Primary Responsibility of PIT Members

• A PIT member's primary responsibility is to represent his


or her department in the team

Major Responsibilities of PIT Members
• The job description should include the following responsibilities:
• Participate in all PIT activities (e.g., train in BPI techniques, attend
meetings and walk-through activities)
• Conduct BPI activities in his or her department as required by the
PIT e.g.,
• Obtain "local" documentation
• Develop a flowchart of the department's participation in the
process
• Verify application of the process
• Measure efficiency and help implement departmental changes)

• Obtain appropriate resources (e.g., time) for the activities to be


performed within his or her department
• Implement changes in the process as they apply to his or her
department e.g.,
• Supervise production of new documentation
• Organize training
• Manage sub-process teams as appropriate

• Support change, e.g.,


• Inform
• Encourage
• Provide feedback
• Listen to complaints
• Train and involve other department members as appropriate
• Solve process-related problems
• Provide his or her department with a better understanding of how
it fits in the total process

Major Responsibilities of PIT Members (Other Concerns)

• PIT members should expect to devote roughly 4 hours per


week
• Depending on the approach selected, the time required could
be as high as 50 % during the first 2 months
• For example, the EIT might decide that a critical process (e.g.,
billing, accounts payable, or shipping) requires immediate
attention
• This could mean a full-time assignment of about 4 weeks for
team members

• The full-time approach is frequently used to:


• Prepare a business process for computerization
• Make a significant immediate improvement
• When a company begins the improvement process, middle and top
managers often express a concern about time
• Most process owners will want to know the time requirement in
advance

Major Responsibilities of PIT Members (Other Concerns)

• Process owner should expect to devote a significant amount


of his or her work time to BPI (i.e., 20 hours or more a
week) during the first month of the job
• After this initial period, a few hours per week to prepare for,
attend, and follow up on meetings will be necessary

• This time commitment could last for a few months, depending on the
pace of improvement
• After reaching the process qualification goal, the process owner
should devote regular, but shorter, periods of time to process
monitoring, e.g.,
• Tracking the effectiveness and efficiency measures
• Comparing the process to world-class standards

General Management Responsibilities

• Management support to BPI at all levels is critical to the


success of the process
• It will require the active involvement of:
• All the management team involved in the selected
processes
• Managers who provide input into these processes and
receive output from them

• Providing the resources required, including staffing
and capital/funds
• Developing common objectives that support the
proposed changes
• Searching out improvement opportunities

• Setting up department improvement teams to support
the processes being evaluated
• Providing the necessary training and education to
support the new processes

• Foreseeing/Predicting the impact of process changes
on their organization and preparing for them
• Establishing systems and reviews to ensure that the
progress does not degrade
• Rewarding teams and individuals who make
significant contributions to BPI

• Showing interest in BPI by regular reviews of status
and results
• Finding equivalent or better jobs for people whose
jobs have been eliminated as a result of BPI

• Management have to expect the full cooperation of the


members of the PIT or their management
• Effectiveness may improve, but you will not develop the
most efficient process

• The company paid the employees' salaries and tuition


while they were in school/training
• As a result, the company has more improvement ideas
than it can handle
• All employees are looking for ways to complete their jobs
so that they can go back to training
