of feedback to inform design
6 Setting of performance objectives
7 Early invlovemenet of the FM and Asset Management Team
8 Involvement of the end users
9 Regular design reviews for maintainability
10 Communicate and inform

Stage 1 - Brief

B1 Appoint project soft landings champion

Conduct stakeholder engagement, assimilate lessons learnt from existing
B2 AIM’s, asset stock and industry case studies

B3 Define soft landings roles and responsibilities (initial stage)

Identify all stakeholders requirements for functionality, operational and
B4 facilities management of the project asset (AIR)
Define high level performance outcomes and measures of success, utilising
P.O.E data benchmarks from existing building/ infrastructure assets
B5
Identify performance metrics, benchmarks and methodology for asset
B6 performance measurement during the operational phase
Establish exchange points at project work stages for information/ data
B7 delivery (KPI’s, asset data, PLQ validation)

B8 Agree aftercare startegy

Assess requirements for project information transfer into the AIM and
B9 integration into any EDMS/ CAFM system
Agree soft landings gateway review programme including reality checks
B10

Stage 2 - Concept

C1 Organisatinal Information Requirements fully defined

Asset Information Requirements fully defined with opeartional input and
C2 sign-off

Soft Landings requirements and responsibilities included in appointemts

C3 and tenders
C4 Process and timing of trial data transfer to CAFM / AMS established
C5 Lessons learned embedded into concept designs
C6 Agree soft landings roles and responsibilities for contractor team
C7 BIM Enabled reviews in relation of operational strategy

Stage 3 - Definition

D1 Tender responses checked for soft landings capaibility

D2 BIM Enabled reviews in relation of operational strategy
D3 Review of initial performance analysis reports and simulations

Stage 4 - Design

De1 Tender responses checked for soft landings capaibility

De2 BIM Enabled reviews in relation of operational strategy
De3 Review of initial performance analysis reports and simulations

Stage 5 - Build and Commission

BC1 Check that data from supply chain is aligned with AIR
BC2 BIM Enabled reviews in relation of operational strategy
BC3 Review of performance analysis reports and simulations

Arrange for information for the asset register to be issued for the project at
an appropriate and agreed time prior to practical completion and closed
out at an agreed time immediately after practical completion.
BC4
Undertake an early test exchange of data from BIM to CAFM including data
BC5 validation workflows.
Ensure that maintenance access and replacement requirements are
considered in design in conjunction with operator / end user and then
evaluated as part of the post occupancy evaluation for functionality and
effectiveness.
BC6
Stage 6 - Handover and Close Out

HC1 Review of completed AIRs

HC2 Environmental and energy logging review
HC3 Building readiness programme established
HC4 Commissioning records check
HC5 Building management system interface completion and demonstration
HC6 BIM enabled end user orientation
HC7 Ensure a process is in place to maintain the AIM
HC8 Transfer of data to CAFM and or AMS

Stage 7 - Operation In Use

OP1 Commence after care plan

OP2 Commence post occupancy evalation process
OP3 Feedback lessons learned
OP4 Ensure that the AIM is being effectively maintained
