ACKNOWLEDGEMENT
The field attachment was carried out Tomaz Safaris Limited in the accounting department.
This training was basically meant to expose me to various practical applications of the theory
taught in class to boost on the knowledge attained in class with the real work place practices.
During the training the intern undertook various assignments in order to get equipped with
what is required from her in today’s market environment. Among the tasks assigned to the
intern was; the daily posting of petty cash expenses, sales, receipts, purchases among other
transactions into the tally accounting software. In addition to that he was also assigned
sometimes with the task of issuing out stock, petty cash, deposit money on various company
accounts, verification of goods received among other assignments as we shall see in the latter
chapters.
The intern learnt various lessons during the internship period, like how to use the tally system,
how to be organized, how to write and deposit cheques among others. These were further
enhanced by the field supervisor who took me under her wing and guided the intern through
the whole period.
However during this training the intern did surface a number of challenges which included;
limited financial resources to the extent that sometimes he could walk back home from work,
misplacement of a cheque worth 20,000 US Dollars, limited knowledge on the stock items he
could deal in, being over worked yet there was no pay, failure of books of accounts to balance
arising out of incomplete records, and some other problems.

EXECUTIVE SUMMARY
Field attachment program is so important for students to undertake, this is so because during
the exercise the student is able to go through the real work conditions. This has made the
student to carry out many activities which helped me to gain more gain experience and acquire
more skills as a result of doing various activities.
The intern carried out some various activities which included reporting and induction,
receiving calls, recording of the daily expenditures, communicating to suppliers, making
orders, organizing items into the shelves, issuing out items, updating the records, filing
documents and receiving of requisitions
As a result of carrying out many activities, the intern learnt more lessons, gained skills and
experience. Among the lessons learn included, Lessons Learnt , reception, time management,
team work, work ethics, arrangement of files, typing and printing, customer care, punctuality
and dressing code as a result of lessons ,experiences were gained which included, filing
documents, decision making, writing reports and creation of documents, customer interactions,
writing minutes, keeping records, communications , handling customers and skills were
attained which included, listening skills, communication skills, typing skills , customer care
skills, time management skills , leadership skills, handling clients, computer skills and writing
skills
During internship training, the student faced some challenges which included language barrier,
limited support, heavy financial costs, long distance, high expectations, poor time
management, inadequate space and bad weather
The student recommends the university should give students enough facilitation and guidance
before, during and after the internship. Many difficulties experienced by interns are due to
inadequate facilitation in terms of training and follow ups.

CHAPTER ONE
1.0 INTRODUCTION
This chapter contains the backgrounds, mission, vision, mission, company profile of and
organizational background Tomaz Safaris.
To provide an opportunity for students and academic staff to interact with the stakeholders and
potential employers to appreciate field situations that will also generate information for
curricula review and improvement.
To enhance and strengthen linkages between Makerere University Business School and various
stakeholders

1.2 Organizational Background Tomaz Safaris
Tomaz safaris is a local leading Ugandan based tour and travel establishment in 2009 meant
for tourists interested in East African nature and culture. Tomaz safarthe intern is a private
company owned by Mr. Makubuya Tom. The company extends services to first time and
returning visitors through provision of distinguished already existing and untapped tourism
product. It aims at providing truly exceptional travel experiences with focusing on adventure
and nature experiences exploring undiscovered parts of the world. The organization packages

It is specialized in understanding the needs of our clients and we offer tailor made products to

Department Attached
Fleet
Fueling cars, recording entry and departure of the company vehicles, taking vehicles to
washing bay.
Fleet department is responsible for selecting the right vehicles and maintaining them in good
operating condition so that the company can meet its distribution objectives efficiently and
cost-effectively.
Fleet department is responsible making decisions about the types of vehicles to acquire and the
most suitable method of financing the fleet.
Fleet department is responsible for registering and licensing each vehicle, and ensuring that
licenses are always up to date.
Maintenance
Fleet department is responsible for maintaining vehicles in peak operating condition, fleet
managers set up scheduling programs.
Cost Control
Fleet managers can use fleet management software to automate the collection and recording of
data that enables them to monitor vehicle performance and costs. Managers can analyze the
data to identify patterns and take remedial action to reduce costs. Fleet management software
also reduces administrative costs by automating the production of drivers’ time sheets and
records required for regulatory compliance.

