a) Microsoft One Drive: One Drive is Microsoft’s cloud storage service. It can back
up personal and work files online. It’s built-in Windows 10. It can sync files on

the OneDrive app for Android or iOS installed on either). It can even sync your
cloud files to your Mac (via the OneDrive desktop app).
b) Microsoft Outlook: Outlook is primarily an email client. It is a personal

4. Brief description of the top 5 features of the application:

a) Microsoft One Drive:


1) Files: This is the main area of One Drive that people use the most. One Drive pretty
much has the same document management capabilities versioning, co-authoring as
a share point document library. One can use it privately.
2) Shared: If one wants to see what has been shared by him and with him, this is the
area where that person can easily see. It is time-consuming as that person doesn’t
need to go to email to find that link.
3) Shared Libraries: To see all the Documents Libraries from all the Share Point
sites one person has access is called Shared Libraries. Via Intranet one can navigate
to those libraries by navigating to Share Point sites. By using the Shared Libraries
tab one can access just the files and no other web parts/lists if they need.

4) Search Box: It is a keyword Search Box that searches both One Drive and all other
document libraries from all Share Point sites one has access to.
5) Recycle Bin: When a person deletes files from One Drive- that is where they end
up. One can quickly restore the files from here. But it will give only 93 days to
recover the files from the Recycle bin.

b) Microsoft Outlook:
1) Mail: In Office 365 Outlook mail is the webmail component. One can pin, sweep,
and archive messages at the time of reading and viewing email. This feature also
called Actionable Messages.
2) Contacts: Here one can organize contacts into folders and duplicate contacts can
be linked from multiple sources such as LinkedIn or Twitter.
3) Calendar: One of the best features of Outlook is a calendar. One can easily share
calendars with others. Using HTML and rich-text editing one can add details. One
can choose the view they prefer from multiple available views such as day, week,
month, and today. For business, calendars choose the work week view, which
includes Mondays through Friday in the calendars view.

4) Scheduling emails: If anyone is writing an email or have news, a blog, an article


which they want to send them some other time they can schedule the time of
sending the email.
5) Navigation option: It appears on the left side of the Outlook window. It helps to
switch between the different areas of Outlook, such as Mail, Calendar, Contacts,
Task, and Notes. Selecting a folder in the Navigation Pane, that folder becomes the
active folder and can work with the items within it.

Both One Drive and Google Drive provide the same cloud services related to storage
and file sharing. One drive for a Business storage plan offers 1TB of cloud storage.
Google Drive’s G-Suite edition offers 30 GB, 1TB.
In the pricing model, Google Drive for Business is the monthly payment and free. On
the other hand, One Drive for Business is an annual subscription and monthly
subscription.
Google Drive integrates with hundreds of popular business apps and systems including
Google Apps, Dropbox, Instagram, Foursquare, Log Rain in Your City, Facebook,
YouTube, Twitter, etc. One Drive for Business integrates with Microsoft Office,
SharePoint, NeatConnect, DocuSign, FTTT, Vimeo business applications and systems.
For Google Drive, available devices are Windows, Linux, Android, iPhone/iPad, Mac,
Web-based, Windows Mobile. Available devices for One Drive for Business are
Windows, Android, iPhone/ iPad, Mac, Web-based.
Both Google Drive and One Drive work similarly in terms of file sharing. You can
right-click the selected file, click share, a window pops up where you can enter the
email addresses of the people you want to share the file with or you can click on the
‘get shareable link’ option which creates a shared link that can be accessed by anyone
with permission.

Google Drive offers an online suite of browser-based apps collaboration and
productivity such as Google Docs, Google Sheets, and Google Slides. It also has an
‘offline’ feature which enables them to be edited even without internet connectivity.
On the other hand, Microsoft office is more familiar with most of the users. People
prefer it over other suits due to their familiarity with its usage and application.
Microsoft One Drive can be worth one’s money because even with the free versions of
the cloud storage product. If one has access to Microsoft Office Online, leaving out a
few changes, is like the desktop version of the product.

Data security is a crucial issue in the cloud. If there is no methodical way to deal with
security, a data breach is just around the corner. Google has suffered security breaches
not once, but multiple times: once in 2014 when a Russian Hacker Compromised 4.93
million Google accounts and again in 2016 when approximately 24 million Gmail
accounts were hacked. Microsoft is known for taking data security very seriously.
Given that Microsoft has not been associated with any such events. One Drive may be
considered as a relatively safer choice.
Google Drive protects in-Transit or In-motion files with AES 128-bit encryption while
files at rest are protected by the AES 256-bit encryption cipher. One Drive offers AES
256-bit encryption protection for in-transit files, but files at rest are offered no
encryption unless One Drive for Business subscription is owned.
Both Microsoft One Drive and Google Drive have their merits and demerits. If One
Drive offers the familiarity and ease of use of Microsoft Office, Google Drive allows a
vast number of choices regarding app integrations.

b) Microsoft Outlook and Gmail:
Most of the peoples and companies use Outlook or Gmail to manage their work and
other activities. Both user interfaces are different from one another. In Outlook there is
the standard three-panel setup: Folder, Inbox, and selected message arranged from left
to right underneath a three tabbed toolbar. Users can adjust the size of each panel and
open their selected message in a separate window. In Gmail, folders are on left, the
inbox at the center, and search bar at the top. Gmail users can customize the look of
their inbox by choosing some predesigned themes, including autumn leaves.

In Outlook when one selects the calendar icon it takes to a separate tab where one can
see upcoming events by day, work week, week, or month. These events can also be
categorized by assigning different colors to them, allowing for a greater degree of
organization. In shared calendar feature businesses can use to create collaborative
calendars. In Gmail to open calendar one must open it from Google Apps icon, this also
opens a new tab where one can see upcoming events by day, week, month, year, and
schedule. Here one can also categorize events by highlighting them like Outlook. Both
Outlook and Gmail’s calendaring features are the same.
Outlook and Gmail search functionality is built in. one can easily search in Outlook by
simply typing a keyword into the search bar. In Outlook, a person can segment search
results by sender, recipient, subject, data received, or category. Gmail's search
functionality is built with the same technology as Google’s search engine. Like Outlook
search results can be segmented by the sender, receipt, subject and data received. One
can also create custom shortcuts for faster search functionality.

Between Outlook and Gmail which security is best, to decide on it is tough. Both have
two-step authentication. Like when one tries to log into Gmail or Outlook a security
code is needed to verify that person’s identity. But in Google has gained notoriety for
privacy violations. So many people prefer Outlook for its data privacy policy.
Both Outlook and Gmail initially give 15GB free storage. If an organization pays it can
have access to more storage. Office 365 Business Essentials give, Office 365 Business
Premium and Microsoft 365 Business have access to the highest additional 1 TB of file
storage. On the other hand, G Suite Busines and G Suite Enterprise users also have
access to unlimited could storage through Drive.
