Updation Process
Introduction
What is Digitized Data Updation?
• Digitized Data Updation is an option

provided to users registered under eGCA
Portal as existing Pilot to edit/update their
License and Medical Details.
• The updated details are sent to respective

directorates, which after approval is
reflected under user’s profile.

Please remember that your profile validation is complete only when both License and Medical Records are
updated and validated by DGCA (If updated and applied for).
Important details:
Ensure that all details are completely filled before submitting the validation request to
DGCA after updation by applicant.
Availing of a particular service through eGCA (issuance of Licenses and Ratings) is

subject to successful validation by DGCA.
Submission of validation request for updating details is not a deterrent in using

elog book.
Observations if any, during validation by DGCA will be intimated as a shortfall to

the applicants. Intimation regarding the same will also be provided to the
registered email ID and Mobile No. Further, in case of any query with respect to
status, applicants may raise Support Request.
Important Instructions
1. All dates to be filled in DD/MM/YYYY format.

2. All the copies of licenses to be uploaded should be of original license and not of photocopy of
license.
3. Click Submit For Validation only after adding/editing all your applicable licenses and
corresponding details pertaining to the licenses. After Submit updated details will be sent to
DGCA for validation. All fields will become non-editable once submitted to DGCA for validation.
4. If you want to make any changes thereafter, the same will be possible only on return of your
request for further information (shortfall) or on approval of validation request by DGCA.
5. Observations if any, during validation by DGCA will be intimated as a Shortfall to the applicants.
Once the shortfall is sent, the updated details will be open for changes. Users are required to go
to License Details/ Medical Details section and edit/ update any information as directed in
Shortfall and then submit response against the Shortfall.
6. Pilots having higher category of license need not fill details of Licenses deposited to DGCA. Eg.
ATPL holders need not update CPL details, FRTOL holders need not update FRTOL-R details.

the end of user manual. See list

associated with the License intended to be added.

Edit Instrument Rating/ Night Rating
Steps to edit Instrument Rating (IR)/ Night Rating (NR):-
1. To edit Instrument Rating/ Night Rating, do not click on edit against Instrument Rating/
Night Rating. Edit the license on which IR/NR is issued. Eg. If Instrument Rating is issued on
CPL, then click edit CPL. This is to ensure that all details of license are consolidated at one
location.
2. Scroll down to Aircraft Endorsement and Rating Details section.
3. Edit the Aircraft (shown in table) on which IR is issued. Eg. if IR is endorsed on DA42 Aircraft
then click edit against DA42 Aircraft.
4. Fill Aircraft Endorsement and Rating Details Section as shown in previous two slides.
Entry of Aircraft Type

“SAVE AND UPDATE LICENSE DETAILS” button is to save your

changes in system. You can use it multiple times to save any
updation made in existing records.
“SUBMIT FOR VALIDATION” button will send your saved details to

DGCA for validation. Click only after adding all details.

eGCA Aircraft Endorsement Name for Aeroplane and Helicopter
1. List of eGCA Aeroplane/Helicopter Endorsement Name for Aeroplane/Helicopter is

provided in following slides.
2. Every Aeroplane/Helicopter is assigned an eGCA Aeroplane/Helicopter
Endorsement Name. Eg. A300B2 & A300B4 Aeroplanes have eGCA Aeroplane
Endorsement Name as A300.
3. Entry of Aircraft Type in Aircraft Endorsement and Rating Details section of
applicable license must be based on eGCA Aeroplane/Helicopter Endorsement
Name.