The Managing Director also manages the company and is the second person in being the head
of the company and a supervisor to the assistant manager.
The assistant manager is directed by the Managing Director and is the supervisor to the
treasure, Finance Auditor and the Secretary.
The finance auditor is in charge of counting money and balancing the books of the company.
The cash officer is in charge of counting money and is the supervisor to the workers and the
trainees.
Some workers travel which involves the air ticketing and visa arrangements and they do tours
which involve people of tour guiding

CHAPTER TWO
ACTIVITIES UNDERTAKEN
2.0 Introduction
This chapter covers the activities undertaken by the intern while at her course of field
attachment placement at Tomaz Safaris limited.
Receiving Calls
Receiving all the incoming and out coming calls at the front office. The intern was required to
respond to all the calls at the front desk and the required politeness, for example for an
incoming call the intern would answer “good day thanks for calling Tomaz Safaris limited
Sandra speaking how the intern may help you sir / madam. This was done for the guests who
called in for bookings, inquiries mainly about our services offered at the hotel and their costs.
But for the desk phones the intern would say “Good day, reception, Sandra speaking how the
intern may assist you”.

not just wasted but used for better activities in the organization that were more profitable
business and thereby using the money on useful things.
Communicating to suppliers
Making different orders for suppliers also came along with that task of communicating the
orders to them. Amongst the methods used was using phone calls to satellite chemicals that
provide detergents used in laundry unit and the different suppliers for perishables and meat
products. This was after the signing of the local purchase order by the authorized signatories
like the purchaser, accountant and the general manager.
Making orders
This involves identifying the needed items according to the stock levels, following the
requisitions made to the stores department by the user departments. Then a requisition is
drafted this time directed to the purchasing department indicating the items needed, indicating
the current price, and current stock levels. This helps the purchaser draft a scale of preference
when actually purchasing this item. On several accounts, the intern did fill the local purchase
order and call the suppliers to express the nee of the stated items especial those in charge of
perishables including meat supplies, liquid soaps and other items. This however, was reviewed
b y the stores personnel to avoid any mistakes.

to evidence the issuing of those items. This was done daily throughout during the morning
hours and the afternoons of each day as per the timetable given by the department of the stores.
This is monitored easily since each user department has its own stock order book.
Filing documents
Being such a department where a lot of paper work is required and all documents equally
important no matter the size or significance to the procurement process, it was a requirement to
see to it that all the documents are attached to the supporting documents and put in a file where
they ought to be for purposes of payment of the suppliers, accountability and making audits
easy and as well maintain a good record of all items in the store. This meant that all particulars
had to be examined for every document including dates, receipt numbers also on other
documents like Local Purchase orders, invoices, and others.
Receiving of requisitions
The intern was responsible of receiving requisitions from the different departments. These
requisitions show the items required to be purchased by the purchasing officer so different
departments would bring them to the accounts department were their purchase would be
approved or rejected and the intern was in charge of receiving them.

CHAPTER THREE
LESSONS, EXPERIENCES AND SKILLS
3.0 Introduction
This chapter covers the lessons, experiences and skills the intern gained while at the intern
placement at Tomaz Safaris limited
Time management
This was the first lesson the intern learnt during internship, the company had a daily register
which was to record the arrival and departure time for each member in the office and this
register was monitored by the manager. Each member was to arrive before 7:30 am in order to
prepare for the day and attend daily meetings therefore this pushed me to wake up early to be
on time.
Team work
This was among my lessons at placement, while at Tomaz Safaris limited, people at the
Company helped each other in all dimensions and directions since it they had common goals as
an organization for example helped each other in the setting of contracts in the computer
system, attended to each other’s duties in case one was absent, maintained each other portfolios
in case they were on leave.
Work Ethics
The way people behave at work has to be in line with the general professional ethics. The way
people dress, talk and relate to others and so on is included in the work ethics. Professional
ethics also involve not having relationships with your workmates in order to avoid any kind of
chaos at work.

Arrangement of files
The intern also learnt how to arrange, organize and file documents in their respective
categories and hence simplify work for the people responsible for that task of filling
documents. For example at Tomaz Safaris limited, the intern arranged and looked for files for
clients who had applied for contracts and gave these files to the relations officers who were in
charge.
Customer care
This was one of the experiences that the intern enjoyed during the fields attachments. Customer
service is expected service in delivering to a customer while care goes beyond customer
service therefore customers always wanted to be listened too and treated as they expect. the
intern gave out customer care and service to clients and they appreciated.
Punctuality
Punctuality is very important and it influences the people on how seriously they take you.
Being on time at work gets you respect and make you a hard worker. The intern was able to be
punctual throughout my entire industrial training and this pleased my supervisor greatly
because the intern would be able to help him in the mornings where he would be quiet busy.
Dressing code
The intern learnt new dressing code in the working environment that is to say office wear for
example what to wear on the different days of the week for example office dresses or wear
instead of jeans on Monday to Thursday and casuals on Friday and this made them believe the
intern was becoming responsible.

