Shipping Department

Introduction:

Shipping is an important department of NBC. It serves middleman role between production &
sales department. The department is responsible for on time availability of empty and liquid
stock and for this purpose it performs the following functions:

a. Procurement of new empty (RB &NRB) according to the demand.


b. Receiving the empty (new/used) from market & manages empties that are required for
production. And their stock is maintained at stock registers (i.e. physically present at
warehouses)
c. Receiving new empties (RB & NRB) & manages their storage & handling & supply to
the production department for filling purpose.
d. Managing the loading & unloading of empties & liquid vehicles with assurance of proper
time management.
e. Verifying the essentials (dirtiness & breakage etc) of used bottles.
f. Manages transports facilities for the sales persons & distributors.

The department is operating through an established network of a number of distributors. The


department has two types of delivery systems;

o Direct Delivery System


o Indirect Delivery System

The basic difference between the direct and the indirect delivery system is that in a direct
distribution system, the company spends its own resources while in an indirect distribution; the
dealer spends his own resources on all the factors which increases the sales volume. The
direct delivery system is only present in Gujranwala. The following diagram shows the
difference between direct & indirect delivery system;

Detail of Shipping Department Warehouses

Following warehouses are used by NBC for storage of empties & liquid bottles.

Receiving & Storing of New Empty:

New empty is purchased within the country or is imported from the suppliers as per
requirement. Shipping department decides that from where & in what quantity the empty is
required. New empty is purchased within the country from following suppliers,

i. Balouchistan Glass Company


ii. Ghani Glass Company
iii. Tariq Glass Company

 After receiving (at pepsi town go-down), the purchased empty is verified by quality
assurance Q.A. department & the quality control pass (Q.C. pass) stickers are stamped
at their cartons by the Q.A. department.
 The consignment is unloaded at empty go-down (i.e. at modern soap go-down).
 Empties are transferred manually & inspected for breakage.
 Cases are transferred to production plant as per requirement on empty movement slip.
 The empty stock in charge maintains daily stock’s physical report.

Receiving & Storing of Used Empty

When the following go-downs have unlimited space, the remaining empty is unloaded at Pepsi
town go-down;

i. Taran Taran.
ii. Modern Soap.
iii. Qabza Factory.

And when the storage is available at the above mentioned go-downs, the empty is returned
back to those go-downs.

 Dealer/Salesman arranges the return of empties from market as per contract.


 The consignment received from dealers & salesmen is unloaded at empty go-down (i.e.
at modern soap go-down).
 Empties are transferred in cases manually and inspected for breakage.
 Cases are transferred to plant as per requirement on empty movement slip.
 The empty stock in charge maintains daily stock’s physical report.
 On arrival of vehicle, dealer/salesman records entry (detail of empty) on gate register. A
token # is issued to every vehicle.
 Shipping staff unloads vehicle on the token number. Empty in charge checks then for
breakage and they are sorted out physically in standard, junior, liter sizes and put into
cases brand and size wise.
 Empty in charge prepares empty slip. Empty slip has an office copy and three other
copies at factory one copy go to MIS, other is for shift in charge at DP go-down and the
third is for gate office.
 Gate office reconciles the copy of empty slip with initial entry.
 Gate register has two parts, one is for gate entry and the other is shipping received.
Details of empty slip must match with the earlier gate entry otherwise empty in charge &
shift in charge is informed.

Liquid in Process at DPG1 & DPG2

 The vehicle (company’s owned) is loaded with liquid from registered go-down 1 & a
liquid clearance slip is issued to the vehicle.
 This vehicle takes that liquid at following warehouses as per demand;
o Duty paid go-down 1
o Duty paid go-down 2
 The liquid is unloaded & clearance slip is handed over to the shipping department
concerned person (Clearance Boy).
 The received liquid from excise is recorded in the liquid stock register.

Liquid out Process at DPG1 & DPG2

 The vehicle (of dealer & sales person etc) carry’s its liquid out slip containing the details
regarding the liquid details.
 The liquid out slip is handed over to the shipping loader who is responsible for loading
the vehicle as mentioned in liquid out slip.
 The hired labors & fork lifters load the truck under the supervision of shipping loader.
 At gate, the vehicle is verified according to the values at liquid out slip in order to avoid
shortage/excess.
 The liquid delivery slip is issued & the vehicle is allowed to leave.
 The liquid is issued to three parties;
o Sales person
o NBC depots
o Distributors
 The stock in charge deducts the liquid that is moved out & ensures that the remaining
liquid is correctly recorded at the registers.

Handling & Packing

The pallets are loaded on the trucks with the help of fork lifters. The PET bottles are extra
covered with plastic packaging. The liquid is stored in a safe place (i.e. under shed) where the
goods are safe from sunlight, rainfall, moisture & other intimidation. The post mix syrup tanks &
NR glasses are also responsibility of shipping department. All these items are stored
separately & are handled with great care. Also the each go-down has its own depot in charge
& he is responsible for the stocks of both empties and liquid present there. These finished
goods are stored in following go-downs;

o DPG-1
o DPG-2 (Only for the loading of Base Market vehicles)
o DPG-3 (Attawa)
The issuance of goods is based on FIFO method. The records are kept shift wise. Following
reports are prepared at shipping department according to their need;

 Daily shipments report


 Daily carton report
 Daily packing report
 Daily pet empty report
 Daily net empty report
 Daily filled stock report
 Daily production (filled stock) report
 Daily liquid stock taking report (shift wise)
 Daily empty stock taking report (shift wise)
 Daily plastic shells report
 Daily excise report
 Daily dirty empty wash repot
 Daily post mix report
 Daily fm report
 Daily pending load report
 Daily vehicles (loading/un-loading) report
 Daily other empty report

Responsibilities of Depot In charge

 Monitoring of empty and stock in charges


 Maintenance of shipping records and documents
 Reconciling physical stock with MIS reports
 Posting on balance sheet register
 Sending daily stock report and dealer wise sales report to factory

 Receiving bank slips from dealers
 Clearance of depot's settlement sheet
 Transfer of cash to friends agency account
 Maintenance of stock FIFO system

Suggestions

a. The department should not hire labor on contractor basis it’s not justice with them, the
department should hire the labor itself, it will encourage the labors & work will be done
more effectively insha-ALLAH.
b. Unethical ways should be avoided regarding the empty of competitors (i.e. One who has
faith in ALLAH never cheats anybody).
c. The post mix (syrup) tanks should have an asset id code embedded on them.
d. At unloading of cases from customer’s (i.e. distributor, sales person, and retailer) trucks,
the use of slide can increase the efficiency of labor in putting the cases down.
