Mail Merge Activity 1

Problem:
Lenzi Reid, the director of admissions at Athens Technical College, has asked you to send an orientation
announcement letter to all incoming freshmen. You decide to use a form letter. The sample is on the next page.

Instructions:
1. Create a folder called “ATC Mail Merge.” Save all files created in this activity into this folder.

2. Start with a blank file and save it with the name “ATC Orientation Letter”. Save often!!

3. Before typing any text, select the “No Spacing” style from the styles gallery. Create the letterhead of the
document. The school name is formatted in Arial, 18-point, and bold. Insert the image seen or use one similar
to it. Resize the image as seen. Insert the border as seen.

4. Using the mail merge feature of Word (refer to Total Fitness activity if needed), begin the merge process to
create the form letter.

5. Create the data file from the table below. Save the data file with the name “ATC Freshmen.” Be sure to save the
file into the folder created in step 1.

6. Complete the letter on the next page inserting the codes where seen.

7. Put your name in the header of the letter. Proofread the letter for accuracy. Print the letter showing the mail
merge codes as seen in the sample. Close the letter.

8. Start a new file and create mailing labels for sending the letter to the new students. Use the Microsoft-30 per
page label option (height – 1”, width – 2.63”). Save the labels with the name ATC Labels. Be sure to remove
spacing in the labels file. Preview the merge and be sure all labels look good. Proofread the names and address
for accuracy. If there are errors, fix them in the data file. When finished, call the instructor over for a screen
check. Close the labels file, saving changes.

9. Start a new file and create an envelope for sending the letter. Use a Size 10 envelope option. Type the school
name and address in the upper left corner of the envelope. Save the envelope with the name “ATC Envelope”.
Preview the envelope and make sure they look good. When finished, call the instructor over for a screen check.
Close and save changes.

Congratulations on your acceptance to Athens Technical College.

We have scheduled an orientation in Alumni Hall from 6:00pm to 9:00pm on Thursday,


August 9, for incoming freshmen. Advisors, instructors, and other staff members will be
available to familiarize you with the campus and answer your questions.

Topics covered during the orientation will be:


• Adjusting to college life
• Determining the right degree program
• Learning the campus layout

Parking is available in the North Campus Parking Lot. Bring your parking ticket to the
orientation and a staff member will validate it.

Registration for fall semester begins Monday, August 13. Advisors will be available for
consultation from 7:00pm to 7:00pm during registration. Classes will begin Monday,
August 20.

notifying them that the nursery will be moving to a new location. You decide to use a form letter. The sample is on
the back side of this sheet.

Instructions:
1. Create a folder called “Arborwood Mail Merge”. Save all file created in this activity into this folder.

2. Start with a blank file and save it with the name “Arborwood Nursery Form Letter”. Save often!!

3. Before typing any text, select the No Spacing style from the styles gallery. Create the letterhead of the
document. The business name is formatted in Allegro BT font and 22-point size. Insert the image seen or use
one similar to it. Resize the image as seen. Insert the border as seen.

4. Using the mail merge feature of Word, begin the mail merge process to create the form letter.

5. Create the data file from the table below. Save the data file with the name Arborwood Customers. Be sure to
save the file into the folder created in step 1.
