ON THE JOB TRAINING HANDBOOK

METHODOLOGY
The On-the-Job Training (OJT) is a hands-on, experiential course whereby the students undergo
Practicum training in a Corporation that will expose them to tasks, work situations and
environments related to the course and develop the necessary competencies and skills needed in the
workplace. This subject is a requirement for the following courses indicating the number of hours
they are required to complete:

Bachelor of Science in Computer Science (BSCS) 240 hours
Bachelor of Science in Information Technology (BSIT) 500 hours
Associate in Computer Technology (ACT) 240 hours

Qualifications
The following students are eligible to undergo the On the Job Training (OJT) program:

1. Regular students – 4th year BSIT and BSCS students and 2nd year for ACT students
2. Irregular students - only those with at least 80 percent of the curriculum units that have been
credited (without any form of deficiencies or technical issues may result to discredit of
units) will be allowed. (See CMO 53, Series of 2006, Article5, Section 11)

Orientation Procedures

3. OJT ORIENTATION SEMINAR will be conducted by the OJT coordinator at least two to
three weeks after the enrollment period.

4. During the OJT ORIENTATION SEMINAR, every student is required to bring his
Certificate of Matriculation (COM). Without the COM, the OJT student may secure any
proof that he/she is officially enrolled in the current subject.

5. OJT ORIENTATION SEMINAR will be conducted TWICE. This means that there will be a
second session for those who will not be able to attend the first session. Topics that will be
discussed during the first session will just be repeated in the second session.

Failure of the students to attend the ORIENTATION SEMINAR will be reprimanded (See
Penalties and Reprimands).

6. During the OJT ORIENTATION SEMINAR, the college will release, post and announce
the names of professors who will act as OJT advisers.

7. Along with the announcement of respective advisers the OJT coordinator will give and
announce the necessary documents that should be prepared. The said documents shall be
given either in hardcopy or in softcopy form.

8. The student will prepare a LONG BROWN ENVELOPE, a plastic envelope cover and
their 2x2 sized picture posted at the top-right corner and their name, course and section
affixed at the top-left corner

This envelope will be submitted to the OJT Adviser, for encoding of grades at the end of the
OJT period.

9. The envelope should contain the following documents with signatures of the respective
signatories:

Endorsement Letter Trainee’s Profile and Locator Sheet
Performance Evaluation Sheet Notarized Internship Agreement (MOA)
Acceptance letter Weekly Accomplishment Report
Daily Time Record 3pcs. 2x2 picture (white background)
2pcs. 1x1 picture (white background) Certification of completion from the company
Photocopy of the COM Photos while working
Photos With Company name and Logo Photos with supervisor(s)

Take note that some of the documents stated above have a standard format, control
number and code for traceability per ISO requirement.

10. Memorandum of Agreement and waiver should be accomplished, secured and notarized by
the student at least two(2) weeks after or even before deployment to work as OJT. In any
case that the Memorandum of Agreement is not signed for some reasons,( i.e., the
companies have their own Memorandum of Agreement for the OJT applicants), the OJT
adviser should be notified as soon as possible.

Failure to sign the memorandum of agreement without the proper communication shall mean
that the number of hours incurred by the OJT student will not be officially counted and
credited. For this reason, the college has the right to pull the student out from the
company/institution/organization through the discretion of the OJT adviser, OJT coordinator
and the Dean of the College.

11. To give the Office of the OJT Coordinator an ample time for proper review and scanning,
endorsement letters should be requested from the OJT coordinator at least two (2) days
before the date of approval and signing. Endorsement letter should be in a standard format
based on the pre-formatted softcopy given to the students.

Endorsement letter should contain the following information:


11.1. Name of Company
11.2 Name of Addressee (should be in complete name including middle
Initial and title if any)
11.3. Department and Designation/Position of the Addressed Person
11.4. Address and contact number of the Company

Procedure for Practicum Application and Company Accreditation


12. Students are encouraged to identify the companies/institutions/organizations where they will
have their OJT. The requirements needed are the following;
12.1 The Letter of Endorsement from the College signed by the OJT Coordinator that will
be used in applying for practicum is available in template form
12.3 If a separate Application form is required by the company, the form should be
accomplished for the purpose.
12.4 Certificate of Grades proving atleast 80% of curriculum units are earned, Acceptance
Letter and the Waivers signed by student and the parents (with photocopy of valid
ID and photocopy of Certificate of Matriculation proving OJT units as currently
credited and enrolled subject) should be brought for approval. These must be
submitted to the OJT adviser before the start of the OJT.

