QUESTION ONE:

Read the Case Study below carefully and answer the questions that follow:

MAXCOM

Maxcom is a company that is a debt collection merchant that steps in on behalf of client
business based companies to collect payments and follow up on debtors and debt
defaulters.

Their primary objective is to ensure that debtors pay on time, if not, then a clear
communication and a proper layout payment is made.

The activities around the company include;

 The marketing department has to do a sell-out of Maxcom activities and more

importantly secure clients.
 Keep record of client companies and follow through their lending procedures
 Keep records of debtors under respective companies
 Track payments made by debtors in their preferred payment modes i.e. bank,
mobile, cash or online transfers.

In this regard therefore, Maxcom of late has come to notice that using pens, paper,
phone, emails and computer files hasn’t been effective in keeping records. They
therefore have sought the services of information technology professional to see the
implementation of a software system that is all inclusive and vitally, reduce the
inconsistencies in records.

As an IT professional, you are also on a capacity to advice whether it is viable to go full

automation or adopt a hybrid of auto and manual systems. You are also required to
oversee the process from the initial stage to its fruition.

a) Discuss in detail the FIVE (5) essential components of an information system.

b) Explain FOUR (4) reasons motivating the need of an information system to the
Maxcom organization [4 MARKS]
c) Illustrate using a diagram the different management levels that are established in
Maxcom debt collection merchants company [6 MARKS]
d) Examine the security threats that are prevalent within the data stored in form of
papers, database, files, and in the computer environment [6 MARKS]
e) Discuss THREE (3) reasons why Maxcom would want to replace a manual
system with an all round automated information technology system
