SOP for Hostel Stay during Covid-19 (February, 2021)

These guidelines are in addition to the latest and prevalent guidelines issued by the
Ministry of Education, Government of India, the guidelines issued by Government of
Gujarat and UGC.

Student Eligibility

The students will be allowed back in the University hostels in a phased manner.
Following are the criteria/conditions of reopening:

1. Students who are allowed in the hostel are mandatorily required to submit an
undertaking signed by self and by his/her parents (Appendix 1 and 2). Student will
be required to upload the duly signed scanned copy of the undertakings before
starting the travel and submit the hard copy on the arrival. Student will not be
allowed to enter the hostel without these undertakings.
2. Students who are allowed in the hostel are mandatorily required to submit at the
time of arrival an RT-PCR negative report not older than two days.
3. If the student or his/her family member(s) has been infected by or have symptoms
of COVID-19 in the last 14 days will not be allowed.
4. Students having comorbid conditions will not be allowed.
5. Students from the cities/states severely affected by spread of Covid-19 as well as
from containment zones will not be allowed.
6. Students should plan their travel only after getting due approval from the institute.
7. Students who are allowed on the campus are strongly advised to take medical
insurance with COVID-19 cover.

Protocol at the time of Arrival

1. Students residing in the hostel are mandatorily required to observe all the
applicable norms of quarantine/isolation and self-monitor their health from the date
of arrival to the campus.
2. Students will be allotted the hostel rooms by the University.
3. Students are expected to install the Aarogya Setu app before coming to the campus
and the same has to be kept active all the time.

4. Student must carry the Institute ID card (wherever applicable) and is also strongly
advised to carry Aadhar card (In case required for hospitalization).

Protocol for on Campus and Hostel Stay

1. Students residing in the hostel should not move out of campus unless there is a
medical emergency.  
2. Students need to plan and carry the essential items. Students need to bring their
own personal Hygienic essentials, like masks, hand sanitizers, soaps, clothing etc.
and general medicines in sufficient quantity. Please carry your internet cable.
3. For the students residing in the hostel, the existing rules will be applicable to
hostel, mess and laundry facilities. The applicable charges are attached in a
separate file.
4. Students residing in the hostel will be attending all the sessions virtually (online)
and carrying out all the other academic engagements from their respective rooms
for initial quarantine period. Schedule for the offline classes will be communicated
separately. However, students residing in the hostel may be asked to appear in the
CEE/TEE/SEE from the academic block.
5. Students residing in the hostel are strongly advised to restrict themselves to their
respective rooms and hostels only except during the mess timings.
6. Students are strongly advised to restrict their visits to library, classrooms, lab,
auditorium, sports complex or any other common spaces. Moreover, during these
visits student must cover their face with mask and maintain the social distancing.
7. No celebrations like birthday parties or events like sports fest, cultural programs,
any kind of gathering or crowding is allowed.
8. As per the current guidelines from government, the hostel rooms can be shared by
two students.
9. In case, if a student is suspected or is tested positive for COVID-19, then
he/she is not allowed to stay in the hostel. In such cases, he/she will have to
shift to a COVID-19 designated care center/hospital for minimum 14 days at
his/her own cost. He/she can rejoin the hostel after producing the negative
test report of Covid-19. In such cases, he/she needs to follow the advice of
the campus doctor.

10. Students must wear a mask properly covering nose and mouth, follow hand
hygiene, and social distancing all the time outside of his/ her room. It is also
advised that even in the mess students take off their masks only after reaching to
the dining table. Student must wear the Institute ID card (wherever applicable) all
the time outside of his/ her room.
11. Cabs, food delivery services or any type of online delivery from outside are strictly
prohibited on the campus.

The University’s decision pertaining to permission of stay at hostel will be final


and binding. If students violate the prescribed norms and SOP guidelines then
s/he will be asked to vacate the hostel immediately.

The SOP guidelines are subject to change based on the requirement as well as in
line with the latest guidelines issued by the Government of India and Government
of Gujarat.

Undertaking by Student

of Institute of Management, Nirma University have gone through the hostel/campus
protocol laid by the institute/University. I hereby assure you that I am returning to the
campus on my own will and I will ensure that I will strictly follow the COVID-19
norms/guidelines issued by the University as well as the State, the Central Government
and the UGC.

I hereby affirm that the institute/ University will not be responsible, if I get infected
with COVID-19 during my travel or my stay in the campus. I hereby affirm that I do not
have any co-morbid health conditions, as specified by Ministry of Health and Family
welfare, Government of India for COVID-19. I hereby certify that none of my family
member or close contact is tested positive in last 14 days from the time of arrival at the
campus.

I agree that in case if I tested positive for Covid-19, I will immediately leave the hostel
and will get admitted to a COVID-19 designated care center/hospital for minimum 14
days at my own cost.
In case, if I am found violating the prescribed guidelines, I may be asked to leave the
campus immediately at my own cost.

I also hereby affirm that I have read and understood the current COVID-19 situation at
Ahmedabad/Gujarat.

Undertaking by Parents/Guardian

and confirm that I am willingly allowing him/her to travel to the campus of Institute of
Management, Nirma University, Ahmedabad and understand the risks involved in this
regard.

I hereby declare that the institute/ University will not be responsible, if he/she gets
infected with COVID-19 during his/her travel or stay on the campus. I hereby declare
that he/she does not have any co-morbid health conditions, as specified by Ministry of
Health and Family welfare, Government of India for COVID-19. I also declare that none
of my family member or close contact is tested positive in last 14 days from the time of
his/her arrival at the campus.

I agree that in case if he/she tested positive for Covid-19, he/she will immediately leave
the hostel and will get admitted to a COVID-19 designated care center/hospital for
minimum 14 days at his/her own cost.