12.5 A photocopy of Certificate of Matriculation should be submitted or presented to the
Company for clarification of schedule of training.

12.6 The OJT Adviser will approve the application from the Company/Institution/
Organization whether it matches to the task required as stated in the
OJT Training Program. (See Training Program Sheet)

13. Selection of companies should meet the criteria set by the college as stated (See Selection of
Company for OJT) and should be approved by the OJT Adviser.

14. A list of class sections with their designated practicum advisers will be posted at the College
bulletin board. OJT students are advised to update themselves for the postings and further
announcements from time to time.

15. During the application, Company may impose the standard operating procedure regarding
pre- employment. In this case, the College will not be held liable for shouldering any of the
expenses that must be covered during the pre-employment requirement set by the Company.

Guidelines for Crediting Number of Hours Incurred

16. Each course has a required number of hours to be completed. Completion of 240 hours
requirement for ACT and BSCS, and 500 hours for BSIT WITH SATISFACTORY
RATING from their immediate on-site supervisor and faculty adviser is a must to pass the
subject.

17. For 240 hours OJT, reporting 8 hours a day, this translates to 30 working days; reporting 4
hours a day, this translates from 60 working days. For 500 hours OJT, reporting 8 hours a
day, this translates to 62.5 working days; reporting 4 hours a day, this translates from 125
working days.

18. Number of units which student will be credited for every semester shall be counted as
follows:

1st Semester June - October 3 Units


2nd Semester October – March 3 Units
Summer March – June 6 Units

Working in a broken schedule and below 4 hours per day will depend on the company’s/
institution’s/organization’s approval and discretion.

19. Students reporting 500 hours will be required to accomplish their total working hours of
rendering their services within two (2) semesters which is equivalent to one year. This will
be distributed as follows
First Semester 250 Hours
Second Semester 250 Hours
---------------------- ------------
1 year 500 Hours

20. The students reporting 500 hours have the right to choose another company/
organization/ institution to work with if they choose to move for the succeeding
semester.

In this case, there is an implication that adviser is different from the current semester and
the succeeding semester.

In case the student chooses to stay in the SAME COMPANY after complying the FIRST
250 hours, he has to submit the necessary documents required upon completion of the FIRST
250 hours including the grade and evaluation of his immediate supervisor BEFORE
CONTINUING THE SUCCEEDING 250 hours.

21. Transferees who are enrolled in the current semester and wish to credit their previous OJT
Units earned from previous school they attended should provide a proof that the training
they attended and tasks delegated to them is aligned to IT INDUSTRY Practices. Else, OJT
units will not be credited.

22. In special cases such as ladderization program from ACT to IT or in any similar situation,
the student is required to fulfill the remaining number of hours left required in the
curriculum.

23. Overtime and working holiday hours including Sundays will be subjected to the company’s
/ organization’s / institution’s written justification of scope of work together with the OJT
coordinator’s and the College Dean’s Approval.

Approved overtime will be credited to the total number of required hours in exchange of
the services rendered by the OJT student.

However, overtime and working holiday hours should only be applicable for some special
cases such as: Summer OJT, Graduating students with number of hours deficiencies and
project basis type of work.

Rendering working hours overtime especially during the regular semestral period is not
allowed.

24. For project basis, students exceeding more than the required number of credited number of
total working hours will be subjected for company’s/organization’s/institution’s
responsibilities, liabilities and obligation.

25. Company/Institution/Organization shall issue the certificate of completion after the student
completed the required number of training hours.

If in case, the student fails to complete the required number of hours for any reason, the
company shall issue a certificate of attendance stating the number of credited hours incurred
by the OJT student

OJT Weekly Journal


26. An OJT weekly journal will be required from the students to account their activities,
concerns and learning.

27. Students should write their journal weekly and should be submitted to their corresponding
Advisers for signing, advising and evaluation – penalty will be imposed for late submission
(See Reprimands and Penalties).

Submission of weekly journal to the adviser must be a weekly basis IN A


COMPUTERIZED PRINTED FORMAT. The said journal shall be submitted in copy
furnished (Photocopy for the OJT Adviser, Original Copy with receiving signature of the
OJT Adviser for the Student).

28. Standard format of the OJT weekly journal will be followed (paragraph form so as to
develop further the students’ communication skills; outline is provided as guide in writing
journal/reflections) such as follows:

OJT Advisers
29. OJT Adviser will check the journal during the company visit and during their weekly
Initialization for inspection. Journal should be complete and updated.

