Guide to Google Docs for the Beginners
Google Docs is a Google-developed web tool for generating and managing documents. If you
have a Google account, this is the best solution to replace MS Office or if you don't want to
upgrade. As a result, it has become the best application in online document management and
saves users time. Therefore, there is a need for a manual on using Google Docs for people who
do not know how to use it. The requirement is that the user needs to know basic English, basic
internet use and some simple computer operations. Some of the main topics included in this
tutorial for newbies as the following

How To Sign Up for an Account

Signing up for a Google account is the first step before you can access Google Docs. If you
already have an account, you may skip ahead to the next section. If not, this guide will walk you
through the process of creating a Google account and getting started with Docs.
1. Go to https://accounts.google.com/signup

2. To establish an account, you must enter certain information, such as your first and last
names, a username, and a password. Then, click Next.

3. Provide and authenticate a phone number for your account as an option.

5. Y, you must enter a recovery email address, date of birth, and gender, as well as agree
to the privacy policy and license agreement. When you're done, you'll be the happy new
owner of a Google account.

How to Create a Blank Document

If you have a Google account, now is the moment to make your first document.

How to Import a Microsoft Word Document

If you're new to Google Docs, you may also have a collection of Microsoft Word files that you'd
want to use. If this is the case, you will need to transfer all of your Word docs before you can
view them. While it does not support some of the more complex features and formatting of

Microsoft Word documents, it performs wonderfully. When you upload a Word document, you
may transfer your documents to Google Docs or Drive. Both ways allow you to easily upload
files by dragging and dropping them from your Personal computer into the online browser. Your
Drive contains all of your uploaded files, but the Docs site only displays document-type files for
your convenience.

1. Step 1: Choose the folder icon in the upper right corner of the Google Docs
homepage, then click the “Upload” option.

2. Step 2: Drag and drop the uploaded file or select a file from your computer. When you
upload a Word file, Docs opens it instantly, ready for you to begin editing, sharing, and
collaborating.

Tips: To open a Word document that you wish to modify, just click the mouse on it. It opens
selected documents to edit.

How to save your document into different formats

When you're reviewing the document, you may download it back into DOCX or another format,
such as PDF.
1. Click File > Download
2. , then Sselect the desired format, and it will download immediately to where your
browser saves files.

How to Check Your Spelling in Google Docs

If you've previously completed a few pages, it's time to double-check your spelling and
punctuation. Docs has a spell-checker that is ready to use—if you misspell something, it

highlights the problem with a squiggly line, urging you to make a correction. This should be
enabled by default, but you may double-check by

Tips: Alternatively, you may access the Spell Check and Grammar tool by pressing Ctrl+Alt+X

How to Collaborate on Documents with Others

1. Select the file you want to share.

2. Click Share icon


3. Fill in the email address you wish to share with under Share with persons and groups.

If your organization has guest sharing enabled, you can allow another who does not have
a Google Account to participate on your Google Drive files and folders.

4. On the right, you may modify what individuals can do with your file, click the Down
arrow >Viewer, Commenter, or Editor.
5. Choose to notify people:
Check the Notify people option if you wish to inform others that you shared a file
with them. Each email address you provide will be included in the email if you
tell others. Uncheck the Notify people option if you do not wish to notify anyone.

6. Click Send.

How to See All the Recent Changes to a Document

1. Select File > Version history > See version history.


You must have Owner or Editor access to the file.

2. To see a prior version of the file, click a timestamp. You'll see the following information
underneath the timestamp:

2.1 Names of those who worked on the document's editing.

2.2 Each person's name has a different color next to it. The changes they made are
highlighted in that color.

3. To reverse, rename, or clone an earlier version, go to:

3.1 Restore this version to make it the active version.

3.2 More Name this version to name a previous version.

3.3 More Make a copy to create a copy of a previous version.

How to Suggest an Edit to a Document

If you are the owner of a document and would rather that collaborators propose changes to it
rather than directly modify it, you may change the access permission to "Suggestions." This
allows people to make changes to a document without fear of others tampering with it. When a
collaborator makes an update, the owner is notified through email of the proposed change.

You can view your current status by looking up at the top right of the document window.
1. If you see the word "Suggesting," you're good to go.
2. If you see “Editing” or “Viewing,” click that icon and then select “Suggesting.”

How to Find the Word and Page Count

Google Docs does not display the word or page count by default, but it is simple to verify them
without doing a manual count. So, whether you have a hard word limit for an assignment or want
to keep track of how much you write, the word count might help you see the intricacies of your
efforts. You may also highlight text from any paragraph to see how many words are included in
the selection.

To check the word/page count of your document,
1. Ggo to Tools >
2. Word Count or press Ctrl+Shift+C on Windows or Command+Shift+C on Mac.