3.2 Experiences
Filing documents
Dealing in a department where a lot of paper work is required, it was a requirement to separate
different documents according to the departments and suppliers to avoid mixing up of the
documents which eventually lead to their loss. The different books used had a specific place
where they were kept separate from the others for example the store order books where put
according to the user departments.
Decision making
Being in the leadership position over the other interns called for execution of the privilege of
making decisions for example determining the work schedule for the fellow interns in the store
also on the occasions where the supervisors were off, the intern took up the roles of making
decisions on their behalf with suppliers and other employees who needed help with facilities
under the stores department.
Customer interactions
Being in an organization dealing in the tourism business, meeting and interacting with
customers is common and requires a lot of inter personal skills. As the services rendered
attribute to customer satisfaction. This was in cases where they needed help for example typing
for them documents, giving expert advice for computer related issues and asking for location of
some facilities. This exposed me to different customers both foreign and local clients.
Writing minutes
This was one of the things the intern was always entrusted with. The intern was given the job
of writing minutes of every weekly meeting we had. With practicing this every day, the intern

was able to gain experience in this area of writing minutes. Now am very conversant with the
way minutes are supposed to be written.
Keeping Records
The intern gained experience in the field of keeping records as the organizations had so many
documents which were filed and kept safely. These records which were kept would be
reviewed when necessary and required by any officer. The intern maintained records and got
experience in it.
Communications
The intern also got experienced in communicating with the customers that is by answering
their queries and also helping them to process their products quickly.
Handling customers
Tomaz Safaris limited helped me to gain experience in handling customers. Before the intern
was working in the department, the intern had no idea on how to deal with customers. The
intern was completely ignorant and when the intern joined found it very difficult because of the
way some customers are. Some are short tempered, others are misunderstanding, some think
they know everything; others are willing to learn and so on. However, when the intern got used
to dealing with them (and with some advice from her supervisor
3.3 Skills
Listening skills
While at the front office the intern acquired listening skill through listening attentively to
guest’s requests, complaints and then suggest possible solutions through keeping eye contact to
the guest noting down what the guest was communicating and repeating after him whenever he
is communicating. (Principles of Management)
Communication skills
The intern gained communication skills through using the different body language like nodding
the head smiling at the guest writing and reading memorandum, sending e mails and reading e
mail.

Typing skills
The intern also was involved in making and typing e-mails to the manager concerning
operational reports, minutes from meetings, making reservations of the rooms/bookings as well
as entering accommodation recovery in computer system daily.
Leadership Skills
Leadership is critical management skill, is the ability to motivate a group of people toward a
common goal, (Principles of Management). Being entrusted with leading the new interns every
week and as well the ones the intern joined with in the stores department, it required that these
entrants were interested in the activities allocated to them. This helped me develop a sense of
humor to make their stay in the stores interesting and motivated. Also we came up with weekly
programs and also made sure that all the interns were given equal opportunity to do the roles
allocated by the supervisor and clarifications and guidance given to them where necessary.
Handling clients
As a policy of the hotel at times all trainees were taken to different departments to help out
when an extra hand is needed, the intern was allocated to the Business Centre which deals with
secretarial services, once in a while in the food and beverage departments to monitor the large
numbers of clients in case of workshops and conferences by collecting coupons for luncheons,
the intern learnt how to handle different people with hospitality and serving them to a desired
service. These Included typing of client’s documents, internet connections and the use of
certain software and serving clients food and other luxuries.

Communication skills
In a Business, communication is a necessary tool irrespective of the medium being used.
Proper communication was taught which we used when making orders, communicating to
other departments as well. These included both oral and written communication skills in
various media like telephone, use of emails on the intranet and as well public speech ( how to
address people) emphasis was put on communicating accurate information or actual events
and being specific .
Computer skills
According to Information Communication Technology (ICT) Computer skills refer to the
ability to use the software and hardware of a computer. These are the ability to know and use
different applications on a computer for example the use of the internet, use of other hard
ware’s like printers , scanner sand photocopier also when best to use and operate them.
Amongst the skills attained includes typing and use of the different Microsoft packages like
word processing, presentations, use of spread sheets and Microsoft outlook. Also the intern
learnt how to manage and enter data into a system.
Writing skills
Working in the business centre of the hotel greatly improved my ability to write. This was
acquired through computing of different documents for the clients ranging from letters to bid
documents, minutes of the different meeting held by the client. This skill was directly related to
the theories taught in Business Communication Skills.

