Question 1

Jane is attending a meeting where she knows that a number of the people attending will
be from culturally diverse backgrounds. Describe two culturally appropriate
communication techniques that Jane can use at the meeting.

When you want to hold a meeting that meets the expectations proposed by the working group, you
must start by developing a good space for interaction between the members of the meeting, for this
you must take into account the cultural differences that exist between these people . In order to
solve this aspect, two communication alternatives are taken into consideration to improve
relationships and have a more productive work space.

1. Develop a dialogue
To obtain a good result in the development of a meeting with culturally diverse people, it is
necessary to start a dialogue where you can understand the points of view of each person present,
where everyone gives their opinion and can reach a Mutual agreement.

2. Work with interpreters
When there are people from different cultures in a work environment, such as a meeting, there may
be communication problems due to the language that each person develops, for this reason it is
necessary to find the easiest way for all participants can understand what is being discussed. One
of the proposals would be to work with interpreters who satisfy this need for communication, with the
understanding of what is being discussed, thus developing a good workspace.

Question 2

Agendas and minutes are two important documents used to organise meetings. Address
the following:

 Outline the purpose of the meeting agenda and list five items that should be included
in an agenda.

Meeting agenda The purpose of an agenda is to establish the most important and
precise information that must be carried out in a meeting, in order to
save time and obtain better results. 5 items that must be included in
an effective agenda are:

Establish the objective of the meeting: this leads to being clear about
the required result and allowing members to be more specific in their
ideas.
Propose a list of topics to discuss: this list should be a subdivision of
the general objective of the meeting, covering the main problems of
the topic to be discussed, in order to resolve it more easily.
Guest list: something very important in the construction of an agenda,
is knowing who are the most suitable people to invite to the meeting,
this condition must be based on the behavior and knowledge of the
person, where you can successfully contribute to the objective of the
meeting.
Debate and discussion of the topic: there should be a time at the end
of the meeting, where you can discuss and establish a conclusion
that satisfies the general objective of the meeting, specifying the most
efficient way and not deviating from the main topic being discussed.
Logistics of the meeting: it is very important to establish the time and
date of the meeting, where the members are prepared and can give
pre-established ideas, and the place and food to be shared at the
meeting must be organized, generating a more efficient work
environment.

meeting and the results agreed during it, as well as being clear and
