Six Key Attributes of Project Quality Processes for Project Managers

There are many key attributes that every project manager should appreciate about the

project quality process. Project managers and project team members should remember that one

of the most important aspects of a project is quality. Therefore, it is important for project

managers to establish a target for quality and enforce its importance which is crucial because

meeting quality targets means satisfying each of the customer’s requirements and in return

meeting the customer’s needs. Each quality target should be defined in the scope statement.

Having a clear understanding of the scope and effective management it can certify that quality

measures and acceptance criteria are being met.

Project Quality Management consists of many moving parts, it is crucial for project

managers to understand that they control quality input before the production process begins.

Project Managers typically do not deal with the finished product, but the help create the

procedures for how the final product is created. Project Managers establish plans, tools, and

techniques that will be used to supervise and prevent issues that might arise during the

production process. Quality planning is the process that a project manager uses to align the

project activities with the customer's requirements. This is a necessary method for ensuring that

quality is planned into the project and not an afterthought. Quality planning instills conformance

and prevention in the project plan instead of relying on inspection and correction, which will

impact the project cost.

During the quality planning process project managers should be extremely organized not

only for the success of the project, but to ensure that the project moves swiftly in a systematized

manner with clear objectives.  Many projects require the participation of high and middle-level

managers, by using a detailed responsibility assignment matrix in the project plan managers can

ensure that there are no misunderstandings when issues, questions or change requests arise. The

project manager should also understand that customers are the lifeblood of a project and

customers outline the project requirements that ultimately form how quality will be

accomplished in the project. It is important that project managers comprehend how to prioritize

the customer's needs to ensure they are planning accordingly with the resources they have

available to ensure the quality requirements are met.

Project managers should understand that quality analysis is an important methodology

which can be used to evaluate organizational specific areas. There are many tools to choose from

that can be used, such as graphs, brainstorming, and diagrams. Each of these tools requires a

team to analyze a specific category of information which can provide the bases to quality

improvement. Quality improvement is a valuable tool that utilizes analysis and the measure of

data to improve processes in the development of products or services.

Quality improvement also factors into the cost element of the triple constraint theory.

One of the significant benefits of improving quality can be a reduction in the cost associated with

the product or service. Quality improvement is associated with more efficient use of time, less

waste, and fewer defects (Rose, 2014). Understanding that there is always room for improvement

is something that managers should instill upon their subordinates. Although there are many

aspects to a project that can be improved, focusing on quality measures ensures that the manager

is aware of the measures that need to be taken to ensure that the quality requirements are met.

Outline

Introduction: 
 As consultants to Evergreen, our team will briefly state our business purpose for the
presentation as well as the goals and the take aways that are expected from our shared
experiences in Project Quality Management.
Overview: 
 Our group will be creating a PowToon presentation that will present animations for the
audience to follow along with. Our team has divided the groups' work up into different
segments, so you will be hearing from each of us as we present our material to the
audience. The purpose of this presentation is to explain the importance of project quality
management to future project managers. Including:
o Learning Outcomes
o What is Project Quality management?
o What is Quality Planning?
o What is Quality Assurance?
o What is Quality Control?

Key Elements of QM:


 Target: As managers, we will establish a target for quality. Instill the importance set upon
managers to show that the quality policy is focused toward customers. Meeting the
customer’s needs means satisfying each of the customer’s requirements.
 Scope: Scope is explicitly based on customer requirements. Project managers need to pay
special attention to these requirements to aid in project and quality planning. Quality is
also a key element of project scope because it is mutually dependent on the customer's
requirements. 
 Procedures: Our team will ensure there is an understanding that they control quality input
before the production process begins. Remind the group that managers typically do not
deal with the finished product, but they do control the procedure for how the product is
created. 
 Organization: Our presentation will reflect the importance of organization within quality
management. Making sure we drive in key points that the project moves swiftly in a
systematized manner with clear objectives.
 Customers: The project manager depends on customers to layout the project requirements
that ultimately form the quality plan's foundation. As managers, we need to understand
how to prioritize the customer's needs to ensure they are planning accordingly with the
resources they have available.
 Quality Analysis: Analysis is an important methodology that our group will present to
these future project managers and program managers as they can use this tool to evaluate
their organization's specific parts.

 Quality Improvement: Our team will make an impact by understanding there is always
room for improvement. Ensuring they reflect on the realization that no project is the
same, but each project presents an opportunity for improvement
TQ Tools: 
 Force Field Analysis: Force field analysis is a powerful tool for identifying the forces that
either help or inhibit change within an organization. The graph is constructed around a
single challenge, identified by the project team, and given numerical value based on team
consensus. Once all of the identified forces are placed in the graph with their values the
team will need to look for areas where balances are present. When a perfect balance
exists in a specific area it prevents change from occurring. Teams will work together to
come up with action plans that break the equilibrium forcing the desired change to occur. 
 Brainstorming: Brainstorming is the equivalent of having a focused group discussion,
structured or unstructured, to deal with a specific issue. The goal is to accumulate as
many possible ideas to address the issue in the time allotted for the brainstorming session.
Structured sessions are similar to unstructured in terms of setting a meeting place,
identifying the specific issue to be addressed, presenting ideas, voting, and finalizing the
top prospects. The major difference occurs during the idea generation phase, in the
structured approach individuals are each given their chance to propose their idea to the
team in a round-robin format. The benefit to this approach is that each person is afforded
the opportunity to give their idea without others interjecting. In the unstructured approach
it mis a bit more of a free-for-all, where one individual could monopolize the time given
for proposing ideas. 
Conclusion/Wrap-up: 
 As most presentations and seminars end, it is important to take questions to further help
the understanding of what our team's message conveys. We will create a conclusion slide
that helps wrap up the topics covered, and overviews references for the audience to take
home for further research.
