Project Information - Statistics


Reminders
Go to Project Tab and then Project Information
then click on Statistics
Statistics available for the project like
Start and finish dates
Duration
Cost

Resource Leveling –
Over allocation
Resource Leveling – resolves resource conflicts or
over allocation by delaying or splitting task
To fix over allocation go to Resource tab then
Level options then go to leveling options
Then you can choose how do you want to go about
leveling it by what criteria and by what order.
There is an automatic level but people don’t
recommend this because it make cause a big
problem
You can click level all and will automatically level
based on the settings in the leveling dialogue box

Resource Leveling

Can also level by Resource you can click on the


task item that has the Red line then click on Level
Resource icon . Then hit level now.
The system will automatically adjust to split
the job to fix the error and on the Gantt Chart it will
show the adjust to move the items

Formatting
To color text, select the row item and select color
you want. All of those you can do in Microsoft
word are working for Microsoft Project.
Go to Format Tab then click on Text Styles then you
can select items like Milestone and set color for the
item. Then all the milestone will automatically set
the color
Other example like the summary task to change the
color
Spell check can also be ran. Go to Project Tab and
the Spelling icon or F7

Other Formatting Features


SORTING /FILTERING / FIND options

To sort things what ever order you wanted to be.


From View Tab select Sort icon and you can sort
by various options

Same from the View Tab you can see the Filter

From Task Tab you can use the Find icon to find
text.

Different Ways of Viewing


Views can be done in many ways like from Gantt
Chart to view things.
You can customize, save and even create view.
From the View Tab go to Other View and then More
Views and look for the items say Detail Gantt and
click on copy then name it then select items like
table and on the group and then select the Filter
item. Then click OK and then APPLY.
It will show table only with the milestone, a
customized. So you can add what ever values
and customize the ways you want it

Views
Same thing on the View Tab you can click on Calendar
Then select More View then you can copy or Edit.
View also can be done by selecting Tables icon then say
select cost from the Gantt Chart also and you can see
all the cost quickly.
Also from table you can select the work, summary, usage
and others, and you can go to more tables and you
can copy any of the tables or can create your own if
you don’t want to change any.
You can copy and you can do what ever you want. Also
you can insert rows and you can add more other things
and click OK.

Adding Column WBS


On the column tabs right click and select WBS and
will show numbering system and you can change
also the number if you want.
Another way is from the Project Tab click on WBS
icon select define code and you can select option
you want like uppercase or lowercase options

View From the Gantt Chart


Right click on the Chart and can show the Split. Split
is really good because you can click on any of the
task and you can see what is happening in there.
Right Click on the Split screen and you can show
work, cost, schedule and some notes on it and
others you need.
You can go to Task Tab and use the Detail option
icon
On the Gantt Chart again right click then select Grid
lines then select item like for example the current
date. Then set the color and the type of the line
then click OK.

View From the Gantt Chart


On the Gantt Chart again right click then select Bar
Styles then select the bar style should be for
different things. Say for example the summary
then change the color and hit OK.
On the Gantt Chart again right click and select
Nonworking Time change the style/color then Ok
Also on the Gantt Chart right click and show the
timeline and then right click again to remove.
Right click then go to Layout then select the type
you want for the layout.

Format Icon
From Format Tab go to Format Icon two
options are Bar and Bar Styles.
In the Bar you can go to Bar Text select items you
want to be on the left, right, bottom and on the
top of the Bar
Bar styles are also available when you right click on
the Gantt Chart

Create New Calendar


It is regarding with the calendar that all the workers
on this project are using.
From Project Tab, go to Change Working Time and
there is a Standard calendar but you can create
new calendar. Then Name the calendar and you
can make the copy of the standard so that you do
need to redo the whole thing then click OK.
Then that name will show on the top. You can
change the work week and then select the day
and then set the time for the day then click OK

Apply New Calendar to Resource


And you can apply this calendar to any resource
you want.
Go to Resource sheet from the Gantt Chart or from
the View Tab.
Double click on the Resource item and then apply
the new calendar.
You can see a column of the Base Calendar if
none right click on the column and then insert the
Base calendar options.
From the Base calendar you can change the
calendar for each resource if they are working in
the different hours.

How to Create a Custom Field


From the Resource Sheet, create a custom field that
will allow you to calculate. Say you want to figure out
the taxes on your cost and say paying taxes 13% what
ever it will be.
Go to Format Tab then click on custom Field
then go to Type and select say cost. And on the field
you can rename /delete or import field.
Select the item on the cost and then select the formula
then select cost on the field then multiply it by the
percentage
To add on the resource sheet right click and insert and
select the cost1 item. Then that will show the column

Create a Custom Field


Custom Field can be added on all kinds like Text
Then you can do Lookup then add YES and NO
items then click close then click OK
Go to Gantt Chart Screen then right click to insert
column and select TEXT1 and it will all those look
up items,
Custom Field and select Numbers and then select
formula then select the work percentage and click
OK and then Ok to the warning and then go to
Graphical Indicators then work it out then hit OK
and then right click on the column to insert and
then it will show up the colors of the percentages.

Custom Field Ideas


This is just to show how the Custom Field is powerful
can be when you use it. Wherever you need it you
can go in to your resource sheet, you can add
combination with cost and multiply by the profit
lost. Or sale minus the cost to get your profit. So
you can do a lot of things with the custom field.
How to take the Custom Field that you created
and move it to global template so that it will be
available in all of the files every time you used it.
Go to View Tab then other view then more views
then click on organizer then you can see all the
Global MPT

How to move Custom Field to


Global MPT
How to take the Custom Field that you created and
move it to Global Microsoft Template (MPT) so that it
will be available in all of the files every time you used it.
Go to View Tab then other view then more views then
click on organizer then you can see all the Global MPT
items and on the right side is the MPT for the current
project.
You can copy all the items you want to be copied to
the global MPT from all items of the organizer.
Once transferred they will be available in your future
used for the other project and you don’t need to
create over and over.
