At the end of the lesson, the students should be able to:
 Familiarize the uses of Microsoft Word
 Identify the names and functions of the Word interface components
 Navigate the Microsoft Word environment
 Create, Edit and Save documents in Microsoft Word
 Preview and Print Documents in Microsoft Word

Getting Started with Microsoft Word

Microsoft Word is an application software developed by Microsoft Inc. Microsoft is an


American multinational technology company. It is word processing software. Microsoft Word is used
to create, edit, print, and share professional-looking documents such as applications, forms, templates,
business cards, letters, paper, reports, and booklets by using Microsoft Word.
Since, MS Word is one of the most used programs of the Office Suite, some basic information
regarding its creation and development has been given below:
 Charles Simonyi, a developer and Richard Brodie, a software engineer, where the two
creators of MS Word. The two were hired by Microsoft founders Bill Gates and Paul Allen, in
1981.
 This program was initially named “Multi-Tool Word” but later, was renamed as MS Word
 It was introduced in 1983
 Word for Windows is available standalone or as a part of MS Office suite
 MS Word for Mac was introduced by Microsoft as Word 1.0 in 1985
 The extension for any word file is “.doc”

The Word Interface


When you open Word for the first
time, the Start Screen will appear. From here,
you'll be able to create a new document,
choose a template, and access your recently
edited documents. From the Start Screen,

locate and select Blank document to access the Word interface. We will be using Word 2016 as an
example.

The Word Application Window


When you open Microsoft Word, you will see something like the following image. This is the
user interface:
Let’s go over the basics of what you will see and how to interact with the interface. This is just an
introduction to each element; you will get more experience with each item as we progress through this

1. Title Bar
The name of the program and the currently open file are displayed here. You may also see
more information about the file (for example, if it’s open in read-only mode or has been opened
from the Internet).
2. Quick Access Toolbar

As the name implies, the Quick Access toolbar gives you quick access to frequently used
commands. This toolbar is completely customizable and can be positioned above or below the
ribbon commands.
3. Tabs
Groups of like commands are organized under tab names. Click a tab to view the
commands in the ribbon.
4. Ribbon Interface
Displays tab commands organized into groups. If you click the different tabs, you will
see the commands change. Notice that some of the commands might be grayed out. This is
because those commands are only usable in certain situations.
Word 2016 also features contextual tabs. These are special tabs that only appear
when you are working with a specific object or group of information. For example, if you
were to insert and select a picture, you would see a contextual tab offering commands for that
object:

Each tab contains several groups of related commands. For example, the Font group on
the Home tab contains commands for formatting text in your document.

a small arrow in the bottom-right corner that you can click for even more options.

5. Tell Me
Search for natural language help in Microsoft Word.
6. Program Management
Using the top set of icons in the top right-hand corner of the screen, you can change
how the ribbon is displayed, minimize the window, maximize/restore the window, or close
the current document. Below this, you will see commands to sign into your Microsoft account
and share the current document.
7. Working Area
The data contained in the currently open file will be shown here.
8. Scroll Bars
If the Word document spans more than one screen, you can use this scroll bar to
move through its pages. You may also see a horizontal scroll bar depending on your view.
9. Status Bar
This bar is used to display information about the document. In the sample image, you
will see a page and word count on the left-hand side. (You may also see spell checking and
macro commands here depending on your current task.) On the right-hand side you will see
commands to change views and zoom into or out of the document.
10. Document Views
Switching between different document views is easy. Just locate and select the
desired document view command in the bottom-right corner of the Word window.
a. Read Mode: This view opens the document to a full screen. This view is great for
reading large amounts of text or simply reviewing your work.
b. Print Layout: This is the default document view in Word. It shows what the
document will look like on the printed page.
c. Web Layout: This view displays the document as a webpage, which can be helpful if
you're using Word to publish content online.

11. Zoom Slider


You can also zoom in and out to make your document easier to read using the zoom
slider.
12. Cursor or Insertion Point
It is the blinking vertical line in the document window. It indicates the position where
we will place or type the characters on the document

Creating, Editing and Saving a Document

A. Creating a Document

To create a document, simply open Word, select a
blank document or template, and start typing. Word
offers many professionally designed templates to help
you create letters, resumes, reports, and more.
1. Create a blank document Open Word. Or, if
Word is already open, select File > New.
2. Select Blank document.
B. Editing Documents
Microsoft Word has many keyboard shortcuts that you can use to write, edit, and
format documents quickly and easily. These Word keyboard shortcuts let you perform
common tasks like saving, inserting page breaks, and changing fonts without touching the
mouse.

Following proper keyboarding technique can not only increase speed and accuracy, but
prevent injuries and strains related to the repetitive and time-consuming typing that every
student/individual experiences.

C. Saving Document File


Follow these steps below to save a document
1. Start a new document in Word and type your text.
2. Click File in the top left-hand corner of the screen.

3. From the menu,
choose Save.
4. A ‘Save’ dialogue
box will come up. At
the top and at the
left-hand side in the
list of folder options,
it will show the
folder where you’ll
be saving the
document. If you wish to change this folder, navigate through the folders on
the left-hand side of the dialogue box to choose the one where you want to
save your document.
5. Word will automatically give your document a name, based on the first few
words of your text. If you don’t like the one given, once you have chosen the
destination folder, type a name for your document in the ‘File name’ box.
6. Once you have typed in the name of your document, click Save.
7. Your document will now have a name, which will be shown at the very top of
your document screen. If you make changes to your document and then save
them after it has been saved originally, the dialogue box will not come up
again. It will just save your changes without any visual notification being
shown.
8. The ‘Save As’ menu – the link to which is on the left-hand side of the ‘File’
dialogue box, beneath ‘Save’ – is used to save an existing document under
another name. This is helpful if you’ve made changes to your document and
then want to save the changes, but also keep the original document in its
original format and under its original name.

Previewing and Printing a Document

Before you print, preview the look of the final document in Word 2016. Yeah, even though
your document is supposed to look the same on the screen as it does on paper, you may still see
surprises: missing page numbers, blank pages, screwy headers, and other jaw-dropping blunders, for
example.
Fortunately, a print preview of your document appears as part of the Print screen, as shown
here.

To preview your document, follow these steps.


1. Save your document. Always save. Saving before printing is a good idea.
2. Click the File tab.
3. Chose the Print item from the left side of the File screen.
4. The Print screen appears, similar to what’s shown.
5. Use the buttons at the bottom of the screen to page through your document.
6. You can use the Zoom control (refer to the figure) to enlarge or reduce the image. Look at the
margins. If you’re using footnotes, headers, or footers, look at how they lay out. The idea is to
spot anything that’s dreadfully wrong before you print.

Background Information for Learners
Microsoft Word is a word processing application that is usually part of a suite of
Microsoft applications, known as Microsoft Office. You can use Word to create all sorts of
documents, including letters, reports, faxes, forms, emails, web pages, invitations and
certificates. Before you leap into creating anything, it is worth taking some time to become
familiar with the Word window and its features.