CHAPTER FOUR
CHALLENGES, LIMITATIONS, ENJOYMENTS AND DISAPPOINTMENTS
4.0 Introduction
This chapter covers the Challenges, Limitations, Enjoyments and Disappointment the intern the
faced while at the internship placement at Tomaz Safaris limited.
Limited support
This came as a result of the few sources of income that couldn’t enable the funding of all their
activities in all the societies that needed their services. The organization got support from
different donations that was hardly enough to enable them carry out their activities
Long distance
Long distance walking and weather changes, the intern was required to walk too much during
some activities like dissemination telling people about red cross which was tiresome and
sometimes it would rain and sun. This was handled by dividing each other into groups thus
reducing on the distance to be covered.

High expectations
High expectations from the community as they expect you to give them some basic needs like
food and clothes as well as money the organization would help by donating scholastic
materials like books which the intern helped too in the distribution and also donated clothes.
Inadequate space
Inadequate space, This was a challenge encountered especially while working at the centre
because most space is for the employees not intern s and also us as intern s we were many
from different universities therefore this meant that we had to use the available space in the
offices which was not big enough to accommodate all of us this was handled by sharing space
and the interns were sent to the field in shifts so that the space was available.
Bad weather
This was a challenge in such a way that when the weather was too bad, it would affect my
movement hence affecting my work. For instance, during heavy rains, the roads would become
impassable which would not enable her move to the villages especially when distributing
products such as bread, cakes among others.
Limited computers
The organization had various departments but each had only one computer in their offices this
involved a lot of paper work and limited the intern from data entry as one computer had to

perform various activities. Because of this problem, the daily activities of the organization
were also slowed down.
Load shading
This is probably the biggest problem to the organizations. Power is rationed for only a few
hours a day this has consequently created a gap in the market because demand cannot be fully
met. This limited the intern from doing activities that were allocated to me by my field
supervisor during the entire internship period because sometimes they could not turn on the
generator.
4.2 Enjoyments
The good hospitality of the staff members
They were so co-operative to the intern during her stay and they supported her in everything
she did, a spirit that is rare in some people in some organizations who tend to perceive interns
as people who take away their jobs.
Refreshments
The organization used to give refreshments to the staff and the students as well without any
discrimination especially during the meetings that were held. Besides, the organization used to
provide breakfast though we used to get a bite for ourselves.
Networking
During the internship period the intern interacted with several intern from the various
universities within the country hence making friends the intern believe they will be of greater
use soon while in the job market and this was as a result of socialization.

4.3 Disappointments
Lack of allowances for the intern
The organization never gave out financial allowances to any intern in the field yet a student
equally performed especially during the marketing of the company products in different places.
For instance transport allowances, medical and lunch allowances even when the intern was
performing organizational work. This to some extent de motivated the students who were in
their internship period
Limited exposure
Like in many other organizations, this organization had some information that was regarded
confidential and there used to assign the intern with tasks which became monotonous for the
intern since she did the same work almost daily, this did not give the intern the opportunity to
get the whole information that was required.

CHAPTER FIVE
CONCLUSIONS AND RECOMMENDATIONS
5.0 Introduction
This chapter looks at the conclusion of the field attachment and the recommendations made
either on the organization or the school or to the student.
5.1 Conclusion
All in all, the intern enjoyed the experience and exposure during my internship program with
Tomaz Safaris limited. The internship program helped the intern to grow as a person and
appreciate enabled me get hands on experience real-life situation they are expected to work in
when they graduate, provided an opportunity for interns to apply the principles and techniques
theoretically learnt into real-life problem solving situations, led opportunity for interns and
academic staff to interact with the stakeholders and potential employers to appreciate field
situations that will also generate information for curricula review and improvement, led to the
understanding of work ethics, employment demands, responsibilities and opportunities and
enhanced and strengthened linkages between Makerere University and various stakeholders.
This has been a challenging task although most people say that challenges prepare you for
better opportunities. The intern was able to apply skills acquired from areas of advanced
written and verbal communication skills, time management and working under pressure,
technical data recording and even manual and elementary work.
5.2 Recommendations
5.2.1 To the Tomaz Safaris limited
More emphasis should be put on the training of people on how to come up with these reports
like the monthly reports that were made at the end of every month.
The organization should buy more computers and allow interns to use and produce the reports
within the specified period of time and help them to access intern
The organization should label the offices for ease of identifying the officers attached to those
various departments

There should be some allowances to be given to those workers who work harder than others.
And in doing this it will motivate the workers hence productivity in the organization.
The organization should increase the manpower in revenue collection to enable them cover all
areas of tax collection in time and cover the expenses
Employees who don’t manage time should be given a penalty to face the disciplinary
committee to improve on the performance of workers
Internship period should be given more time so that the intern can exhaustively cover a wider
area. There should be enough time for work supervisor and the University supervisor to
interact and assess the intern’s progress in order to evaluate the intern’s objectives
The intern suggests that the University should release internship forms in advance before the
program commence so that students can get placement since many Universities in the country
carry out similar programs at the same time.