30. OJT advisers must conduct company visits at least two (2) times within the OJT period. Along
with the time of visit, OJT advisers are expected to accomplish the following documents:

30.1. Corporate Communication Form indicating the COLLECTIVE MINUTES OF


THE MEETING from the OJT immediate superior and/or HR personnel
stating the following:
30.1.1. Company’s concerns,
30.1.2. Feedbacks,
30.1.3. Comments and Suggestions
30.1.4. Contact Person and Contact Number
30.1.5. Company business address
30.1.6. Respective department/division in the company
where contact person belongs

30.2. A photocopy of locator slip signed by the person visited which will be
collected and submitted to the OJT coordinator for compilation and
documentation

30.3. Updated Students Locator Sheet indicating the following information:


30.3.1. Complete Name of the students registered in the Masterlist
30.3.2. Company Name where OJT student is working
30.3.3. Company Address where OJT student is working
30.3.4. Student’s Supervisor and Contact Number to whom OJT student is
working

30.4. College/University Brochure

31. Submission of requirements after the practicum period


Long brown envelope placed in a long plastic envelope with above cited forms, Weekly
journal and summary report.

Summary Report - The following items cited below must be answered by the student upon
completion of the 240/250 hours requirement (to be submitted 2 weeks after their last
practicum schedule)
a. Process of finding the practicum placement
b. Working in the organization/company

c. Work schedule
d. Stress management and handling pressures on the workplace
e. Most memorable practicum moment
f. Difficulties encountered and solutions made
(Format for item summary report: times new roman, font size- 12, spacing -1.5, 1 inch
margin on all sides, maximum of 3 pages)

32. OJT Period


32.1. OJT course will be credited on the 1st semester based on the curriculum, OJT
Programs for the 1st Semester starts from June to October of the same semester, and
2nd Semester starts from October to March of the same semester, followed by the
summer period.

32.2. Summer OJT shall be completed during the summer session, April to May, Monday
to Saturday, not more than 8 hours per day for a total of 240 hours for ACT and
BSCS, and 250 hours per semester for BSIT students.

33. Selection of Company for OJT


The OJT Coordinator will be responsible for selecting the Company/Institution where the
students will be trained for their Practicum; however, students can search for their company
for practicum but subject to the approval of the Practicum Coordinator.

33.1 In accordance with the following guidelines, the following categories of


selection of institutions are as follows

33.1.1. IT and Solutions Company (i.e, IBM, Microsoft, VMware, Siemens


Nixdorf, Diebold, Emerson, etc.)

33.1.2. Game Development Company (i.e., Fun Guy Studio, Inc., Game
Developers Association of the Philippines, Komikase Games and
Entertainment, Inc.)

33.1.3. Business Process Outsourcing Companies (i.e., Convergies,


Teleperformance, etc.)

33.1.4. Network and Security Systems Provider (i.e., IT Network Security,


Systems Integrator Phil., CISCO, Loxon Phil., Inc.)

33.1.5. IT Industry Organization and Institution (i.e. Phil. IT Organization,


Information Technology Foundation of the Philippines, National ICT
Confederation of the Phil., etc.)
33.1.6. Multi National Company (i.e. San Miguel Corp., Makati Business
Club., PLDT, Unilever, Proctor and Gamble, etc.)

33.1.7. Government/Quasi-Government Agencies/Self-Regulatory


Organizations and Institutions (i.e., DOST, Philippine National IT
Standards, Securities and Exchange Commission, etc.)

33.1.8. Local Government Units (within NCR)

33.1.9. Research Agencies (i.e., Asia Pacific Center for Research, Phil.
Survey & Research Center, Phil. Institute for Development Studies,
National Research Council of the Phil., etc)

33.1.10. Financial Institutions (etc., Banco De Oro, Bank of the Philippine


Islands, Philippine National Bank, Security Bank, Hong Kong
Shanghai Bank, etc.)

33.1.11. Non-Bank Financial Institutions (etc., Insurance Companies, Abacus
Securities Group, AB Capital Group, etc.)

33.1.12.IT and Business Processing Related Departments (i.e., IT


Department, Research and Development, Network Infrastructure and
Security Department, Systems Support and Engineering Department,
etc.)

33.2. In addition, the selected companies should meet the following criteria:
33.2.1. Should be registered by Securities and Exchange Commission. This
will only be applied for non-government application.
33.2.2. Among the top 3,000 corporations in the Philippines officially
registered with the SEC.
33.2.3. No history or track record of fraud, deception, or illegal business
activities
33.2.4. In good standing with government regulatory agencies.

