Definition of Communication
❖Communication is exchange of ideas/information
between/among people.
❖Communication is the search for all available means of
persuation. “Aristotle”
❖“Two way process”, “Dynamic process”
❖Successful communication means achieving of desired
result.
Objectives/purposes of
communication
❖To inform… “ must have some information”
❖To explain… “remove doubt”, “create interest”
❖To persuade… “ to convince”, “create possitve feeling
for sender”.
❖To inquire
❖To order
❖To request
❖To adjust… “claim or complaint”
❖To promote goodwill
❖To build human relation
Process of communication
Steps of the process:
❖Sender/source
❖Encoding…word, facial expression, gestures
❖Message… letter, speech, gestures
❖Channel/medium… cell phone, letter, report
❖Receiver
❖Decoding
❖Feedback… evaluate the success of communication.
Kinds of communication
❖ Oral communication: “spoken words” e.g formal
meeting, zoom meeting, interview, discussion etc.
❖ Written communication: “written/printed words” e.g
letter, report, notice etc.
❖ Non verbal communication: “without words”
e.g “ appearance, posture, facial expressions,
gestures, movement, smell, touch, silence, time,
space etc.”
Principles of communication
❖Clarity…use short, easy and familiar words.
❖Conciseness…fewest possible words
❖Completeness… check five W’s
❖Consideration… focus on “you” instead of “I” and “we”.
❖Correctness…. Right level of language, words, figures .
❖Courtesy … where courtesy reigns everyone gains.
❖Concreteness…don’t tell them, show them
Normally called seven C.’s of communication.
Barriers in communication
❖Lack of planning… cost, channel, time.
❖Language problem…terms in language
❖Information overload…
❖Inefficient communication. producing worthless msgs
❖Complex message.. Individual as well as organization.
❖Incorrect choice of medium
❖Poor listening ….on receiver’s part
❖Differing status/background.. Lower/ higher, age,
education, religion, political belief ect.
❖Physical destruction..bad connection, poor sound etc.
