Overview

In compliance with the nationwide directives issued by the Government of India, the following
handbook entails the mandated standard operating procedures for day to day activities at PLS
post its re-opening after the lockdown period. The primary purpose of this handbook is to
ensure the health and safety of PLS employees, and at the same time to facilitate a smooth
restart of plant operations.

This manual is aimed at mitigating the occurrence and spread of the disease while ensuring a
gradual gearing up to speed of business activities. These SOPs listed herein are based on the
following guidelines:

• Protection of all Employees of PLS


• Social Distancing at the workplace during interaction among employees as well as with
outside personnel such as vendors, suppliers, couriers etc.
• Smooth functioning of daily business activities
• Advisories issued by Central / State Governments and the WHO
• Implementation of best practices for safety and prevention
• Audit procedures to ensure implementation of safety practices
• Action plan in the event of employees feeling unwell at the workplace

1. All visitors, drivers etc. must have Aarogya Setu app installed and the same will be verified by our
Security Staff. Temperature check will be compulsory for visitors also (not only drivers).

2. All visitors to the premises must fill out the Visitor Questionnaire (Annexure-V) prior to
entering the premises.

3. Details of any visitor entering the premises must be communicated well in advance along
with the following details –
• Reason for the visit, and why it is unavoidable
• List of previous places visited by the visitor
• Declaration about physical symptoms of the visitor if any
• Mode of transport being used by the visitor while commuting to the premises

4. All transport vehicles should be mandatorily disinfected by the security before they are
allowed to enter the premises. Vehicle drivers have to undergo temperature checks and
report all previous places visited by them.

5. All raw material received at gate or store should be sanitized with alcohol spray or by Sodium
Hypochlorite Solution or any other suitable disinfectant. Mail and other courier deliveries to be
received at the gate itself by security and forwarded to the addressee after proper
sanitization.

6. All visitors should be wearing a mask to cover their nose and mouth (to only be removed
momentarily for identification by security). Persons not wearing a mask will not be allowed to
enter the premises.

Entry to Premises
Commuting & Travel

• All employees are to strictly avoid travel by public transport for the time being.

• Employees should use their own transport for commute.

• All domestic as well as foreign travel is prohibited for the time being.

• Written permission from Director must be taken for any Inland travel in unavoidable
circumstances and the same must be undertaken with due precautions and the prevailing
law and order conditions.

• All employees are to sanitize their hands after using their vehicles.

• All employees are required to maintain social distancing after parking their vehicles and
should directly walk to their designated work areas only.

• In case of commute to/from factory by personal vehicle, it must be ensured that there is no
pillion rider in case of a two-wheeler and in case of a four-wheeler not more than 2 persons
to travel in the same vehicle. Security will refuse entry to any employee or visitor not
complying with this rule.

• Staff Vehicles, motor-cycles etc. shall be mandatorily parked at the factory gate or in a
predefined area during this period.

Aarogya Setu is Government of India’s mobile application to connect us, the people of India,
with health services in our combined fight against COVID-19. This app empowers us by informing
us about potential risk of infection via Bluetooth contact tracing, and equips us with self-
assessment tools and contextual advice.

It is mandatory for all employees to download and install the Aarogya Setu app on their mobile
phones. This app can be downloaded from both Play Store & App Store by scanning the QR
code shown here or from the links given below.

Maintaining Hygiene

General Practices within the Workplace


Use Face Masks

Usage of face masks is compulsory in the premises. Do not re-use


disposable masks and dispose them in a covered bin after use. Reusable
masks need to be washed with disinfectant every day.

Follow respiratory etiquette

Your mouth and nose should be covered with a mask or cloth (not hands)
while coughing or sneezing. This is extremely critical and non-adherence
of the same shall lead to disciplinary action by the management. Avoid
touching any part of your face, especially mouth, nose and eyes.

Maintain Social Distancing

A minimum distance of 6 feet (~2 meters) should be maintained between


two individuals at all times. It is prohibited for two or more individuals to sit
or stand in a group for any purpose whatsoever. Do not shake hands with
anyone, and greet from afar by waving or ‘Namaste’.

Maintain Hand Hygiene

Wash your hands frequently and thoroughly with soap and water for at
least 20 seconds. Sanitize your hands frequently with an alcohol based
sanitizer.

Keep your work area clean

Disinfect your working area in the morning before starting work, during the
lunch interval and in the evening before leaving from work. Do not touch
any object or surface unless absolutely necessary.

Office Area & Meeting Rooms
1. Each department to ensure minimum attendance daily to ensure smooth work flow.
Employees working from home should follow all guidelines formulated by the
management and department heads to ensure the same.