33.3. Students are not allowed to have their OJT with their family-owned
enterprise or, if with an independent company, not be under the direct
supervision of parents and relatives up to the 3rd degree of consanguinity and
affinity who work for the firm.

33.4 Students are expected to perform an IT related task within the institution in
accordance with the task that the training program is offering. Violation from
this rule shall mean that the number of hours incurred by the student shall be
invalid and considered not credited; and may be encouraged to be pulled out
from the institution he/she is currently rendering services.

Matching of Student with Partner-Institutions

34. The Student should notify the OJT office soonest if they fail to find a Company for OJT.
Accordingly, the OJT coordinator will try to match the students with partner-institutions of
PLMUN for the OJT course, on a best-effort basis, depending on the availability of slots. In
case the number of slots are insufficient to cover the number of students applying for
matching, those with higher general weighted averages will be given priority.

Uniform
35. During the OJT Period, every OJT student is required to follow the uniform policy set by
the Company/Partner Institution.

If in case the OJT student, needs to provide a uniform required by the Company, all
concerns pertaining collection of expenses must be properly coordinated to the College
through the respective OJT Advisers.

36. If there is no Company Policy regarding uniform, the OJT student shall be required to wear
the school uniform including ID. The students can also use or wear the Business Attire if
required by the partner-institution, as the case may be.

Implementing Guidelines on Practicum and Office Decorum


37. Students are expected to conduct themselves in a highly professional manner in accordance
with the values of the University. They are required to follow the specific guidelines
enumerated in the “Student’s Guide for Practicum”, CMO No. 23 Series of 2009; this may
be secured from the OJT Coordinator, upon request.

Course Requirements
38. The Students are required to complete the course hour requirements, equivalent to 240 hours
for BSCS and ACT, and 500 hours for BSIT, obtaining a satisfactory rating from the
supervisor/manager/HR Head and the Faculty Coordinator, and attend the school-prescribed
OJT activities to pass the course.

39. The rating instrument shall be developed by the OJT Coordinator and will be the instrument
used by the supervisor in assessing the performance of the student-trainee for purposes of
course grading.

40. OJT Activities for the OJT students:

40.1. Orientation Seminar - where the final instructions, guidelines and requirements of
the Practicum course are given by the OJT Coordinator and supervising Practicum
Mentors prior to deployment.

40.2. Assessment - where the students provide the Faculty Adviser with feedback related
to their work, duties and responsibilities, and other work-related concerns.

40.3. The Meeting - where the Practicum Mentors and the OJT provide a summation of
the learning. It also provides the students a forum to share insights and experiences
acquired during the OJT activity.

40.4. Student Development Seminar – where the OJT coordinator provides 2 to 3


seminars per semester for the OJT career advancement and development.

40.5. Major Examinations – where students are required to take the 3 major periodical
assessment (Prelim, Midterm, Finals). Please take note that during the examination
day, the schedule indicated in the Certificate of Matriculation may not be followed.

Grades and Computation

41. The Grades of the Students will be computed based on the following:
Supervisor’s Rating – 50%
Journal – 40%
Faculty Adviser’s Rating – 10%
100%

42. OJT students whose evaluation is marked as incomplete will only be given 1 year to comply as
stated in the student handbook (See Student Handbook)

43. OJT students should obtain a SATISFACTORY rating from the supervisor/manager/HR Head
and the Faculty Coordinator, AND ATTEND THE SCHOOL-PRESCRIBED OJT
ACTIVITIES TO PASS THE COURSE.

Information Dissemination:

44. All official announcements, job posting, OJT career enhancement activities and other important
information shall be posted at the College official bulletin board. In this case, students are strongly
advised to update themselves from time to time.

45. OJT Students are required to give their respective contact numbers and official electronic mails
(e-mails) to their OJT adviser for further announcements, communication and coordination.

Penalties and Reprimands


46. Penalties and Reprimands are defined to the following form:
46.1. Participation in community service that will improve the physical environment within
and around the school property.
46.2. Homework detention / supervised schoolwork
46.3. Attendance of relevant life-skills program

47. Any OJT student who refuses to obtain the said penalties or reprimands upon commission
shall be subjected for non-issuance of clearance.

Amendments and Compliance

48. The OJT office may issue additional guidelines not stated in the OJT manual before and during
the OJT period to ensure the efficient implementation of the Program.

49. The regulations stated above can be changed for some amendments upon proper decorum.

50. Strict compliance for these guidelines is expected.
