Case in Point: XYZ MARKETING COOPERATIVE

(Knowing the Organizational Structure of XYZ Cooperative


and the Human Resource Department Experience)

XYZ Marketing Cooperative has been registered to the Cooperative Development


Authority in 2008. Prior its registration, the general assembly elected Board of Directors and
Committees who shall serve as officers of the cooperative. The Board of Directors also
appointed a General Manager, a Secretary and a Treasurer for this purpose. The Vice-
Chairman of the cooperative automatically seats as the Chairman of the Education & Training
Committee.

From the experience learned by the cooperative for several years now, XYZ opted to
draft the organization’s Vision, Mission, Goals and Objectives to give direction to all
departments/units/heads and the general membership as well. Realizing the need to follow
the Cooperative Code, XYZ Marketing Cooperative insisted to prepare and draft the
cooperative’s organizational structure. The Board of Directors consulted Ron - the coop’s
general manager. And in one afternoon, all have decided to come up with the cooperative’s
organizational chart.

XYZ Business Operations:

XYZ Marketing has 650 employees catering to all business functions of the
cooperative. Six (6) employees of XYZ were promoted to serve as operational leaders for the
different departments/units. These operations’ leaders shall serve as Executive Officers per
unit/department of XYZ focusing on Human Resource, Production, Marketing,
Logistics/Physical Facilities, Sales, and Office Administration.

All Executive Officers per unit/department have assigned “Supervisors” to oversee


sub units & departments. Likewise, Supervisors were granted several staff to help facilitate
the flow of the XYZ business operations.

Being marketing cooperative with different & varied product lines, the Production Unit’s
areas for considerations were Procurement of Raw Materials, and the actual Manufacturing
of XYZ products. Under the Marketing Department, sub units for Promotional Activities and
Distribution were designed. The Physical Facilities or Logistics Department encompasses
activities such as Warehousing, Transportation, Quality Control, Physical Handling, and
Inventory. Sales Department focuses purely on Cash Sales and Account Sales. The
Personnel Department or Human Resource Department has several sub units as
Hiring/Staffing Unit, Wages & Incentive Program, Promotions, Personnel Training &
Development Unit, and lastly the Credit Services Unit. The Office Administration Department
handles all general business transactions of XYZ cooperative from operations to accounting.
The Administration Department consists of people such as a Cashier with 2 tellers.
Accounting consists of an Accountant, Bookkeeper, and 2 Posting Clerk.
