Important points and rules must be considered during inspection and reporting

1- Inspectors should contact and inform suppliers/manufacturers about arrival date and time
2- In case suppliers/manufacturers decide to cancel or postpone the inspection, they have to
officially send e-mail to inspectors and inform them and inspectors should forward that email to
iQi Germany.
3- Inspectors should study and know exactly the technical details of goods before inspection.
4- When inspectors find discrepancy, defect, or damage in items they should clearly mention in
report the details of required goods/items and the wrong details of inspected/presented goods
and take clear photos and select them as records of discrepancy or damage and mark the area of
damage in photo and mention in report the size and dimension of damaged section as well as
inspector idea if it is harmful and effected the quality of item or not. if discrepancy is in documents
against actual presented goods such as serial number, type number, model, tag number etc, then
inspectors should mention in report the item number as per PI or PO or LC with required
specifications and the details of checked, observed items to enable clients easily compare them
and decide if presented item with new details is acceptable or not.
5- Inspectors are attending at inspection place just for technical inspection of the goods and they
shouldn’t give any other information to the suppliers/manufacturers concerning details of buyer,
dealer, destination of goods, price, sub contracts, etc.
6- Inspectors shouldn’t sign any document or protocols at inspection place indicating the inspection
result. They should finish the inspection as required and report us the observation. Any result,
should be issued by iQi Germany and suppliers/manufacturers should contact us to get the result.
7- Inspectors should mention iQi file number in all correspondence and emails.
8- Inspectors should select Satisfactory Result just when all goods checked as per requirements and
packing, marking controlled and a copy of packing list is available.
9- Inspectors should clearly mention in report which technical document they checked during
inspection.
10- Inspectors shouldn’t change the name of files we send them by email in word format such as IRF
(Inspection Report Form) IIF (Inspection Invoice Form) IAF (Inspection Application form)
11- Inspectors shouldn’t change, resize, delete, and add any sections and charts of template inside the
Inspection Report Form. Additional information can be printed in last page section 18 of
inspection reports.
12- For printing dates in reports just 1 style is accepted that is for example 05.11.2014 and others such
as 5. Nov.2014 or 05/11/2014 or 5.11.14 or 5th November 2014 shouldn’t be used.
13- Inspection report should be sent to us within 24 hours after inspection. When some documents
not delivered by suppliers/manufacturers inspectors shouldn’t wait for that. Inspector should send
the report and mention about missing documents.
14- Inspectors shouldn’t send the inspection reports to any other party. In general inspectors normally
get documents and can send just the inspection scope (if any) to the suppliers/manufacturers.
15- Inspectors shouldn’t paste the photos to the report (unless in some cases required by clients) and
should send them all zipped as email attachment or by free Wetransfer link. In 1 photo inspector
should be present. Inspector should take just horizontal photos (not vertical).
16- Section 5 of inspection report is the most important section for us. Inspectors should clearly print
(never paste a text) from the very left side (without extra space) in blue font color just the name
of inspected goods/items with some technical details such as type/part/serial/tag number and no
any other extra information. When there are so many items and not enough place in this section
just print the main and basic items and add: Details of inspected goods as per packing /item list
number????? attached to this inspection report. Never apply a chart or table for name of goods in
this section.
17- Section 15 of inspection report should be used for technical activities performed during inspection
such as: witness tests, what kind of tests performed and what is the result, dimension check and
the result, standard used during testing, visual check and the result, complete technical details of
inspected or tested item and finally technical documents including, mill test certificate, test
report, data sheet, chemical analysis, drawings, standards, painting report and etc. In case such
documents missed or not available inspector should mention in report.
18- Section 16 of inspection report should be used for details about packing procedure. Inspector
should check the requirement of packing as per contract and ensure that the items, parts,
equipment are well packed, secured and placed into suitable packages for long transportation and
there will be no risk of damage during loading, unloading and transportation specially for sensitive
equipment.
19- Inspectors should release the goods for shipment in report just when all details as per
requirement is accepted and packing list indicating total number of packages, kind of packages,
total net weight and total gross weight is available.

20- When there is ITP or scope for inspection, suppliers/manufacturers should perform the
requirements of ITP or scope and inspector should follow all points one by one and check and
control them and take photos and record from activities and results and mention each of them in
report with result and observation of inspector. Whenever there is no specific scope or ITP, that
means inspection is based on PSI (Pre-Shipment Inspection) and requirements are a visual
appearance check of items, dimension check (if applicable) packing, marking check and documents
review.

21- For each inspection visit (man-day) 1 inspection report with related photos and documents for
that date should be prepared by inspectors. Therefore inspectors can NOT use 1 blank report for 2
or 3 days inspection.

22- whenever a next inspection visit is required for an order, inspectors should also mention in section
18 of inspection report what is going to be done for next inspection visit such as: packing check,
marking check, painting check, document review, loading supervision, inspection of rest cargo, re-
inspection of failed tests, etc,,

23- Inspector should be present in 1 photo during inspection.

24- In inspection report section 6. Scope of Inspection Required inspector should NOT print anything
because scope is always provided by our company and is sent to inspectors.
