CHAPTER 4

ORDERS AND FULFILMENT

In this section, we will discuss the methods of preparing for delivery after placing an order
and payment.

The order fulfillment process will be different depending on the type of shipment the
customer selected at the time of payment.

A. Placing Ordered
Many PO (pre-order) is a document that contains a request for stock of goods and sent from
the buyer to the supplier. The type of goods, quantity, price, and PO number in general are
listed on the PO document. The more specific the order, the more details are included and it
will make the purchase order activity more effective

When a seller, supplier, vendor and others accept a PO, a legally binding contract is drawn up
between the two parties. In addition, the buyer must communicate the purchase request to the
seller explicitly and clearly so that no mistakes occur when the goods arrive at the buyer.

The function of placing an order is:


Even though it looks quite complicated to order goods from a supplier using a purchase order,
a purchase order with a PO will provide a sense of security from additional fraud and secure
the availability of materials at the desired price.
Some things that need to be considered when placing an order:
 As a customer, state the company's identity clearly on the purchase order.
 Include any details that you will order, such as brand, name of goods, quantity, and
other information.
 Clearly state the manufacturer or supplier you have chosen.
 State the media as an advertisement for the products being offered (if necessary).
 State the form and quantity of the order in detail. If necessary, make a list in the table
to make it easier to search and serve.
 State the delivery method, delivery time, payment method, and also the shipping
method you want.
 Include the PO (purchase order) number. This number is very important for tracing if
there are errors or problems.

A. Declining Orders

Running a business is not something easy, it takes hard work, passion, and never gives up in
order to achieve what you aspire to. But there are times when we have to meet a phase or
stage when our business sales decline. This situation will always be encountered by a
businessman. Therefore, the most important thing is that we have a strategy to get out of this
situation.
One of them is to think of strategies to overcome the decline in sales. Before talking about
strategy here will discuss the reasons for decreased sales and what the right solution to
overcome it is.

To find out the cause of decreased sales in our business, we must first look at the sales
turnover. If turnover decreases, it means that something is wrong with the business that is
being run. Basically, everyone who opens a business wants his business to grow and be
profitable.

What caused the drop in orders?


1. Product quality
Usually, sales decline is caused by decreasing product quality factors or even
problematic product quality. in addition, it could be that the products being sold are
outdated, therefore it is necessary to give new innovations to the products being sold.
2. Marketing strategy
Apart from product quality, marketing strategy also affects the number of products
sold. Maybe the way we promote products that are sold is monotonous, outdated like
distributing brochures, or maybe just putting up billboards or signboards. Even though
at this time development is very much determined by technology, for example
through cyberspace (social media), for example through Facebook, instagram, twitter,
and many others.
3. Service
One of the reasons for decreased sales that is no less important is because of the
service factor. as a customer, you definitely want to get good, friendly, and polite
service. When the services provided are not optimal or even offend customers, they
will usually be lazy to shop again at our store.
4. Business locations
A less strategic location is also very influential, especially if the business we are
running is engaged in buying and selling. in this business, customers must come to
our place of business, therefore try to place the business in a place that is close to the
center of the crowd. Otherwise it is likely that sales will decrease over time.
5. Business competition
Another reason that sales declined is because of other competitors who shifted our
products or business. It is undeniable that in the business world there will always be
competitors who become competitors.
B. Packing and Despatch
Packaging means protecting, maintaining conditions, moving, and informing products so that
they are sold and used by consumers. Packaging is a combination of science, art, design, and
technology to wrap, cover, or protect a product so that the product is not damaged during the
process of shipping, storage, sales and consumer use.

Good packaging and prevent damaged goods. And packaging also must be considered based
on calculations according to the type of goods and ensure important steps in the best
packaging for the type of shipment of each product. Among them that need to be considered
are:
1. Heavy
Taking into account the maximum weight of a package in accordance with the load
that the package can support
2. Price
Take into account the price of the packaging where the price is right and in
accordance with the price of the item itself so as not to be lame over the price of the
package with the price of the goods you are sending.
3. Regulation
Take into account the suitability of the packaging you use with applicable regulations
and regulations so that your goods can be sent and delivered to their destination
4. Fragility
Take into account the strength of the packaging is it able to support your goods so that
your goods are protected from damage, or the ability of your packaging to withstand
if it is supported by other goods during delivery.

and also in the packaging stage requires creative salespeople in packaging. and the following
are things that the seller can raise in packaging:
1. Housing the packaging
This needs considered quality after fulfilling several of the above assessments to
maintain the safety of the buyer's goods until they arrive at their destination. If the
seller wants to facilitate packaging, the seller must pay attention to the following
criteria:
 Material
Use corrugated cardboard for glassware or heavy use of two or three layers and
avoid using old box boxes whose structures are no longer rigid
 Power
Pay attention to the information on the box where the box manufacturer explains
the maximum strength of the box. This information is used as a reference for the
box specification box to choose a package that suits the weight of your shipment.
 Size
Cartons that are not fully filled can quickly dent and bend, while cardboard boxes
that are too full can break the seal and burst. This can be avoided by choosing the
appropriate packaging for the goods you send.

2. Doing Goods Packaging


Apply the following steps in packaging goods:
 Fill in the empty box with pieces of paper cut originally so that the goods do not
move places while on the way
 Place the contents of the shipment in the center of the box with a minimum
distance of 6 cm to separate it from the wall or outside corner, then put between
paper and foam to reduce vibrations from the outer wall
 Wrap each item and use a separator. When many items in each package are of the
same type or the same size, give each package a wrap and provide a screen to
keep the position and separate from the others

3. Sealing with Duct Tape


Duct tape is an adhesive that makes it easy for sellers to seal shipments to avoid
damage during the shipping process. The type of duct tape used.

 Electric Vinyl Duct Tape
 Duct tape / black duct tape with cloth
Avoid using the following duct tape:
 Paper Duct Tape
 Clear Duct Tape
 Rope

NOTE: The above is a good and correct packing procedure to be taken into account by you
in packing the goods. However, in practice packing goods according to the type of goods
which makes the procedures and handling different, consider the following in packing.
