Process Flow

OUTGOING DOCUMENTS

Step # Action Points


1 CHIEF LEGAL will assign drafting of the document to AVP LEGAL.

2 AVP LEGAL will draft.

3 CHIEF LEGAL will review, approve, or revise the draft.

4 AVP LEGAL will finalize and print, and give the outgoing document to LEGAL
ASSISTANT. Printing of voluminous documents can be delegated to LEGAL
SECRETARY or LEGAL ASSISTANT.

5 LEGAL ASSISTANT will cause the release of the outgoing document by hand,
registered mail, private courier or electronic mail. If it is a pleading or other court
submission, LEGAL ASSISTANT must make sure that the outgoing document is
accompanied by an Affidavit of Service.

6 LEGAL ASSISTANT will enter in the ‘Outgoing Logbook’ the details of the
released document.

7 LEGAL ASSISTANT will turn over the document to RECORDS PERSONNEL.

8 RECORDS PERSONNEL will scan the document and email to CHIEF LEGAL and
AVP LEGAL. If it is a pleading or court submission, RECORDS PERSONNEL will
upload the document to the cloud storage.

9 RECORDS PERSONNEL will turnover the document to LEGAL SECRETARY.

10 LEGAL SECRETARY will confirm if Steps 6 and 8 are completed. If completed,
LEGAL SECRETARY will give the document to the HANDLING LAWYER and
file the document in the file folder.

INCOMING DOCUMENTS

Step # Action Points


1 LEGAL ASSISTANT will receive the document. In his absence, the task will be
handled by the LEGAL SECRETARY or the RECORDS PERSONNEL.

2 LEGAL ASSISTANT (or LEGAL SECRETARY or RECORDS PERSONNEL)
will record the document in the ‘Incoming Logbook’.

3 LEGAL ASSISTANT will turn over the document to RECORDS PERSONNEL.

4 RECORDS PERSONNEL will scan the document and send the scanned copy to
CHIEF LEGAL and AVP LEGAL. RECORDS PERSONNEL will also upload the
document to the cloud storage.

5 RECORDS PERSONNEL will turn over the document to LEGAL SECRETARY.

6 LEGAL SECRETARY will attach the routing slip and write therein the date and
initials of CHIEF LEGAL and AVP LEGAL handling the case or the legal matter.

7 CHIEF LEGAL will study the document. CHIEF LEGAL will make
recommendations or give instructions to any of the members of the LEGAL TEAM
accordingly to be written in the routing slip.

8 The document will be routed. Once all tasks assigned by CHIEF LEGAL are
completed, AVP LEGAL or LEGAL SECRETARY will file the document in the
appropriate folder.