2. Face to face meetings should be replaced with virtual communication and teleworking
should be implemented wherever feasible. We must encourage organizing conference
calls and video calls wherever possible.

3. Hand Sanitizers to be present in all meeting rooms.

4. Meeting rooms need to be sanitized after every meeting.

Shop Floor
1. Hand Sanitizers to be available at all stations.

2. All shop floor staff to sanitize hands at least after every 2 hours.

3. Regular sanitization and disinfecting of machines and tools to be carried out as per
standard procedure. Special emphasis to be given to those parts of the machines and
tools which are regularly touched, such as switches, handles and touch screens.

4. All employees on the shop floors to wear masks at all times. Use of disposable gloves is
encouraged especially in areas where working in close quarters with others is necessary.
Other Common Areas
1. Avoid touching washroom doors and door handles as much as possible.

2. Dry your hands preferably using the hand dryer. If using tissues, please dispose them in
the waste bin after use.

3. Maintain social distancing inside the washroom. Not more than 2 persons must be
present in the washroom at any given time.

4. Adhere to the guidelines put up in the washrooms by the management.

5. Employees to have their meals in batches to avoid overcrowding inside the canteen. The
management will limit the number of persons that may be present inside the canteen at a
given time to observe social distancing of minimum 6 ft. between two persons.

6. Employees should bring their food from home. Ordering food from outside or going
outside to have food will not be allowed under any circumstances.

Protocol when employee has Symptoms

When an employee reports adverse symptoms and is absent:

• If any employee is out of ESIC coverage and is entitled to medical insurance reimbursement
from the company, the said employee must have it without fail.

• The HODs should frequently use the installed public address system (Notice Board) for
educating workers on the measures for preventing possible exposure of COVID -19, and
maintain records of the same.

• All HODs must restrict unnecessary moment of employees or wandering into zones where
they do not need to be perform their jobs.

• All doors are to be left open wherever possible. All access controls to be suspended for the
time being.

• Persons above 65 years of age, persons with comorbidities and parents of children below the
age of 5 may be encouraged to work from home.

• All employees should maintain guidelines of social distancing (6 feet) away from other
individuals at any point of time.

• All employees must strictly adhere to company policy of no use of any gutka, tobacco etc. and
spitting is strictly prohibited.

• Employees are advised to follow the self-care guidelines issued by Ministry of AYUSH for
preventive health measures and boosting immunity with special reference to Respiratory Health.

Annexure I How to Clean & Disinfect

• 70% Alcohol can be used to wipe down surfaces where the use of bleach is not suitable, or any
other disinfectants found to be effective against coronavirus may be used as per
manufacturer’s instructions
• Always use freshly prepared 1% sodium hypochlorite.
• Do not use disinfectants spray on potentially highly contaminated areas (such as toilet bowl or
surrounding surfaces) as it may create splashes which can further spread the virus.
• To prevent cross contamination, discard cleaning material made of cloth (mop and wiping
cloth) in appropriate bags after cleaning and disinfecting. Wear new pair of gloves and fasten
the bag.
• Disinfect all cleaning equipment after use and before using in other area

Area Procedure
Outdoor areas Outdoor areas have less risk then indoor areas due to air currents
and exposure to sunlight. These include platforms, Lawn, roads, etc.
Cleaning and disinfection efforts should be targeted to frequently
touched/contaminated surfaces as already detailed above.

Part 1: Personal Protective Equipment (PPE)

Wear appropriate PPE which would include the following


while carrying out cleaning and disinfection work.

• Wear disposable rubber boots, gloves (heavy duty), and a triple


layer mask
• Gloves should be removed and discarded damaged, and a new
pair worn
• All disposable PPE should be removed and discarded after
cleaning activities are completed
• Hands should be washed with soap and water
immediately after each piece of PPE is removed,
following completion of cleaning. (Refer to Annexure V:
Steps of Hand Hygiene)

Part 2: Correct procedure of wearing triple layer

Use of mask is mandatory inside the factory and office at all


times.

1. Perform hand hygiene.


2. Unfold the pleats; make sure that they are facing down.
3. Place over nose, mouth and chin.
4. Fit flexible nose piece over Nose Bridge.
5. Secure with tie strings (upper string to be tied on top of
head above the ears –lower string at the back of the
neck.)
6. Ensure there are no gaps on either side of the mask, adjust to fit.
7. Do not let the mask hanging from the neck.
8. Change the mask after six hours or as soon as they become wet.
9. Disposable masks are never to be reused and should be
disposed off.
10. While removing the mask great care must be taken not
to touch the potentially infected outer surface of the
