Written Assessemnt Activities

1. Identify and describe ten strategies you can use to manage time, performance and
behaviour in the work environment.
a. Planning the day- Starting the day with determination, planning and knowing the
tasks that need to be focused at the earliest is one of the best ways of managing
one’s time.
b. Prioritising the tasks- When all the tasks are identified, it is very important to
prioritise them in order to eliminate the dependency and complete the long
difficulty task in the beginning.
c. Limiting the multi-tasking – It is difficult to focus and be effective on more than one
task at a time.
d. Stop procrastinating – Sometimes work might be unpleasant. Arranging meetings to
discuss the fulfilment of the work, motivates the person to finish the boring work in
time. These meetings helps to discuss the performance reports too.
e. Managing distractors –By learning to say no sometimes, by having small
conversations over phone, and by finishing the meetings on-time.
f. Describing and interacting the organisation goals to the employees – Any employee
will not be able to perform well if things aren’t clear.
g. Arranging peer and performance reviews – Colleagues and managers feedbacks
helps a lot. Highlighting the positive aspects of their co-worker helps to boost their
confidence and helps them to focus on their scope of improvement.
h. Individual positive reinforcement – Appreciating employees with rewards for
outstanding behaviour will motivate them to continue with the same. Awards and
recognition can be small incentives or bonuses.
i. Maintaining detachment – Detachment is always better than attachment to deal the
negative comments or actions at the work.
j. Eliminating the policies and rules which doesn’t help the growth. For ex- trusting
each other and providing work from home opportunities.

2. If you wish to work as a manager, you will need appropriate skills and
qualifications. Make a list of at least six management development activities you
can participate in that would be helpful and useful.
a. Overcoming the resistance – Managers need to deal with co-workers, subordinates
and clients. It is necessary for managers to make decisions and take important calls.
b. Training to accomplish business needs and team building exercises – It is very
important for any managers to bring team and management together. So it is
important to train staff, management and managers about finance, sales, marketing,
administration and staff-management.

c. To be creative – Workshops to build and expanding creative skills are magnificent
leadership development activity for the entire team and addressing old challenges.
d. Training to attend meeting and conference recreation – This is very important to
undergo training to conduct oneself in a meeting is an important skill.
e. Leadership skills – Managers should be trained to balance their goals, to have a
vision to achieve company objectives and employee’s skills.
f. Communication skills and body language – Using the right body language, right tone
and to communicate clearly and positively.

3. List ten things you could do to achieve a good work-life balance


a. Focusing on your strength – If you are not an expert at doing something, don’t waste
your time on it, but outsource it.
b. Know your highs and lows – If you are morning person, then try finishing all the
daunting tasks in the morning. Don’t leave them till late night and vice versa.
c. Don’t forget to have personal ‘me’ time – When there are personal issues we always
tend to escape it by involving ourselves in work. By doing this we will not get rid of
the issues but it will grow bigger than before. So, it is necessary to have me time to
address and resolve issues.
d. Have definite office working hours - Set work hours so that you will not be working
late till mid-night. Leave work behind, don’t bring work to home.
e. Make use of technology – Instead of flying or driving two hours to attend one hour
meeting. Use skype or facetime to attend the conferences or meeting.
f. Do what you love other than work – This will not only boosts one’s energy but also
refreshes their mind.
g. Being realistic – Self-analysis of day to day activities not only helps one to become
more effective, but it also enhances productivity and quality of their performance.
h. Step out – Continuously working might lead to boredom and loneliness. Taking
breaks in between to have coffee or small bite with co-workers not only improves
the cordial relationship, but also to discuss new ideas and offer each other support.
i. Manage your mind – Anxiety and lack of self-confidence are the biggest issues we
are facing today. Spending time with someone who supports and lifts us up or
meditating or reading the book will help us to relax.
j. Take a break to have that holiday – Taking time out throughout the day, weekends
and quarterly is better than nothing.

4. Why is it necessary for business organisations to have policies and procedures and
why should employees be aware of the organisation’s policies and procedures?
Any business organisation should create and enforce policies. It is more important to make
sure that the employees of the organisations are well aware of it.

a. Few outcomes of implementing the policies and procedures –


I. Consistent processes and structures – Policies and procedures helps the
organisation to run smoothly. Management and team work as they are meant to
be. Policies keeps operations from delegating into complete disarray.

II. Better productivity, quality and efficiencies - When team follows procedures,
they execute their roles and responsibilities properly which helps them to
achieve consistent customer service. This not only enhances the quality of the
organization’s products and services. But also improves the reputation of the
company. Employees can rejoice with pride for fulfilling their work.
III. A better safer workplace – When company’s policies and procedures are
followed correctly, it is unlikely to encounter any accidents. This reduces liability
and risks. Employees can work with no interruptions, feel comfortable and safe
in the workplace, knowing that their management and organisation is looking
out for their best interest.
b. Ways to implement the policies-
I. Making policy manuals readily available- Instead of printing manual paper
binders which land up in drawers, it is efficient to have policies accessible online
anywhere at any point of time.
II. Training courses - policy and procedure trainings should be arranged and it
should be ongoing for all the employees. Organisation should make sure that
every employee is reading the policies as it is the foremost step towards
ensuring the compliance.
III. Test employee comprehension – Training and distribution of policies won’t
confirm that everyone understand it. So it is necessary to create customizable
quizzes for employees to complete after reading a policy or finishing a training
course.
IV. Encourage accountability – Sub-ordinates are more likely to abide by
organisation’s policies if their respective managers are following it.
V. Regularly review and policies and procedures – It is necessary to update the
policies in regular intervals to address a new regulations, standards, any
significant shift in technology and structural changes into account.

5. What are learning style preference?


People have various styles of learning and the factors such as educational background, social
environment and basic cognitive skills of a person influence learning process. The three
categories which are widely accepted are-
a. Visual learning – Learners understand new technology and information through a
training technique involving visual contents for instance images, maps and graphics.
This will help the managers to prepare presentations.
b. Auditory learning – Learners prefer to learn through listening and speaking.
Especially, class lectures and group discussions. This makes managers to listen to the
speakers.
c. Read and Write – Most of the people fall under this category. Learners write the
notes in the classroom and use it later for reading it. This helps the managers to
develop project documents and reporting as it eases the learner to explain the
abstract ideas into words.

6. List five strategies you can use to maximise your time and performance and
provide a brief description of each strategy

a. Having determination- Determination gives managers clarity and direction.
Determination not only enhances our productivity, but it makes one’s life simpler
and easier. When you the destination, it is easier to achieve it. Additionally, it offers
feedback too, when a person is little deviated it pulls back him/ her in the right path.
b. Have to-do tasks lists – It is advisable to have important daily tasks and urgent tasks
listed in two columns. Focus on priority list i.e. important daily activities and unless
the items which are under urgencies is important, continue to finish the important
tasks.
c. Be flexible and predictable- When there is an unexpected urgencies, be flexible to
pick up the unplanned tasks. It is necessary to predict work schedule which helps
one to anticipate, prepare, and attend any kind of emergencies when they arise.
d. Allocating work properly- Figuring out what co-workers are best at and how can they
contribute to the team and allocating work accordingly. Effective leaders should
recognise and help apprentices to cultivate leadership skills.
e. “Chunk” your projects- There is a saying, “Don’t bite off more than you can chew.” It
relates to work too. Don’t be disorganised. Try to divide the entire project into small
manageable tasks. When the load is divided, it takes less time to finish the task in
the targeted time.
